1 Fact Sheet 2 Fact Sheet X.X Access to STS Online and Managing Staff Profiles STS Online STS Online is the secure website that RTOs must use when doing business with State Training Services (STS). It includes areas such as Apprenticeships & Traineeships and Your APL. Individual RTO staff members must have an AUSkey to access STS Online; please see Fact Sheet 1, Important Changes to Accessing STS Secure Web Pages for further information. This fact sheet details the process of logging into STS Online and the functionality that users will have access to once they have logged in. 2 Step 2: A user who has installed their AUSkey on their computer or USB stick, and the USB stick is connected, must click on the drop down arrow and pick their AUSkey. Enter the password and select Continue. If your password is accepted and you successfully log into STS Online you will be taken to the STS Online home page (see page 3). A user who has not obtained an AUSkey, has not installed it on their computer or USB stick, or does not have their USB stick connected will see the following: STATE TRAINING SERVICES Page 2 of 5 JUNE

3 Help with accessing STS Online STS is not the only NSW Government area that uses the AUSkey authentication service and to see specific STS Online help information you must click on the following series of links: Help located in the bottom right-hand corner of the Login page Agency s Help Page Vanguard Support State Training Services This last link will take you to the STS Online Help page. Alternatively you can click on STS Online Home Page When you have successfully entered your AUSkey credentials you will be taken to the new STS Online home page. From here you will be able to access the various sections of STS Online. What is new? Areas of Access The new areas within STS Online are as follows: Apprenticeships & Traineeships includes functions such as Training Contract Search and Completions Your APL includes epayments and Add Course Sites. My Profile allows the user to see their areas of access and the details of their STS Online Administrator. Manage Access allows the STS Online Administrator to amend the areas of access for STS Online general users. Access History allows the STS Online Administrator to view a record of all login activities. STATE TRAINING SERVICES Page 3 of 5 JUNE

4 Profiles Administrator AUSkey & Standard AUSkey vs STS Online Administrator and STS Online General User: Administrator AUSkey and Standard AUSkey are roles that relate solely to your AUSkey profile. STS Online Administrator and STS Online General User relate to your profile and the functions you can carry out in STS Online. STS Online Administrator: This person is responsible for allocating and updating areas of access. The first Administrator AUSkey to log into STS Online will automatically be given the role of STS Online Administrator and assigned access to all areas as per the screen shot below. If the first Administrator AUSkey who logs into STS Online Administrator does not have access to all areas of the site you should notify Training Market Customer Support on When the Administrator AUSkey first logs into the STS Online, an will be forwarded to the RTO s CEO advising that the Administrator AUSkey has accessed the RTO s STS Online site. Any other Administrator AUSkeys who subsequently access STS Online will be given the same profile as an STS Online General User. STS Online General User: When you first log in to STS Online using a Standard AUSkey, you will only be assigned access to Apprenticeships and Traineeships. To see your areas of access, click on My Profile, this page will also show the details of your STS Online Administrator. For access to other areas such as Your APL you must ask your STS Online Administrator to amend your profile; see Managing Access for more information. Each time your profile is updated, you will receive an confirming the changes. STATE TRAINING SERVICES Page 4 of 5 JUNE

5 Keeping You Up To Date This new function will allow RTOs to see the latest news from STS. Apart from those on the home page, the notices will be specific to each section of STS Online. For example, if you are on the first page of Apprenticeships & Traineeships you will only see notices related to that area. Similarly, if you are on the first page of Your APL you will only see notices related to Your APL. Notices on the STS Online home page will include a mixture of notices relating to any of the sections within STS Online. What has not changed? The functionality of Your APL or Training Contract Search is the same as previously on Your APL Page. RTOs still lodge data to trigger payments in the same way through the epayments section of Your APL. Similarly, RTOs still follow the same process for reporting apprenticeship and traineeship completion information. Managing Access STS Online administrators can assign new roles and amend the profiles of other users by ticking appropriate boxes in Manage Access. When you have saved the amendments an alert will appear on the screen stating that the access for that particular member of staff has been updated. The member of staff whose access has been updated will receive an advising them of the update/s. This will be sent to the address shown on the screen, which is taken from the details given when registering for an AUSkey. STS is unable to amend this address. Tender Edit and Tender Lodgement: details on the functionality and instructions on who within the RTO should be assigned these two roles will be released prior to the next tender.
