1 NATIONAL TRAINING SURVEY 2013 Survey developmet briefig ote 2 This briefig ote provides the key dates for the 2013 traiee survey, ad sets out the survey data that deaeries will eed to provide. The data collectio process for the 2012 traiee survey was very successful. The hard work that deaeries put ito cleasig the referece data ad workig with the ew data validatio tool paid off. Cosequetly, there will be o eed for wholesale referece data updates ad we have aimed to make as few chages to the process as possible for Time lie These are the key dates for submittig traiee data for the 2013 traiee survey: GMC seds data validatio tool to deaeries Jauary 2013 Deaeries submit traiee data to GMC 25 February March 2013 GMC loads traiee data ito survey. Survey Maagemet tool made available for deaeries to edit loaded data. 18 March March 2013 Survey live (six weeks) Deaeries to validate doctor data chage requests via Survey Maagemet tool. Tues 26 March 2013 Weds 08 May 2013 Deaeries review programme ad locatio data, ad submit ay updates to the GMC Approvals team usig GMC Coect. 2 The timelie of key dates is more or less idetical (relative to the cesus date), although deaeries should ote that the survey widow will ow be six weeks rather tha seve. Deaeries will eed to esure they follow the GMC s approvals process for ay chages to their programme ad locatio referece data for Cesus date The cesus date for the 2013 survey is Tuesday 26 March Traiee populatio The populatio we will be surveyig ad will require complete traiig iformatio o is: Foudatio traiees (F1 ad F2 traiees o a foudatio programme) Core traiees. Higher specialty traiig, icludig SpR ad GP traiees. FTSTA traiees (we will eed to kow the level associated with the traiee s curret role). LAT traiees (we will eed to kow the level associated with the traiee s curret role) Military traiees all military traiees workig withi the service o all approved programmes. Traiees i cliical lecturer ad academic cliical fellowship posts approved by the GMC (we will eed to kow the level associated with the traiee s curret role). Traiees workig for o-nhs orgaisatios. For example, occupatioal medicie, pharmaceutical medicie ad palliative medicie. The populatios we will ot be surveyig, but will collect iformatio about are: Traiees o materity leave o the cesus date Traiees o: out of programme traiig (OOPT), out of programme research (OOPR), out of programme cliical experiece (OOPE), or out of programme career break (OOPC) o the cesus date. The data fields required for these traiees are idicated by a asterisk * i the table below. The populatio we will ot be surveyig ad will ot require iformatio o is as follows: Detists Doctors who have bee awarded their CCT, ad are i their grace period. Providig the data to the GMC for the 2013 traiee survey We will sed you a updated validatio tool with user istructios i Jauary You will be able to use the tool to validate your data locally ad esure your deaery systems have accurate data. Oly validated traiee data should be set to the GMC. Data security Whe you have populated your spreadsheet with validated traiee data you must sed it to the GMC usig the GMC Coect system. You must ot it directly to the GMC as it must be trasferred usig a secure chael. We will sed you istructios o how to use the GMC Coect system. If a traiee is participatig i more tha oe programme you must decide which oe to report o. You ca oly choose oe value. 1st Programme Specialty* Madatory Free text, must match 1st Programme Code This will be validated agaist your deaery s pre-approved referece data ad therefore must be the correct specialty for the programme code provided. 2d Programme Code Madatory Must be 3 letter GMC deaery code followed This will be validated agaist your deaery s pre-approved referece (where applicable) where applicable by either 3 or 4 umbers: eg LON4567 data. Collectig this data will eable the GMC to idetify the umber of doctors o dual CCTs ad what specialties they are traiig i. The survey will ot ask ay questios o this specialty. 2d Programme Specialty Madatory Free text, must match 2d Programme Code This will be validated agaist your deaery s pre-approved referece (where applicable) where applicable data ad therefore must be the correct specialty for the programme code provided.

4 Field Requiremet Defiitio Validatio rules Traiig Level or Grade* Madatory Must be a two or three character code, This must be a valid value for the selected programme. coformig to oe of the followig values: F1-2, CT1-3 or ST1-8. CT or ST with o umber followig is ot a acceptable value. Please Note: SpR is o loger a valid Traiig Level for the Natioal Traiig Survey. For these traiees, deaeries must provide a equivalet ST or CT level for the doctor. This should be calculated by takig the doctor s CCT date, ad workig backwards. I these cases, please select SpR as the Traiee Type for these records. Post Specialty Madatory Free-text, must match a value o This is the post specialty ad is idepedet of the programme pre-determied list. specialty. Board or Trust Name Not Madatory Free-text This should be provided wherever a Board or Trust code has bee provided. Whe we load your data ito the survey, we will use the Board or Trust Code you have provided to derive the ame, based o your pre-approved referece data. The validatio tool will check that the ame you eter i this field matches the ame associated with the code i the referece data.

Site Name Not Madatory Free-text This should be provided wherever a Site code has bee provided. Whe we load your data ito the survey, we will use the Site code you have provided to derive the ame, based o your pre-approved referece data. The validatio tool will check that the ame you eter i this field matches the ame associated with the code i the referece data. It will be validated agaist the pre-defied list of values ACF (Academic Cliical Fellow) AFT (Academic Foudatio Traiee) CL (Cliical Lecturer) FTSTA (Fixed Term Specialty Traiig Appoitmet) LAT (Locum Appoitmet for Traiig) SpR (Specialist Registrar) Please use this value to idicate ay traiees who are SpR, ad you have provided equivalet ST or CT values as their Traiig Level. RTT Exceptio (Ru Through Traiig Exceptio) Please use this to idicate where the traiee is recorded at the deaery as beig a ru-through traiee, but their programme is ot a approved ru-through pathway.. NTN/DRN* Not Madatory Must be oe of the followig: A warig will be give if o value is provided NTN for traiees i substative specialty (please igore this for foudatio traiees). traiig posts Collectio of this field will help to resolve ay queries regardig Format - DDD/EEE//F the doctor s traiig programme ad assist us with idetifyig Where: DDD = Deaery EEE = Specialty academic traiees. It will ot be validated, but held for = Couter, F = Type of appoitmet referece purposes. For doctors ot i traiig, we oly require the fields highlighted with a * DRN for traiees at LAT, FTSTA grade or i core specialty. Format - YY/AAA/B/CC Where: YY = Year of appoitmet i two digits, AAA = Specialty idetifier, B = Type of appoitmet, =Couter, CC = Deaery Leave blak for Foudatio traiees. Please ote that we are ot collectig the doctor s address from the deaeries as we will use the address that we hold agaist the doctor s GMC olie accout. However, you may still wish to collect the address as part of your data collectio process there will be a separate colum provided for this data i the data validatio tool.
