What processes do you use for payroll and t/a, What options are out there and What can be done to keep them running Why is this topic important? Because failure to understand and prepare for an incident may result in an unwanted outcome, more stress and an increase in gray hair

5 SPECIFIC AREAS OF INTEREST HRIS Payroll Time Collection For our discussion today let s focus on the payroll and time collection aspects.

6 WEB TECHNOLOGY Generally three types 1. SaaS Software as a Service ADP, Paychex, Paylocity, 2. In House/Ownership GP, Microsoft Dynamics, Oracle, Peoplesoft 3. Cloud Computing Latest buzz word Can be Private or Public Payroll and Time Collection can be the same, separate or in any combination

7 SOFTWARE AS A SERVICE SaaS can be described as nothing more than a pay as you go model where your internal application is hosted, managed, maintained and operated by a service provider across the internet. Risks include loss of control and the cost of the service becomes a continuous expense. Additionally a question of security always remains since data is controlled by third parties. The advantages include a lower investment,less maintenance for IT, accessible from many physical locations and generally upgrades included.

8 As a subset of SaaS are three general methods differentiated by the location of the data and process. 1. Main frame batch processing Takes longer to get data returned Need longer to process 2. Batch processing with a local copy on desktop Easier to run what ifs Generally processes quicker 3. Web processing Fast and mostly reliable More of a security risk than the other methods

9 CLOUD COMPUTING The term cloud was inspired by the symbol that was given to the internet in earlier flow chart days. Cloud computing is a general term used for anything that involves delivering hosted services over the Internet. (sound familiar) Cloud Service has three characteristics: 1. It is sold on demand - by the minute or the hour 2. It is elastic - a user can have as much or as little at any given time. 3. The service is fully managed by the provider.

11 OWNERSHIP Ownership or In House, is where you acquire the software and host it internally. Your IT person is usually involved. Potentially heavier investment for the infrastructure Can be Virtualized Ultimate control of the data Sometimes only on a local desktop or separate server A more cost effective approach long term

13 WHEN IT ALL GOES WRONG. Disaster Recovery, is the process an organization uses to recover access to their software, data, and/or hardware that are needed to resume the performance of normal, critical business functions after the event of either a natural disaster or a disaster caused by humans. DR is normally part of a larger initiative for the organization called Business Continuity Planning. DR will focus on getting the applications and processes reestablished so the organization can operate. The key question: where is the data stored and how can you get to it?

17 Payroll How can payroll break down in a SaaS environment? (Remember how SaaS is set up) A communication break or power outage at corporate Hard Drive failure or other Hardware failure Or worst case the provider s location has issues

19 PREVENTION ITEMS for SaaS I. Have the link to the provider on another desktop off campus II. Talk to IT a. Do they have a DR plan for payroll and time collection b. Do they approve of an offsite access point c. Are the clocks on power/battery back up III. Train a back up a. Write down the processes involved and place in multiple locations IV. Make sure the provider is SAS 70 II certified a. Research provider s DR plan b. Where is their back up facility c. How often is it tested

20 WHAT IS SAS 70 Type II? A certification that focuses on security and the following: Anti Static Floor Redundant Computer Room Air Conditioning Units Temp and humidity controlled & monitored Early Warning Fire Protection Systems Pre-Action Dry Pipe Sprinkler Systems Smoke Sensors & Heat Sensors Facility Monitoring Systems Automation Security Systems & Monitoring Monitoring Systems for all Hardware Certification is accomplished by an Independent Accounting Firm. Rule of thumb No SAS 70 Type II be vewy wewy caweful!

26 CALL TO ACTION 1. Understand that Payroll & Time Collection are critical applications. 2. Know the appropriate parts of your current DR plan. 3. Ask yourself How will I access the data? What happens if this aspect breaks? Who is my back up? 4. Remember redundancy is your friend. 5. Speak with IT often. 6. Find an acceptable alternate location to access the data. 7. Test your plan on a regular basis.
