The Records Center: Williams protection of information begins with the records center facility itself. Records containers are stored on steel shelving within our 400,000 square foot, seismically constructed, steel reinforced concrete facility. The building is fully sprinklered and monitored by ADT for break-in, fire and smoke detection. Additionally, the facility is protected by entry controls with digital locks, interior and exterior digital surveillance cameras, multi-door entry mantrap areas, as well as a secure perimeter. Moreover, electronic keys restrict access to only authorized and bonded Williams personnel. Web Based System: From the moment you become our client, compliance and the chain of custody of every barcode, every scan, and every transaction is tracked by our inventory management system powered by industry leader O Neil Software. Williams Client Access: Williams offers access to a customized, online interface to automate your data management programs. Williams Client Access allows users to add, edit, order and access their entire inventory online. It is designed for ease of use. 3 DATA & MEDIA STORAGE VAULT Williams uses the technology and systems that guarantee its vault facilities are as secure as possible for media, data tapes and vital records storage. Our FIRELOCK VAULTS are world class, self-contained and individually protected by separate fire suppression systems. The vaults maintain an ambient temperature environment with relative humidity between 40 and 45 percent and temperatures between 68 and 70 degrees Fahrenheit. Our Vaults offer the highest fire rating of any media vault in our industry. Data Tape and Media Storage in our FIRELOCK VAULTS is the ultimate protection available. Magnetic media elements stored in our FIRELOCK VAULTS are monitored by surveillance cameras and environmental sensors. Each vault is constructed with structural steel mesh and ceramic fiber walls engineered to withstand 2000 degrees Fahrenheit earning a four hour rating. Each vault uses the Novic dry fire suppression system, Gemtrac units to slot your backup tape media and steel shelving to store steel tape cases or Vital Records Containers. Williams uses Gemtrac systems for tape storage. Each data tape and storage slot is given a permanent barcode. Thereafter tracking and chain of custody is maintained by the Williams inventory management system. Powered by O Neil Software, this system allows authorized users 24/7 web access. 4 DOCUMENT IMAGING / INDEXING The conversion and digital imaging of existing documents is handled by Williams, and can be summed up in these four steps: Capturing Indexing Searching Retrieving Williams system is powered by Digitech/PaperVision Enterprise systems, the industry leading document capture software. Through Digitech/PaperVision Enterprise systems information is captured, indexed and digitally processed.
