Page 1 of 30 02/03/2013 Oral Communication Program Tech Tutorial Embedding YouTube Videos in PowerPoint Section 1: Embed Online (with an active internet connection Windows only) In Windows, PowerPoint has a built-in web video functionality. Remember, this method requires an active internet connection. 1. In your internet browser, visit the YouTube video you want to embed in your slideshow. For example:

2 Page 2 of Click the Share button below the video. 3. Click the Embed button and select the Use old embed code checkbox.

3 Page 3 of Copy the entire embed code by first selecting the text in the highlighted box. Then right-click and click copy. 5. In Microsoft PowerPoint, click the Insert tab at the top left of the menu bar. Then click the Video dropdown arrow and choose Video from Web Site

4 6. In the prompt window, right-click and paste the embed code. Then click Insert Page 4 of 30

5 Page 5 of Your video will appear as a black box. Use the Format and Playback tabs to adjust the size of the video and choose when it will begin playback (See Section 3).

Section 2: Embed Offline (without an internet connection Mac only) Mac Offline On Mac, PowerPoint can only embed video from files on the computer. In order to embed YouTube content, the user must download the video from a third-party website. Remember to include the video file when transferring your PPT file on a flash drive or other device.

7 1. In your internet browser, visit the YouTube video you want to embed in your slideshow. For example: Page 7 of 30

8 2. Select the web URL and right-click to copy it. Page 8 of 30

9 3. Go to and paste the URL into the textbox. Then click Download. Page 9 of 30

10 4. Click Allow in the applet prompt. Page 10 of 30

11 5. Click the MP4 video version. Page 11 of 30

12 6. Check the Save File option in the dialogue box, click OK, and select where on your computer you want to save the file. Remember this location for later. Page 12 of 30

13 7. In PowerPoint, select Insert -> Movie -> Movie from File Page 13 of 30

14 Page 14 of Select your file in the file browser. Make sure to enable All Files in the dialogue box at the bottom of the window. Then click Insert.

16 Page 16 of Begin your slideshow and play your video! Windows Offline Unfortunately, the format of downloaded YouTube video files (.flv or.mp4) is not compatible with Windows PowerPoint. At this time, there are no third-party websites like that can download a compatible file for Windows (.asf.avi.mpg.wmv). To show.flv or.mp4 video, the presenter will need to play the video outside of PowerPoint in a program like QuickTime. If you have any of the compatible formats (.asf.avi.mpg.wmv) for Windows, you can embed them with the following procedure:

19 3. Your video is added. It may be very large, so you may have to edit the size in PowerPoint (see Section 3). Page 19 of 30

20 Page 20 of 30 Section 3: Editing Video Size of the Video Window Click and drag the circular tabs at the corner or sides of the black video box to make the window larger or smaller.

21 Page 21 of 30 Playback Adjustment Under the Video Tools -> Playback tab, select Trim Video. Use the green and red bars to adjust start and end time of your video. Then click OK.

22 Page 22 of 30 Volume Move your mouse over the speaker icon beneath the video. A toggle bar will appear above the speaker. Click and move the circular button up or down to increase or decrease volume.

23 Page 23 of 30 Additional Editing There are many options for video editing, the basics of which have been covered in this tutorial. If you d like to make even more adjustments to your video, use the Video Tools > Playback and Format tabs. Playback Format

24 Page 24 of 30 Note on Mac Video Editing All the features described in this tutorial apply to both Mac and PC. The only difference is that in the Mac version, the playback adjustment and additional editing commands fall under the Format Movie tab and -> Playback Options dropdown menu.

25 Page 25 of 30 Section 4: Troubleshooting Video Problems If your video does not play, there may be certain problems with the video itself or its location. The two most common problems are that 1) your video is in a location that can t be properly referenced by the PowerPoint program or 2) you are using an incorrect video format. 1. Invalid Location: Setting Video Locations If your video does not play, it is possible that its location on your computer is the problem. First, make sure that the video file is in the same folder location as the PowerPoint file. Notice that in the above image, the video file mp4 is in the same folder as the PowerPoint file Editing Video.pptx. This is correct. If you haven t done this, try to import the video into PowerPoint again once the files are in the same location.

26 Page 26 of 30 If the video still does not play, it is possible that the directory name is too long or complicated. See the line of text at the top of the next image? This is the directory name, and it is pretty long. This happens if you have many folders within folders.

27 Page 27 of 30 To fix the problem, try moving the PowerPoint file AND the video to a location with a shorter directory name, like the Desktop. Just select the video file and the PPT file, click copy, and paste to the desktop.

28 Page 28 of 30 Great! Now your files are next to each other and both on the desktop. Open your PPT file again, and your video should work! 2. Incorrect Video Format: Converting Video If you tried the above and are still having issues, it s possible that you are using an invalid video format. Mac and Windows have different valid formats. See below for which types each operating system can use. Windows.asf.avi.mpg.wmv Mac.avi.mov.mpg.mp4 We recommend that you convert to.avi when possible, because it should be compatible on either system. This helps create a PowerPoint that will be as versatile as possible across platforms. If you want to convert your video, you need to use a computer program. The best option is to use the Multimedia Studio on the 2 nd floor of Meyer Library. Here you will find Apple imac computers that have video conversion software.

29 Page 29 of 30 If you can navigate a new software program, feel free to login to the imac computers and search for the HandBrake application. This is the program that will convert your video. It will look like this:
