1 Catholic School Council Meeting Minutes St. Bernard of Clairvaux Catholic School Tuesday April 14, :00pm In attendance: Bruno Pullara, Principal Jonathan Kostoff, Teaching Rep. Amendment made to Agenda due to CCCSC Webinar held in the afternoon of Friday April 10, 2015 Approval of Agenda Approved. Nelia Nunes 1 st, Cecilia McDonald 2 nd. Approval of Meeting Minutes Amendment made to change First Reconciliation date from March 2 to March 3. Approved. Karen Cali 1 st, Nelia Nunes 2 nd. Chairperson s Report April Pickering Torresan / Lori Verri a. CCCSC Webinar Changed by laws template. The file is now available electronically. April will adjust and make changes to make sure all information is available. Will be completed before the end of the school year. Copies will be left in the office, with the Principal and Vice Principal as well as in the CSC mailbox. b. Sharing of mail No mail to share. c. Teacher/Staff Appreciation Meeting Year End Staff Feedback Meeting, date set for Tuesday June 16, All members of CSC present agreed to join planning committee. April will confirm with the others, but felt they d be willing as well. 1

2 Principal s Report Bruno Pullara a. Online Bullying Reporting Tool Over the past year, the board has been doing field testing and piloting an online bullying reporting tool. It has been effective since the end of March. On the school website, there is a link where students can go to issue a report. Staff would then get confirmation, and then proceed to look into it. Kids are still encouraged to communicate any type of bullying incidents verbally. However, this is just another method. Mrs. Marano is managing the website. b. Curriculum Continuing to work on descriptive feedback. Parents should have received a notice/letter reminding them on learning skills. In numeracy, working on problem solving context. It s being concentrated in every grade. Jonathan Kostoff expressed by the time students reach intermediate grades, they have a formed a fantastic foundation, a framework for thinking as to what to do when dealing with a problem. EQAO to be held May 25 to June 5. Formal letter sent home informing parents of dates. The board will allocate a tutoring club once again. Tutors are based on the number of kids requiring it, takes place every Tuesday and Thursday. Commenced last week of March until mid May. c. School Events/Updates Update on athletics, outdoor soccer, baseball, track and field for grade 5 and up has begun. Intramurals continues at lunch. PALS, Games Club, Chess and Heads Up are happening. Unfortunately no skating this year due to safety concerns regarding volume of students on ice at once, will revisit next year. April 20 th starts earth week. Number of activities scheduled. April 22, Heads Up competition will take place at St. Sebastian. April 22, Junior Choir at the Peel Music Festival. Earth Rangers coming to the school April 29. Catholic Education Week May 3 8. The week will include Crowning of Mary, multicultural night, Mississauga north shining stars, considering a walk, in support of kid s hospital. May 19, grade 8 students going to Ottawa. Welcome to Kindergarten on May 19. Bruno will advise if assistance is needed from CSC. April suggested a CSC brochure be handed out; currently St. Bernard CSC does not have a brochure. Bruno will share a brochure that he has. Student Council wrote a thank you letter to the CSC for the guest speaker D.O. Confirmation will be moved to grade 7 in September Possibly 10 year school anniversary next year. Bruno will confirm, and organize a subcommittee with teachers. Fundraising Report Nelia Nunes a. Explore fundraising options for school year We have tried many different options in the past. Chocolates seem to work the best, brings in the most profit. Voted and agreed that Lamontagne Chocolates will be the fundraiser for the next school year. 2

3 April suggested late September/early October as CSC has done previously. Finalize when the fundraiser will be held during the May meeting. b. Spring Fling committee update Main Event and DJ have been booked. Cost of Main Event is $1,500, deposit of $725 already issued. Looking into getting some donations from local stores, for food items and gifts for the games. Should be done by the end of the month. Bruno was approached by a parent who works for Walmart. They proposed Walmart providing services for Spring Fling. They will provide food, cook, and clean. However, the expectation would be to market the Walmart brand at the event. Bruno to inquire and get more information, and will update Council as the Board would not permit outside event sponsorship and brand marketing. c. Review of Lunch Providers Nelia made several attempts to contact Lunch Moms to find out the profit percentage of school orders. Have not heard back from them. Receiving negative feedback from parents regarding Lunch Moms. Specifically no online ordering, errors in lunch orders etc. Nelia would like to compare Lunch Moms with different programs. Would like to replace Lunch Moms, but wants to make sure quality and profit is comparable or better. Bruno had a sample from Kidessentials. They offer a lot of options including: eco friendly products, online ordering, variety of menu options, and they assemble food on site. Looking to get a lunch provider for 3 days a week. Karen suggested speaking with other schools to see who they used. Will revisit for the next meeting. Nelia will research further. Treasurer s Report Presented by April Pickering Torresan in Patricia Pehar s absence a. Monthly report and Account Balance Current bank balance is $49, b. Use of $500 Grant Council agreed to use $500 Grant towards Spring Fling. Bruno confirmed this is permitted. c. Budget review for current school year Proposed Sacramental budget increase to $3,000. Council voted and agreed. Proposed increasing budget for subsidized excursions to $2,000. Council voted and agreed. April will contact stained glass window company, and set up meeting with Bruno. Stained glass could be on the window in the library or the window in the foyer. A design of St. Bernard, with the B, and the candle was discussed, but we need to confirm what s possible with the stained glass window designer. Karen to look into pricing for lamination of banners currently hanging in the gym, as they re beginning to get damaged. Jonathan suggested getting stairwells painted. Possibly with student involvement. Council agreed to revisit this possibility next school year, or possibly later. Recently all schools received One Time Tech Funding from the School Board, of a mobile cart with tablets. Bruno proposed ordering another cart for the school. Each cart has 30 tablets, and the cost is about $22,000. Bruno asked Council to consider allocating this year s $10,000 technology budget and profit from next school year s Lamontagne Chocolate Fund raiser for the 3

4 additional $10,000 (or $11,000) and purchase the second cart with either tablets or ipads. This would mean the school would have one cart on each floor. Council voted and agreed to commit this year s $10,000 and $10,000 from the Lamontagne Chocolate Fundraiser next school year towards a mobile cart and either 30 tablets or 30 ipads. The cart and tablets (or ipads) must be ordered through DPCDSB s IT Department. They would not be able to accept our order of a second cart until September 2015, due to all current resources and staff being dedicated to the Board s current roll out of carts and tablets to all schools in DPCDSB before the start of the next school year. Therefore $10,000 committed to technology this school year, will be carried over to next year s budget. April suggested getting a new popcorn machine. The one the school has is still working, but is showing signs of wear and tear, including duct tape holding one of the doors in place, the drum overheating etc. The machine will eventually give out. April sourced the cost of a larger machine through a parent s contact with a wholesaler. A larger machine would make twice the amount of popcorn, but costs $1,000. Council agreed that $1,000 was excessive for a popcorn machine, and will buy one the same size as our current machine, which costs less at $500. Council voted and agreed to allocate $500 for a new popcorn machine. After speaking with Mrs. Marano, April suggested getting another movie licence with a second film distribution company. Giving the school two licences, and offering more variety in the films they use. Movie footage is not only used for movie days, but is often tied in with the current curriculum. Even to show a brief clip from a documentary requires a copyright license. The second license gives teachers more options. Cost of second licence is $500. Council voted and agreed to allocate $500 towards a second license. 2014/2015 Budget to be shared with school community in June. The Council s goal is to share at the beginning of the year and at the end of the year. d. Budget discussion Part 1 for school year Approximately $13,000 is remaining in the budget this year. April suggested that Bruno ask staff prepare a wish list for the May meeting. Budget forecast for the 2015/2016 school year will be assembled at the May 14 th 2015 meeting Teacher/Non teaching Representative Update Jonathon Kostoff/Karen Cali Jonathan thanked Council for supporting grade 8 Confirmation. Friday afternoon having a gathering with all the grade 8 students, for cake and receipt of their certificates. Council members are invited to attend. Parish Representative s Update Presented by April Pickering Torresan in Lorraine Edinboro Agyemang s absence a. First Communion and Confirmation Update First Reconciliation was March 3. First Communion retreat date is May 21. In the past, students would go to the church for rehearsal, lunch and retreat. This year, students will still go to the Church in the morning for rehearsal, but will come back to the school for the retreat, to be held in the gym. 4

5 b. Change in Confirmation for next year Confirmation will take place in grade 7, beginning in September Will need to revisit the sacraments budget amount at the next meeting. c. Confirmation registration date change St. Josephine Bakhita announced in a recent weekly bulletin that due to next year being a transitional year, registration will likely take place in May. d. April shared that St. Josephine Bakhita Parish hired an external company to conduct a feasibility study. Individual parishioners had been contacted for interviews, and an open forum was held following one of the weekend Masses. The hope is to increase contributions to the Family or Parishes fundraiser, which will also support the building of the new church.
