1 San Francisco Playhouse Season Internship Program Overview San Francisco Playhouse (SFPH) internships are designed to provide professional training for undergraduate students or recent graduates with a passion for the theatre and the arts. Interning at SFPH offers these budding professionals the opportunity to work hands- on at a successful theatre company and acquire skills that go beyond the classroom. In keeping in line with the SFPH mission of nurturing compassionate community, interns are accepted as part of the Playhouse family, participating in staff meetings and events and receiving an official SFPH e- mail account. The internship is intended as a valuable, career- building experience. Each Intern works closely with their Department Supervisor on Learning Goals with the expectation the Intern will get to create and complete a special project within their Department. All interns leave the program with strong skills and experiences to add to their resumes. Unique opportunities such as observing readings, rehearsals, workshops, technical rehearsals, and auditions, and special events are made available to all interns. SFPH Internships provide an opportunity to gain a comprehensive understanding of the day- to- day and long- term workings of a theater company and, at the same time, assume responsibility for practical assignments that are critical to company operations. While each of the internships focuses on a specific department, each intern will get to learn from all aspects of running a non- profit theatre company. General Requirements For all interns, the following is required: Good Written and Verbal Communication Skills Computer Competence (Word Processing, Spreadsheets, E- mail, etc.) Flexibility with Changing Priorities and Demands Ability to Multi- Task and Prioritize Ability to Collaborate, Analyze and Problem- Solve Commitment to a Regular Schedule minimum three days a week Commitment to Attend and Assist with Special Events Evening and Weekend availability required A Can- Do Attitude! As a non- profit 501(c)3 organization, internships are volunteer positions. Interns receive a small stipend to cover transportation costs ($100/mo). SFPH cannot arrange housing. Interns receive two complimentary tickets to each show for guests and unlimited half price tickets (based on availability). Internships are usually hours per week and require a good amount of weekend and evening time. Regardless of department, all interns are expected to be available to assist with special events, Mainstage, and Sandbox rehearsals, Sandbox Load- In and Strike, as well as other SFPH calendar events as they arise. Interns should expect to be at SFPH at least 3-5 days each week for 4-8 hours per day.
2 Internships are offered on the following basis*: Fall - September 2 December 14, 2014 Winter - January 2 31, 2015 Spring - February 2 May 31, 2015 Summer - June 1 August 30, 2015 School Year - September 2, 2014 May 31, 2015 *Exact start and end dates for each period somewhat flexible, except Winter Term To Apply Please submit the following: Cover letter: Including your weekly availability, what internship you are applying for, what time period (school year or full season) and why you want to intern at SFPH. 3 Administrative Intern Description: The intern will report directly to the Administrative Manager while also working closely with the Accounting Manager. Intern will have the opportunity to engage in all aspects of Nonprofit Theatre Administration. The Life of Check from receipt to processing to allocation Proper Accounting Procedures for Nonprofits Subscription and Donation Processing Basic Administrative Skills General Human Resources Practices Filing System Maintenance Shadow Contract Writing Incoming and Outgoing Mail Management How to Facilitate Space Rentals Basic Patron Service Calendar Management Volunteer Management Duties May Include but Not Limited To: Assorted financial projects related to accounts payable/receivable Process incoming subscriptions, donations Clerical tasks, such as copying and organizing materials. Assist with Hour Tracking for Actors Maintaining extensive Filing System Shadow / Assist contract writing Assist with Incoming and Outgoing Mail Organization Maintain rental, production & management calendar records Help facilitate theatre rentals Assist at Production Rehearsals as needed Research, Research, Research! New Ideas for Procedures, New Connections, Other Theatres, etc. Specific Requirements: Keen Attention to Detail Intermediate to Advanced Experience with Microsoft Excel preferred Ability to show discretion in dealing with confidential information
4 Production Intern Description: The intern will report directly to the Production Manager while also working closely with the Stage Managers on staff. Intern will have the opportunity to engage in the process of Production Management from start (Production Meeting) to finish (Closing Night). Great position for students seeking careers in Production Management, Stage Management or Technical Theatre. A Behind- the- Scenes look at how a professional theatre company puts on a show Proper Organization & Maintenance of Props, Costumes & Backstage Areas How Professional Stage Managers make it happen The Ins and Outs of Production Management Basic Associated Administrative Skills How Technical Facilities are Maintained Calendar Management Help with Strikes and Load- Ins as necessary Assist with Organization and Maintenance of Props Assist Production Assistants and Stage Managers on an Occasional Basis Assist at Production Rehearsals as Needed Provide back- up to Production Manager for Tech Prep, Preview Set- Up, Maintenance Assist with Clerical Duties and Research Assist Designers during Load- In and Previews Maintain Technical Facilities on a regular basis. Assist with repairs, replacements, etc to maintain running show Special Qualifications: Theatre Major or Minor preferred Must have a love and interest for technical theatre and backstage work Be able to lift 40 pounds Not afraid of heights Experience with power tools and electrics a plus
5 Development Intern Description: The intern will report directly to the Development Director while also working closely with the Grants Manager and other Development Staff. Intern will have the opportunity to learn in all areas of Fundraising, encompassing Individual Gifts, Foundation Grants, Corporate Giving and Special Events. Great Opportunity for students interested in careers in Arts Administration or Nonprofit Management. How to Research Corporate, Foundation and Individual Donor Prospects Online Database Management The Life of a Donation from Receipt to Acknowledgement Patron Development ranging from Persons of Note Tracking to Face Time Special Event Planning and Coordination Shadow Grant- Writing Brainstorm Subscription and Ticket Possibilities Proper Maintenance of Donor and Fundraising Records Research on corporate, foundation, and individual donor prospects Maintenance of general donor correspondence / fundraising records Preparing acknowledgement & thank you letters (mail merge & hand written) Assist at SFPH events including opening nights. Organize and execute donor and subscriber events. Staff the Inner Circle Members Lounge before, during & after shows Help with calling events to sell donor prospects Brainstorm subscription promotion possibilities Shadow grant writing Reach out to donors to schedule cultivation dates Reach out to donors to renew annual gifts Create Persons of Note list for each night s attendance list. Miscellaneous filing and organization projects.
6 Theatrical Design Intern Description: The intern will report directly to the Artistic Director while also working closely with the Production Manager, and other Production staff. Intern will have the opportunity to learn from both resident and guest designers. Great Opportunity for students seeking a career in some aspect of theatrical design. The Design Process from Concept to Implementation to Voila! How to Trouble Shoot a Design or Implementation issue The connection between Dramaturgy and Design Communication Essentials amongst a Production Team How to organize effectively to create the best Design process possible Assist with drafting / drawing Assist with scenic painting, set, props, costumes construction for all productions Assist Scenic, Props, Lights & Sounds Designers for Mainstage and Sandbox Productions Research set, props, costumes, light, projection and sound materials / styles Attend Rehearsals as needed Specific Requirements: Theatre Majors or Minors Preferred Prior experience with CAD software preferred Strong Organizational Skills
7 Marketing Intern Description: The intern reports directly to the Marketing Director. Intern will have the opportunity to engage in Marketing Campaigns in various forms (print, online, social media, live). Great Opportunity for any student planning to pursue a career in Marketing. The Life of a Marketing Campaign (from idea to launch to success!) Basic Marketing Principles and Goal- Setting How to Write Copy for digital and print marketing documents Website Updating via WordPress E- mail List and Marketing Management Program Advertising Coordination Relationship Development to Promote Niche Marketing Special Event Planning and Coordination How to Turn Social Media into Sales Cross- Promotional Opportunities Google Analytics Marketing campaigns (annual subscription campaign, individual ticket sales, institutional marketing) Help write copy for all brochures, website, e- blasts, letters, promotions. Help update the company website in coordination with web programmer (word press a plus) Help manage lists and marketing. Assist with coordinating program advertising. Help Develop liaisons with civic, social and educational organizations to build group sales and promote niche marketing for individual shows. Develop strategies for tapping Union Square hotel and retail connections to generate sales Help Organize "nights" at the theatre for affinity groups Utilize social networking sites to drive ticket sales. Assist with developing cross- promotional opportunities with other theatres. Help Manage Google Grant, Analysis / Research of Google Analytics. Reach out to group sale prospects Help spearhead subscription campaign Specific Requirements: General understanding of basic Marketing Principles Intermediate to Advanced experience with Microsoft Excel, WordPress, PhotoShop preferred Comfortable engaging via phone and in person with patrons and community members
8 Artistic Intern Description: The intern will report directly to the Literary Manager while also working closely with the Casting Director. Intern will have the opportunity to engage in all aspects of season planning, new play development and the general ins and outs that keep the creative juices flowing at a professional Theatre company. Great opportunity for students pursuing careers in the Theatre industry, whether backstage or in Arts Administration. The Life of a New Play, from Page to Stage Script Analysis from the Producer s perspective Critical Writing Skills The Casting Process from scheduling and assisting with auditions to database maintenance A Behind- the- Scenes look at how a professional theatre company puts on a show Basic Administrative Skills Filing System Maintenance Shadow Contract Writing Calendar Management Participate in activities involved in developing and producing new work Maintain the administrative side of the Artistic office Read and critique plays Participate in local casting, help run auditions, maintain casting database Assist with all Mainstage productions including rehearsals, load- in, technical rehearsals, and previews as needed Sit in on artistic department meetings and note sessions.
