1 Position Description Director of Marketing Quad City Symphony Orchestra Association JOB TITLE: Director of Marketing DATE: REPORTS TO: SUPERVISES: Executive Director Box Office Manager Telemarketing Staff Marketing Intern(s) JOB SUMMARY: The Director of Marketing is a senior member of the QCSOA administration who develops and implements programs that help the QCSO and QCSYEs achieve its attendance and ticket sales goals, while also promoting its image and visibility. As such, the Marketing Director works closely with fellow senior members of the management team and the Board of Directors to determine goals and budgets to maximize earned revenue and seek out opportunities for growth. The Marketing Director will plan and manage all marketing activities for the QCSOA (including QCSYEs and VfS), including but not limited to: public relations (press, program magazines, and newsletters); advertising (print, electronic, and media); season subscription and renewal campaigns (direct mail, telemarketing); all ticket sales (including supervision of box office manager); website and social media content development and distribution; audience research; new subscriber activities; and merchandising for the Association. This position requires familiarity with current research and resources in marketing and advertising, excellent interpersonal skills, a keen eye for detail and a flair for the written word, and an ability to lead the organization in meeting its budgetary earned revenue goals. Working with the Executive Director and Program Committee, the Director of Marketing will develop patron-centric activities and communications designed to deepen patron engagement with the QCSOA. CANDIDATE PROFILE: This position requires someone who thrives in a collaborative environment, is flexible, and brings a passion for the organization s mission and work. S/he will be results-oriented, with the energy, skill, and entrepreneurial style, to initiate and develop ideas and move projects to completion. The ideal candidate will bring experience working in marketing and public relations, will exhibit leadership abilities, excellent management skills, and a record of success in facilitating multiple ticketing campaigns that achieve results. S/he will have a strong desire to connect the work of the orchestra with individuals and groups that wish to support it. S/he will have a deep commitment to community engagement as central to the purpose and mission of the arts in general and the orchestra specifically. This position requires high visibility in the community and beyond. The successful candidate will have excellent interpersonal and communication skills and is equally comfortable dealing with Board members, concertgoers, students, and sponsors as well as musicians, staff and vendors. The successful candidate will be a person of integrity with a reputation for fairness, honesty, and high ethical standards. S/he will work well under pressure and will be able to manage competing priorities and deadlines effectively. S/he will be a self-starter with high energy, maturity, and self-confidence. The successful candidate will welcome the

The successful candidate will have a minimum of three years of relevant work experience and a bachelor s degree, with advanced degree(s) a plus. Strong word processing and graphic design skills are required (Microsoft and Adobe Suites). Experience and understanding of orchestral music is also a plus. JOB DUTIES AND RESPONSIBILITIES: Ticket Sales Develop and implement campaigns to expand the QCSO s subscription, individual and group ticket base including pricing strategies and policies that fulfill revenue/attendance goals; research and recommend any special ticketing policies (i.e., exchanges) and subscription series configurations. Plan budget and revenue goals, develop strategies for expanding the subscriber base, for improving individual ticket sales and to maximize sales of tickets to groups such as corporations, schools, churches and business associations which involves proactive strategies for reaching prospective buyers, cultivation of new groups, and development of positive relationships with clients; oversee execution of marketing campaigns and advertising including the design and placement of print and electronic advertising, special promotions, and corporate sales. Develop a plan for achieving those goals and establish a master calendar that outlines all campaigns and special events; coordinate all activities with the Association s master calendar. Oversee the work of outside contractors; provide periodic progress reports. Monitor and report on subscription individual and group sales revenue and attendance for all concert series. Supervise group sales orders and ongoing customer support. Plan and implement all aspects of season subscription and renewal campaigns, including direct mail and telemarketing. Oversee the acquisition of prospect lists, production of all campaign materials, and work of outside contractors. Monitor the progress of all campaigns and provide progress reports and analyses of results. Box Office Supervise Box Office Manager. Track and report subscription, single, and group ticket sales trends. Provide information and leadership in the implementation of new ticketing software and processes. Oversee the development and maintenance of all tickets sales systems and records; ensure the accuracy of all ticket revenue reports; provide periodic progress reports as requested. Work with Director of Finance to establish a system of timely deposits, sales reports, ticket audits, and concert settlements. Ensure friendly, courteous service and customer satisfaction in ticket transactions; engage in customer research if needed to establish sales/return policies. Interact regularly with senior management, board, and public. Advertising Budget and schedule all print, digital, and online advertising. Create and implement master media and publication schedule. Create copy for all ads, print, digital and web; oversee ad production with graphic

3 designers and producers. Communication Oversee all communication/public relations to develop and implement media strategies that promote a positive brand identity for the QCSOA. Fulfill media requests, actively seeking coverage for the full spectrum of QCSOA activities, Work with staff and board to ensure consistent delivery of messages relating to the QCSOA s mission. Supervise publications (such as program books and brochures) Determine positioning of news releases and press events. Interact regularly and frequently with senior management, board, and public; cultivate media contacts. Ensure that all new promotions demonstrate the highest standards of professionalism and ethics. Report to Executive Director and appropriate QCSO Board Committees on Marketing and Public Relations activities. Social Media, Website and E-Communication Develop and maintain content for QCSO.org, Facebook, Twitter and other Social Media websites. Actively grow following on Social Media. Oversee and implement, if necessary, design materials for website. Actively grow and maintain list in Patron. Design and develop content for QCSO communication to patrons through Patron. Monitor Google analytics and campaigns and provide reports as needed to the Executive director; monitor public response on QCSO pages - respond to comments and flag inappropriate material. Respond to or redirect all general inquiries from the QCSO website. Brand Management Oversee the QCSO s visual identity on all print, digital and web materials. Monitor and curate the QCSO s online activities, such as the website and all social media. Work with QCSO staff and musicians to develop a sustainable and consistent brand for the Orchestra. Assist in the creation, development, and implementation of all facets of QCSO s merchandise sales; coordinate with volunteers to carry out any proposed projects and ensure that the products are in keeping with the QCSO s image. Patron Development In collaboration with Director of Development produce a patron newsletter that informs and invites further patron engagement. Work with the Development Director in packaging and solicitation of sponsorships and in-kind support for various product lines and campaigns Ensure that media exposure and acknowledgment promised to donors takes place. Database Administration Collaborate with the Database Administrator by developing programs and reports that collect appropriate information from centralized and/or customized databases, and by ensuring that hardware and software meet the needs various

4 departments have for database access and retrieval of information. Possess technical knowledge of computer systems and databases, and the analytical skills to solve an orchestra s multi-faceted data acquisition needs. Oversee Website and systems front and back-end, working closely with IT/technical support. Planning Serve as part of the senior management team to assist the Executive Director in setting and implementing administrative and artistic policies established by the Board. Work closely with the Executive Director and other designated staff in long-range planning for the QCSOA; prepare budget projections as needed. Ensure seamless and supportive departmental communication between Marketing and other QCSOA departments: Development, Operations, Education/QCSYEs and Finance. Identify organizational and market trends that may cause significant problems or present new opportunities for the QCSOA; recommend a course of action or changes in the current operating plan that takes this information into account. Provide information for the Music Director and Executive Director in developing program themes. Develop and recommend coordinated packaging to achieve maximum sales. Under the oversight of the Executive Director, staff any necessary Marketing Committees of the Board and other volunteers enlisted to participate in marketing and public relations special events and campaigns. Report to the Board on progress of ticket sales campaigns; provide other reports and public communications as requested. Negotiate contracts, with final approval from the Executive Director or Finance Director, as needed with outside vendors for the provision of direct mail, telemarketing, marketing research, design, and printing services; ensure competitive pricing and the quality of their work. Maintain awareness of recent research on marketing techniques; maintain a collection of current resource materials. Miscellaneous Attend concerts of the orchestra to act as liaison to the media and the public; oversee distribution of tickets to press and VIPs; participate in artist hospitality as requested. Attend civic and cultural events in the community; represent the QCSOA by speaking at public events as requested. Connect the Association with the community through the promotion of education and community programs, disbursement of complimentary tickets, etc. Serve as sitting staff member on Program Committee. Other duties as assigned by the Executive Director. Office/Work Hours Maintains regular office hours in accordance with the QCSOA Employee Handbook, but which may be flexible and highly variable on a seasonal and workload basis. The Marketing Director is expected to work occasional late and weekend hours and to attend all Board, Executive Committee, and Program Committee meetings, as well as other Board committee meetings as assigned. The Marketing Director may delegate any responsibilities to appropriate support staff and volunteer assistants while maintaining responsibility. Wage-hour exempt.

5 Compensation and Benefits Compensation is competitive and commensurate with experience and qualifications. Benefits offered include partial health care plan and paid vacation and sick leave according to the QCSOA Employee Handbook.
