2 ShipMail Connect 1. About ShipMail Connect software : Shipmail Connect works as a vessel server queuing all mail on the mail administrators pc for transfer of data to/from the World-Link access server via Inmarsat. Shipmail Connect may be set up for multiple users onboard the vessel, allowing for full crew messaging. By providing POP / SMTP services on the Mail Administrators PC, Shipmail Connect can interact with virtually any client software. The vessel user needs only to set up a simple Internet e- mail connection in their mail client which sends/receives the messages via localhost to the Shipmail Connect server. Once there, Shipmail Connect can be set to automatically transmit messages or the master can have the option of issuing manual transmissions. Please note that before attempting installation that you will need to set up service with World-Link and obtain your Vessel Username, Password and address. 2. How to install the ShipMail Connect software : To install ShipMail Connect please perform the following steps: 2.1 If you have the Software CD which have the Auto run, then you will see a form showing the list of softwares to install. Select the ShipMail Connect option on the form and press Enter. If you don t have the CD with Auto run, then please open the windows explorer and click on the CD-ROM Drive, you will see a folder named SMC. Under this drive. Click on this folder here you will see a file smsetup.exe, double click this file, it will start the installation. 2.2 During Installation You you will see a form with heading Select Additional Task here you will see options Turn ON Messages Archiving and Turn ON Messages Approval by default these options will be checked. If Turn ON Messages Archiving option is checked then ShipMail Connect will automatically maintain message archives in archive-in and archive-out users. If Turn ON Messages Approval option is checked then it will give the ShipMail Connect Administrator the ability to screen and approve/disapprove outbound messages before they get transmitted. Setup will create a folder named SMConnect in the location you specify during installation. This folder will contain all the program files, and user mailboxes.

3 3. Initial Setup of ShipMail Connect: The following steps should be performed after installation : 3.1 Create User Accounts in ShipMail Connect. Click View -> Accounts or Click the Users Button. The Users Screen is Shown (Figure 3-1): Figure 3-1

4 Click the Add Button Enter the Login Name: wlvessel (Example Only) Enter the Password: vesselpassword Enter Fullname: World-Link Vessel OPTIONAL (not necessary for most single user installations): You may also add additional user accounts here, if you have a Local Area Network (LAN) installed and wish to be able to send/receive messages from other PC s that are not connected directly to the Inmarsat Terminal, or wish to allow multiple users to maintain their own addresses. Further information on the configuration see section 3.7 below. 3.2 Set Up Outlook / Outlook Express (ON SAME PC AS SHIPMAIL CONNECT. See also: Optional Multiple PC Configuration ) Start Outlook Express to do select start --> Program --> Outlook Express (OR Double-Click on ICON on Desktop) Now on outlook Express go to the Tools menu select Accounts and Click it, now on this form press Add and select Mail. Now on new form Enter Display name as your "Full Vessel Name". Press Next Select The Option "I already have an Address" Enter Address as Vessel Address, press next Now on new for select "My Incoming Mail server is a" as POP3 Enter o Incoming Mail (POP3..) Server as: localhost o Enter Outgoing Mail (SMTP) Server as: localhost Press Next Enter Account Name: wlvessel (From Step #2 Above) Enter Password: vesselpassword (From Step #2 Above) Click Finish Click Close Mail Account creation for outlook Express 5 is finished. 3.3 Set-Up Vessel Session Information In ShipMail Connect. Open ShipMail Connect by double-clicking on the shortcut on the desktop.

5 Click Set-Up - > Set-Up OR Click the Set-Up Icon: Figure 3-2):. This will open the Set-Up form (See Figure 3-2 Select the Sessions Tab Click Select Device Select your Modem from the list of TAPI devices. Now Select the Vessels Tab Enter your NODE (VESSEL) Information as provided by World-Link this Name and password must be active at Wlnet Servers for ShipMail Connect service. For information about this, contact [email protected]. Once you have a VESSEL NAME and PASSWORD for ShipMail Connect service: Enter them here: o NODE NAME: o PASSWORD: MV_WLNK (as provided by World-Link) vesselpassword (as provided by World-Link)

6 Dial-Out Phone: telephone number (as provided by World-Link) Note that this number may require additional characters required by your Satcom-Terminal, for more information on this consult k your terminal documentation, for additional assistance, please contact [email protected] When finished entering the Vessel connection click Apply then OK 3.4 Set-Up Local Domains and Aliases. Click Set-Up - > Set-Up OR Click the Set-Up Icon:. Click the Rules tab. See Figure 3-3 Figure 3-3 In the Deliver Mail To box, select Trash if not already selected. Enter the local domain in the Type Here box. Ex vessel.wlnet.com If not sure about this, this is the last part of the address after symbol provided by World-Link, for details contact [email protected]. When you have put the domain into the Type Here box, click the button beside Local Domains near the bottom right. If you wish you can add aliases here also. In the checkbox Administrator must approve message before sending if the option is checked then it gives ShipMail Connect Administrator ability to screen and approve/disapprove outbound messages before they get transmitted. When finished making changes, click Apply then OK

7 3.5 Create a Test Message. After completing the above, use the following steps to send messages. Make sure Sh k ipmail Connect is running, if not, double-click on the Shipmail Connect Icon. (Note, that to verify that Shipmail Connect is running, you should see the Shipmail Connect Icon in your Taskbar near the bottom right corner of your screen., To open Shipmail connect, you can double-click on this icon). Open Outlook/Outlook Express. Click on Create Mail OR New In the To: box, put in [email protected] Enter a Subject test Message Put some text in the body Test Message Click Send If you have the option Administrator must approve a message before sending checked then message will have to be approved by the administrator. You will see the following line in ShipMail Connect log. these messages can be approved or disapproved, to approve or disapprove the messages go to the service option on menubar and click on Message approval please see the Figure 3-4. below Figure 3-4 when you click on Message approval the ShipMail Admin screen (Figure 3-5) will appear:

8 Figure 3-5 press refresh button to see any messages waiting for approval. You can view the message detail by clicking the particular message. The details of the message selected will appear in the box near the bottom of the screen. If you want to approve the message then check it and press the Accept button, If you do not want to approve any message then check it and press the Reject button. If you reject any message then the sender of that message will get a cancellation message that his Message was not authorized for transmission. Your message should now be waiting for transfer in Shipmail Connect. To verify this, open Shipmail Connect. Click on the Event Log icon. You should see an entry near the end of the log that shows similar to the following: If you don t have the option Administrator must approve a message before sending checked then Your message should now be waiting for transfer in Shipmail Connect. To verify this, open Shipmail Connect. Click on the Event Log icon. You should see an entry near the end of the log that shows similar to the following:

9 3.6 Transferring Messages via Inmarsat. The next step is to send your message via Inmarsat to the Internet. This is done, either by manually initiating the Dial command by click the Dial Icon. Alternatively, you may set Shipmail Connect to automatically dial at a given time, if a message is waiting to be transferred. To set these options: Open Shipmail Connect. Click Set-Up icon. Click the Sessions tab. Here check the option Run on new Outgoing message in Enter a time in seconds. Shipmail Connect will automatically dial after the time entered, if you have any messages to be transmitted. 3.7 Optional Multiple PC Configuration: Shipmail Connect allows for a vessel equipped with a Local Area Network (LAN), the ability for multiple PC s to send/receive messages without those PC s being connected directly to the Inmarsat Terminal. They only need to be able to connect to the Shipmail Connect PC via TCP/IP. A LAN should be set up similar to the example (see Figure 3-6). Note that only 1 pc should have Shipmail Connect installed. The additional PC s need only to set up an Outlook account similar to Step #3 above, but using the IP address of the Shipmail Connect server instead of localhost.

10 Figure 3-6 Sample Vessel Network Here is the set up for an additional PC in the example LAN : Start Outlook Express to do select start --> Program --> Outlook Express (OR Double-Click on ICON on Desktop) Now on outlook Express go to the Tools menu select Accounts and Click it, now on this form press Add and select Mail. Now on new form Enter Display name as your "Full Vessel Name". Press Next Select The Option "I already have an Address" Enter Address as Vessel Address, press next Now on new for select "My Incoming Mail server is a" as POP3 Enter o Incoming Mail (POP3..) Server as: (example only refer to Network of vessel) o Enter Outgoing Mail (SMTP) Server as: (example only refer to Network of vessel) o Press Next Enter Account Name: wlvessel2 (From Step #2 Above) Enter Password: vesselpassword2 (From Step #2 Above) Click Finish Click Close Mail Account creation for outlook Express 5 is finished.

Shipmail Connect Detailed Usage: After starting ShipMail Connect by double-clicking the short-cut on the desktop, the main screen appears, (see Figure 4-1) Figure 4-1 The main screen has a Menu-Bar and a Tool-Bar across the top. 4.1 Tool-Bar Options: Event Log: This button loads the main log screen showing incoming / outgoing messages as well as status of any dialing sessions. User Management: This button switches the main screen to the User Management screen, where you can add, delete, modify ShipMail Connect users. Message Authorization: This button opens the Message Authorization area, to approve/reject outgoing messages. Refresh: This button will reload all configuration (Press this after making any configuration changes. Setup: This button will open the Set Up Form where you may configure ShipMail Connect For configuration options, see Configuration Options in section later in this document. Dial: This button immediately starts a dialing session to send/receive messages via Inmarsat. Mail Processing: This button will stop / start ShipMail Connect mail processing. Make sure this is always enabled.

12 SMTP Server: always enabled. POP3 Server: always enabled. This button enables / disables the ShipMail Connect SMTP server, ensure this is This button enables / disables the ShipMail Connect POP3 server, ensure this is In addition to these, if you have the Users screen selected, You will see these additional Tool Bar Buttons: Enable User: Use this button to enable / disable the currently selected users. Use caution, if the user is disabled, you will not be able to access the users POP3 messages. Add User: Will add a new empty user, you then will need to enter user information for that user. Delete User: back manually. Will delete the currently selected user, CAUTION, deleted users must be added 4.2 Menu Options: In addition to the tool bar, you may also access various configuration and information screens by using the menu across the top of the screen. Here is each menu option in detail: File Menu: The file menu contains the following options: Clear Log: Will empty the log window Click Close Properties: Will load the Set Up form. Exit: Will Exit ShipMail Connect. View Menu: The View menu contains the following options: Tool Bar: Will show / hide the Tool Bar Info Pane: Will Show / Hide the Info Pane at the right side of the screen. The info pane shows Dialing Session and message processing details. Status Bar: Will Show / Hide the Status bar located in the bottom left corner. The status bar shows if there are any unread messages. Accounts: Will switch view to the User Accounts Screen. Event Log: Will switch main view to the Event Log Screen. Setup Menu: The Setup menu contains the following options: Setup: Will open the Set Up form to make configuration changes. Service Menu: The Service menu contains the following options: Disable/Enable Mail Processing: Will stop ShipMail Connect from processing mail. Stop SMTP Server: Will stop ShipMail Connect SMTP Server. k Stop POP3 Server: Will stop ShipMail Connect POP3 Server.

13 Help Menu: The Help menu contains the following options: Contents: Will display the help menu. About: Will display the program information / support details. 5. Configuration Options found in the Set Up menu and Setup toolbar: The Set Up form contains 9 tabs (see Figure 5-1), each tab and the options available are as follows: Figure Behavior: Set options in this tab to control how ShipMail Connect will run on your system, options are: Under Heading Run and Exit : Run When Windows Starts: Will launch ShipMail Connect when your pc starts. Open Window on Start: When disabled, ShipMail Connect main screens will not show, Only task bar indicator Confirm Exit: Under Heading Tray will appear near bottom right corner. Will ask for confirmation when Exit of ShipMail Connect is clicked. Minimize to Tray on Exe: Will minimize ShipMail Connect, and close all open windows, when the Esc key is pressed. (note ShipMail Connect will still be running, the show in the bottom right corner. icon will

14 Minimize to Tray Only: When the user Minimizes ShipMail Connect, it will close all open windows, and run in the Taskbar Minimize to Tray on Close Button: If Not checked, when the user clicks the X or (Close) button in the top right corner, ShipMail Connect will close and not be running in the background. 5.2 View: Settings for visual details of ShipMail Connect. Under Heading Visible Elements : Toolbar: Will show/hide the toolbar. Icons in Main Menu: Will show/hide icons in menus. Info Pane: Will show/hide the Info Pane at the right of the screen. Floating Hints: Will show/hide Floating Hints. If enabled - when you move mouse over an item, a description appears. Status Bar: Will show/hide bottom status bar, shows pending messages, etc. Hints in Status Bar: Will show/hide Hints in Status Bar Under Heading Event Log : Icons: Will show/hide icons in the Event Log. Adjustable Column Width: If checked will allow you to resize column widths in the Event Log window. Colorize List: If enabled will show different events in different colors, ex: RED for an error event. Show Milliseconds: Will show milliseconds in date/time column. Max String Count: Specify the maximum string displayed. Font: Changes the font in the Event Log Display. 5.3 Sounds: Settings for Sounds played during events. Under Heading Sounds : At 15 sec to start: Will play selected sound before dialing. Session Finished No New Messages: Will play selected sound after successful connection with no new mail collected. Session Finished Received New Mail: Will play selected sound after successful connection with new mail retrieved. Session Finished With Error: Will play selected sound if a dialing session ended with an error. Warning: Will play selected sound for a warning message. Critical Error: Will play selected sound if ShipMail Connect encounters a critical error. 5.4 Mail Client: Set up client interaction with ShipMail Connect.

15 Under Heading Used Mail Client : Ask to Send Receive on POP3 Request: Will prompt for a dialing session after a POP client issues a Send/Receive request. Only if Twice in 2 secs: Will prompt for a dialing session after a POP client issues a Send/Receive request twice in 2 seconds. Launch Command: Path to launch command for your mail client (Outlook, Outlook Express, etc, Note: FULL PATH must entered.) 5.5 Sessions: Settings to control dialing procedures and times. Under Heading ShipMail Connect Timers : Run on New Outgoing Message in: Will start a dialing session after the specified number of seconds from when a new outgoing message is sent. Retries on Failure: Specifies the number of retries after a failed connection, and the time to wait before each retry. Under Heading Session Window : Run Minimized: If enabled, the SMDialer display is shown during each dialing request. Select Device: Here select your TAPI compliant device (Ex: Standard 9600 Bps modem for Mini-M). 5.6 Rules: Settings for rules and options for the SMTP and message routing of ShipMail Connect. Under Heading When Username Unknown : Deliver Mail to: Select here a local ShipMail Connect to receive messages for any unknown users. If Message is Unread in..: Specify a location to store any old unread messages. Under Heading Lists : Aliases: Enter any aliases here, ex: master=newmaster. Local Domains: Enter your local domain here, ex: mv_wlnk.wlnet.com. *NOTE: When entering aliases, or local domain, enter the information you want added in the Type Here bo k x, then click the button above the location you want to add to, ex above Local Domains. To remove, select the item you want removed, and click the button above the box that you want it removed from. In the checkbox Administrator must approve message before sending if the option is checked then it gives ShipMail Connect Administrator ability to screen and approve/disapprove outbound messages before they get transmitted. 5.7 Vessels: Settings for dialing parameters.

16 Under Heading Node Parameters : Node Name: This is your Dialing Username as given by World-Link, please contact [email protected] for this information. Password: This is your Dialing Password as given by World-Link, please contact [email protected] for this information. Under Heading Remote Server : Dial-Out Phone: This is the telephone number of the ShipMail Connect server. You must include any country code, or dialing parameters required by your Inmarsat terminal. For more information on dialing with your Inmarsat terminal, refer to your Terminal Manual. 5.8 Servers: Settings for SMTP and POP3 servers. Under Heading SMTP Server : All Ip Address - : Select the IP address you wish the ShipMail Connect SMTP server to listen on. If in doubt, select All Ip Addresses. Port: Select the PORT that the ShipMail Connect SMTP server listens on, default is 25, *Note that if you change this, this is the port that you must specify in your Client software. Timeout: Sets session timeout. Write Log: Enables logging of SMTP connections for troubleshooting purposes. Under Heading POP3 Server : All Ip Address - : Select the IP address you wish the ShipMail Connect POP3 server to listen on. If in doubt, select All Ip Addresses. Port: Select the PORT that the ShipMail Connect POP3 server listens on, default is 110, *Note that if you change this, this is the port that you must specify in your Client software. Timeout: Sets session timeout. Write Log: Enables logging of POP3 connections for troubleshooting purposes. 5.9 Other: Miscellaneous Settings. k Under Heading Log File : If checked, will write a log file, and you can specify the path, for troubleshooting. Select either All Events or Only Errors, and maximum size of log file. Under Heading Check Free Space :

17 If checked, ShipMail Connect will monitor your Hard Disk (Where ShipMail Connect is installed, ) and will issue a critical error if hard disk is less than number specified here.
