1 MINUTES FOR BOOSTER S BOARD OF DIRECTORS MEETING Date: Thursday September 19, 2013 Time: 6:48pm 7:45pm Location: Chili s Restaurant (10040 W Happy Valley Rd., Peoria, AZ Telephone: (623) I. Attendees BOARD MEMBERS PRESENT: 1. President Sandy Pachunka 2. Vice President/ Interim Treasurer Diana Fisher 3. Secretary Karen Watkins BOARD MEMBERS ABSENT: 1. Vice President Michelle Laskowski Audience: None II. Minutes: 1. Sandy Pachunka declared a quorum, since 3 board members where present, and called the meeting to order at 6:48pm. 2. The minutes for the previous Board meeting on August 08, 2013 and Special Meeting on August 26, 2013 were approved by all Board Members present and will be posted on the BASIS Peoria Booster s Club website 3. Treasurer s Report: Mrs. Diana Fisher reported the online balance of the BASIS Peoria Booster s Club Bank of America account on: Sept 19, 2013 was $18, The Pay- Pal balance was $115.30

2 No Treasurer s report was available at this time so Mrs. Karen Watkins suggested she could file a copy of the latest Itemized Bank Statement in the Secretary Binder in lieu of the Treasurer s Report. All Board members agreed to this. 4. Secretary Business. a. Booster Mail for the month of July: Mrs. Karen Watkins kept the Bank Statement so she could photocopy it to place in the Secretary Binder, in lieu of a Treasurer s Report. The BASIS Peoria Booster s Club Bank of America Statement showed on Aug 1, 2013 Balance of $21,750:17 and an ending account balance on Aug 31, 2013 of $21,270:18. She will present it to the Treasurer at the next General Meeting on Tuesday Sept. 24, Secretary, Mrs., Karen Watkins presented a check to the Interim Treasurer from Rubio s Dinner Nights Fundraiser for $110:65 b). Mrs. Watkins gave the Intuit Statement, (bank acct. deduction of monthly Fee of $9:95) to the Interim Treasurer for filing. OLD BUSINESS 5. Updates from President, including school committee fundraising updates. Mrs. Pachunka reported that Mrs. Diana Fisher was signed up as a user for the BASIS Peoria Booster s Club Bank of America account as Interim Treasurer. She also reported that Mrs. Jennifer Murray was filling out the necessary paperwork to apply for the position of treasurer. Cold Stone Creamery Clubs Fundraiser for the School Robotics Club: held on Tuesday Sept. 10, 2013 during the BASIS lunch period raised $540:50 (the total amount left after paying Cold Stone Creamery for the treats). The fundraiser committee was unsure if they should give the cash collected directly to the school, but the Board discussed this, and Mrs. Watkins suggested it would be better to deposit the fundraiser cash collected into the BASIS Peoria Booster s Bank account and then the Treasurer can write a check payable to the

3 BASIS Peoria school so they can use it for the extra- curricular Robotics Club. This way, we would have a record of the amount of money raised for the Robotics Club fund- raiser. All board members present at the meeting agreed to this. The Fundraiser for Clubs committee pre- sold 71 hot dogs for the Hot Dog Lunch Fundraiser on Tuesday September 24, This fundraiser was for the Athletic Decathlon Club Viva Las BASIS Casino Night Fundraiser committee will hold their first meeting in October according to Mrs. Pachunka. 6. Update on Spirit Wear from Vice President, Diana Fisher. Mrs. Fisher ordered the Spirit Wear T- shirts which had been pre- paid for on the BASIS Peoria Booster s club website on August 30. She will look into the cost of the sweat shirts and pajama s. 7. Movie Night Update (Karen Watkins, Board Liaison). Movie Night is well planned and organized by the Committee, (Jennifer Curtis, Carolyn Transier and Lisa Barone) ready for tomorrow night. We have enough volunteers. 8. Dance Committee Update (Karen Watkins) (NJHS/Leadership involvement). Karen Watkins (Board Liaison for the School Dances) met with the Dance committee on Sept 17, 2013 at 6:30pm. We have enough volunteers for the committee but no one was willing to be the Committee Chair person. The Dance Committee decided on a Halloween theme and will do 2 parties this year, one for Lower School, and one for Upper School Students, we will wait until the Board has a chance to meet with the School Admin. to receive approval for the times to hold the dances. NEW BUSINESS 9. Mrs. Sandy Pachunka announced that we have someone interested in the position of BASIS Peoria Booster s Club Treasurer, her name is Jennifer Murray. We will appoint her as the new treasurer at the General Meeting on Tuesday Sept., 24 th, Autumn Fundraiser Event: Discuss potential alternative activities, such as Car

4 Show. Mrs. Watkins talked about the potential to get involved with a Fundraiser with Liberty High School: Mrs. Watkins spoke to the Board officers about an opportunity to help with a Fall Festival Fundraiser being organized by the Liberty High School Lions Parent Club on Saturday November 16, They are looking for people to have booths, run (collect tickets) for one of the rides, sell products, sell wrist bands for rides, earn money on VIP parking spaces, food sales, dessert sales, or organize games for the kids to play at their event. We would have to donate 20% of our funds raised to the LLPC and we can keep the rest. Mrs. Pachunka aksed Mrs. Watkins to type a report with all the details and give them to Mrs. Laskowski, then postponed this Agenda topic since Mrs. Michelle Laskowski is not at the meeting tonight. Mrs. Watkins asked them to save that weekend of November 16 th, 2013 and not to plan any other Booster Activities for that weekend as we have the potential to earn a lot of money at this fundraiser. DC Solar Systems/Solar Depot Fundraiser program (Michelle Laskowski). Mrs. Pachunka postponed this Agenda topic since Mrs. Michelle Laskowski is not at the meeting tonight. 11. Sports Events: Phoenix Suns Update: Mrs. Sandy Pachunka provided an update in lieu of Mrs. Laskowski s absence from tonight s meeting. She reported that the first date scheduled for the Basketball 50/50 raffle is Friday November 15 th. Mrs. Pachunka said that we would need approximately 15 to 20 volunteers to be able to sell enough raffle tickets. Mrs. Watkins said she didn t think we would be able to get enough volunteers for this event, especially with it being on Friday evening and people would have to be at the game early for Training (to sell the raffle tickets). The Phoenix Suns Basketball company allocated us 60 seats in the upper level for a cost to the Booster s club of $35 each (total $ $2,100), ticket resale value is estimated at $50 - $65 each) and 20 seats in the lower level at a cost to the Booster s club of $64 each (total $1,280), approximate ticket resale value estimated at up to $115 each. We discussed the option of selling the tickets for $40 for the upper level seats, and $75 for the lower level seats, but we decided to present it at the General BASIS Peoria Booster s Club meeting scheduled on Tuesday September 24, 2013.

5 The cost to BASIS Peoria Booster s Club for the Phoenix Suns vs Brooklyn Nets Basketball game buy- in deposit of 50% is $1875 (figure provided by Michelle Laskowski in an dated 10/29/13). BASIS Peoria Booster s Club will also participate in the Phoenix Suns 50/50 Raffle. It was stated in a previous sent to the Board Members by Vice President, Michelle Laskowski, that in order to be placed on the 50/50 priority list, the BASIS Peoria Booster s Club must put down half of the spend money as a deposit. Mrs. Pachunka made a motion, via , to vote on spending the money for the buy- in deposit for the Phoenix Suns 50/50 Raffle. Mrs. Diana Fisher seconded the motion. 3 Board Officers voted for the motion, one voted against. Majority vote wins. Motion Carried. 12. Board Member Concerns/non- agenda items: Date/content for next newsletter for Booster families. Mrs. Pachunka requested the blast be sent out to the Booster s Club opt- in parents by Secretary, Karen Watkins, on Monday Sept. 23, Mrs. Watkins expressed concerns about online voting instead of voting at Board Meetings. Mrs. Fisher said that she had spoken with Mr. Gordon Troan, CPA of 5 Star Tax Center to ask him if he would attend one of our meetings to discuss 501 ( c ) (3) tax rules in regards to spending Booster s club funds. 12. Schedule Next Board Meeting: Mrs. Pachunka decided to wait until the General BASIS Peoria Booster s Club meeting on Tuesday September 24, 2013 to decide on a time for our next meeting. 13.
