10 Exhibitor Rules & Regulatios RULES: These rules ad regulatios goverig the exhibits uder the auspices of the Califoria WIC Associatio (CWA) are part of the agreemet for space. PURPOSE: The exhibit program is for educatioal ad iformatioal purposes oly. Retail sales o the exhibit floor are permissible, upo CWA approval. Your compay may offer raffle prizes at booth as well as participate i the CWA Trade Show Raffle Drawig. EXHIBIT DATES AND HOURS: The exhibit floor will ope o Moday, April 18, 2016 from 5:45 pm to 8:00 pm, ad o Tuesday, April 19, 2016 from 7:30 am to 1:00 pm. EXHIBIT SALES: Exhibitors are permitted to sell items at the trade show; however, taxes are the resposibility of the exhibitig compay. All items eed to be approved by CWA prior to the coferece. Exhibitors must display their sales permit or apply for a temporary oe if they do ot already have oe. BOOTH SIZES: All booths are 8 x 10. Each booth icludes 7 x 44, two-lie ID sig (maximum of 44 characters); oe 6 draped table; two side chairs; oe wastebasket ad two complimetary exhibitor badges. Additioal badges are $25 each. SHIPPING AND STORAGE: The exhibitor agrees to ship display materials, at his/her ow risk ad expese. Due to limited storage space at Tow ad Coutry Resort. USE OF SPACE: Exhibitors shall arrage their exhibits so that they do ot obstruct other exhibits. Aisles must be kept clear; exhibits should be arraged so that attedats will be iside assiged space. Display material or equipmet at the side of the booth shall ot exceed the heights of the sidewalls withi 5 of the frot of the exhibit space. Display material may ot be higher tha 42 above the sidewalls i the back 5 of the exhibit space. All material used for decoratio, i.e., paper, cardboard, cloth, etc. shall be a flame-retardat type. Safety ad fire exits ad equipmet must be left accessible ad i full view at all times. Display materials or equipmet of sigificat size must be preapproved i writig by CWA staff; all requests must be submitted i writig prior to the Trade Show. Requests must be submitted by 5:00 pm, Friday, March 18, LIABILITY: It is mutually agreed that CWA ad The Tow ad Coutry Resort ad Covetio Ceter shall ot be liable to a exhibitor for ay damage to or for the loss or destructio of a exhibit or the property of exhibitor or ijuries to his/her perso resultig from ay cause. All claims for ay such loss, damage, or ijury are expressly waived by exhibitor. RESTRICTIONS: CWA reserves the right to declie to approve all or ay part of a proposed exhibitor, vedor, advertisemet, or sposor which i CWA s judgmet is iappropriate or cotrary to CWA s missio or its programs. Exhibitors, vedors, advertisemets or products that are cotrary to CWA s missio or programs iclude, but are ot limited to, those that (1) ihibit or are likely to ihibit CWA s ability to carry out its missio; (2) ihibit or are likely to ihibit the effectiveess of CWA s programs; or (3) challege CWA s credibility or effectiveess. All exhibitor materials must coform to atioal, state ad local fire ad safety codes. Ay cookig with heat MUST be approved by CWA prior to show. Ope flames are strictly prohibited. No exhibitor may broadcast music of ay kid o the exhibit floor. No exhibits will have excessive oise or displays that iterfere with other exhibits. BREASTFEEDING FRIENDLY CONFERENCE: Exhibitor agrees ot to display, promote, give away samples or show pictures of ifat formula, bottles or ipples. This applies to ay type of supplemet for ay age of ifat, toddler or child. The oly exceptio is for prited iformatio o therapeutic formula, available by prescriptio oly. Exhibitors foud i o-compliace will be asked to remove the materials. Exhibitor refuds will ot be hoored. RIGHTS OF TRADE SHOW MANAGEMENT: Should ay emergecy arise, of ay ature, prior to the opeig show date which would prevet its scheduled opeig, destructio or damage of the exhibit area by fire, wid storm, strikes, acts of God, etc., or a declaratio of ay emergecy by the Govermet, it is expressly agreed that CWA may retai as much of the paymet for exhibit space as is ecessary to cover the expeses icurred by the associatio up to the time of such emergecy. CANCELLATIONS: I the evet a exhibitor fids it ecessary to cacel its participatio i the 2016 Califoria WIC Aual Coferece Trade Show, 50% will be refuded before a cacellatio date of March 17, There will be o refuds after this date. All cacellatios must be i writig. Postmarks will be used to determie eligibility. FAILURE TO OCCUPY SPACE: Ay space ot occupied will be forfeited by exhibitor without a refud.
