1 Chronos CMMS System Overview Chronos Computerized Maintenance Management System (Chronos CMMS) is a powerful and easy to use asset management software specially designed for intensive machinery driven industries such as energy, utilities, chemical process manufacturing, refinery and millers as well as engineering services industry for better asset management and inventory control. 2 Process Flow Chronos CMMS is composed of eight integrated modules to perform specific tasks in maintenance management operations. The core functionalities of Chronos CMMS are depicted in the diagram above. 1. Equipment information is combined with predictive or unscheduled tasks that automatically trigger Work Orders. Work Orders can be triggered from dates, meter readings, process or equipment variables. 2. Job orders are generated complete with work plans and resource requirements. Once generated, the detail job order will be forwarded to the respective maintenance crews for execution. 3. Upon completion of the job order, the maintenance crew shall update it to the system to reflect the actual work that was done and the resources used.. 4. The job order is then closed and the information becomes part of the equipment's permanent service history. 5. With an accumulation of data in the history, report database, and captured from machine directly (optional), an alert system (via messaging, SMS or ) can be configured to closely monitor mission-critical equipment & machine. The data will also serve to provide a basis for executing iterative improvements to the entire maintenance process. Chronos CMMS Page 2 of 8

3 Key Features Event Maintenance (EM) Module Chronos CMMS EM Module is for operators or maintenance crews to record all unscheduled maintenance events or requisitions such as breakdown, abnormality, services needed and other corrective measures. It converts maintenance requisition into Event Work Order (WO) for subsequent monitoring and follow up its corrective measures. To record detail WO upon completion of work for subsequent analysis of maintenance cost for each WO which involves labor, parts and downtime (if any) etc. A common FORUM is provided for each WO to enable user to share their comments with peers. Workflow control (from requisition approval execution feedback) is in place for each WO such as; Material Requisition Form for spare parts request. Service Requisition Form for corrective measures to rectify specific issue. Purchase Requisition Form for purchasing of parts / services It links with Alert System configurable to trigger targeted users group for critical maintenance issues occurred or long outstanding WO within specific time frame etc. Besides, it minimizes the error of duplicating same event booking such as by prompting user if duplicated events are being reported. 4 Preventive Maintenance (PM) Module Chronos CMMS PM Module is designed for engineering planning staffs to manage preventive maintenance (PM) activities for all equipments as well as whole plant assets. To plan a PM task, user can: Add single or multiple assets per single PM task. Add unlimited PM tasks. Define PM Task frequency in Daily/ Weekly/ Monthly/ Yearly/ Custom Dates/ Relative/ Counter (or Runhour) with combination of any one above. Add necessary parts and labors for planning purpose. Add necessary attachments for maintenance crews reference such as SOP, drawings etc. A PM Scheduler is provided for user to schedule all PM activities according to date range, task frequency, outstanding status, and resources (labor/parts) available. To generate PM WO based on schedule. To add Asset Category for user to filter assets before set the PM task. To enable users to monitor all preventive maintenance WO: Status - such as planned, in-progress, outstanding, closed, or KIV etc Who did it, when did it, what parts being used, carry forward tasks etc. To enable user to book and analyze the maintenance cost for each PM WO which involves labor, parts and downtime (if any) etc. With common FORUM for each PM WO to enable user to share their comments with peers. With Workflow control for each PM WO which involves approval or authorization processes. 5 Purchasing Module Chronos CMMS Purchasing Module handles complete purchasing workflow starts from parts purchase requisition (PR), purchase order (PO), goods receiving (GRN), goods return (GR), supplier billings and make payments. Able to set Department Budget (using Cost Center) and to manage each Cost Center s actual usage against budget. To provide necessary reports (in Reports Module) to enable users to analyze balance of budget for each cost center from time to time. With Workflow control for all Budget settings, PR, PO, GRN, GR, Billings, and Payments. With Vendor Management such as: Approval for Vendor registration To define Vendors specialties These vendor specialties can be used during PR stage, system will recommend a list of suitable suppliers based of their specialties for user s reference. Inventory Module Chronos CMMS Inventory Module is specially designed for the organization to manage their assets inventory effectively. Starts from order placed to vendor, Chronos CMMS Inventory Module assists the users to manage goods movement activities easily such as receiving from vendors, asset registration, tagging with barcode, put-away in the store through Bin Management, scan tag barcode to pick-out spares per Work Order with detail Lot/Serial No traceability, send out used spares for repair etc. IN Process OUT Process The process flow: During receiving (IN, increase of stocks): Goods Receiving from Suppliers generate special tracking barcode with serial no to paste at the item put-away to stock into parts store. During issuing (OUT, reduce of stocks): Based on PRF, WO, user to pick the right item, barcode scanning to verify it, and issue out. Based on IN / OUT approach, system will record all inventory movement transactions, and to calculate its stock levels in real time basis. Chronos CMMS Page 5 of 8

6 It can determine its inventory Actual Level, Available level, Lock, Unlock, and couple with Max Level, Re-order level, Minimum Level, system can automatic send Alert message ( ) to targeted group/ person for serious attention. Other features such as: Cycle Count (Stock take), Goods transfer, Lock / Unlock stocks. Able to set picture for each item and to display it during IN / OUT transactions. This can minimize error during picking. With workflow control for all inventory movements. Reports Module Chronos CMMS Reports Module is a reporting module that provides many useful analysis & status reports for management to overview the maintenance related activities for the plant facilities. It consists of more than sixty (60) reports which cover Maintenance, Purchasing, Asset Inventory, Alerts, Settings, and Others. Tools Module Chronos CMMS Tools Module is a supporting module which provides many useful tools for user to manage their facilities effectively. These tools cover: Data Maintenance Import, Export, Backup, Restore of data Document Design to design all official workflow documents such PO, GRN, Picking List etc. Barcode Label Design to design the right barcode label format for asset tagging according to Client s preference. Stock Edit for correction of stock information in past transactions with privileges control. Alert System - To trigger alarm message to targeted users pertaining to the maintenance activities (such as criticality, outstanding, recurring etc) and parts inventory issues (such as insufficient stock, expiry etc) via , SMS (optional), or during login to the system. 7 Settings Module Chronos CMMS Settings Module allows users to configure the system settings in order to operate according to site conditions. It includes: Item Master User can apply KKS code, Supplier s part no. for each item master setting. To Image for each asset inventory. Location Master Machine Master, Supplier Master, Customer Master (optional for Billing purposes only) User Manager for user privilege control per Group and Individuals. Operation Setting regional settings such as currency, date-time format, screen preference, workflow etc. Company profile setting. Information Module Chronos CMMS Information Module provides useful information for user to refer with when operating the system. This information includes: Quick Start Product Information License Activation / Deactivation, etc. Remote Access Chronos CMMS Remote Access is an optional facility which enables users to access the system remotely via Internet, anytime, anywhere for monitoring and system supports.
