1 Tender For Selection of Advertising Agency GNFC Ltd, a Joint Sector Company promoted by the Government of Gujarat was incorporated in the year The Company started its operations by setting up the world s largest, single stream fuel oil based Ammonia-Urea complex in Within a span of last 30 years, company diversified and executed more than 45 projects at a total cost of about Rs 2,270 Crore. We are seeking for Advertising Agency/ies to work for us for following business related activities of GNFC Ltd, here and after mentioned as Company. 1. PR/Media management works of the Company.Pl. refer Annexure A 2. Designing, artwork and publication of Company s advertisements. Pl. refer Annexure B 3. Designing and Artwork, procurement and customs made Gift articles.pl.refer Annexure C 4. Exhibition stall designing, fabrication, display, handling presentation, display etc. Pl. refer Annexure D 5. Film Production/TV and channel ad production and telecast./radio Jingle production and telecast/high resolution Industrial and event photo shoot Pl refer Annexure E 6. Hoarding display. Pl refer Annexure F ELIGIBILITY CRITERIA 1. Minimum average annual turnover of Rs 1 0 crore during the last three consecutive years. Gujarat Office average turn over should be minimum 3 crore for last 5 years 2. Should have Service Tax, PAN & TAN No. Registration. 3. Agency should have full fledged office operating at AhmedabadI Baroda/Surat 4. Minimum 5 years experience of similar nature of work. 5. Preference will be given to the agency having minimum experience of 3 years in Handling similar nature of work for Gujarat Government and an experience to work with GNFC In the past and/or now. 6. Agency should have INS, Doordarshan and All India Radio accreditation 7. The Agency must have at least 3 PSU clients whose single Work Order I Billing should be of Rs. 50 lakh or above for last 3 years. 8. Agencies black listed by any PSU / GOG in the past are not eligible to apply. 9. Neither the agency nor any of the partners/owners/directors have been prosecuted for any offence under any law. Business Committee of the PR & Media management of the company (GNFC Ltd) shall evaluate your Techincal & Financial details as per evaluation criteria (total score 75 marks) Based on the evaluation of your Techincal & Fianncial details,if Your agency will score more than 60 marks, You will be invited to give presentation, Score of Evaluation of presentation will be 25 marks. You will need to give presentation in front of the committee decided by the management.

A to F ) you are interested. 3 Your Clients credentials (In 1 to 2 pages.) of last 5 years supported by the copies of work orders / certificate issued by the clients. 4 Your Employees and infrastructure strength in 2 page. These details should carry Total No. of 1. Expert designers, 2. Art Director, 3. Skilled supervisors, 4. Managers, 5. Account staff, 6. Copy writers, 7. Script writers, 8. Content developers etc..i.e. cadre wise employees, their Name, Designation, Responsibility, phone No. e mail id, Your office working days, Work hours, salary package at each level etc. 5 Other Infra structure viz. Office area in Sq Mtr, whether own or rental ( Pl.specify), location,etc,.design studios, hired/own godown(pl specify) in Sq Mtr, area with location, No. of agency owned 4 wheelers 6 i. Any extra ordinary achievement/award/reward at your credit if any in last 5 years. (supported by proof ) ii. Please mention if you have ever worked for GNFC Ltd. Please mention work you carried out and the No. of years you worked for GNFC Ltd. 7 Your total (1) Annual business turn over, (2) Profit after tax & (3) reserves/surplus Rs.in crores for last 5 years. (Preferably With segregated details of Your Financial Turn over in the area of each scope of work ) as mentioned in Annexure A to F These details should be duly certified by your authorized Chartered Accountant and submitted. Additional attachment of your 5 years balance sheet shall be treated as added value to your profile

Document fees ( Non refundable ) of Rs. 2000/- ( Rupees two thousand only) By A/C payee DD in favour of GNFC Ltd payable at BOB, GNFC Complex branch, PO : Narmadanagar, Dist :Bharuch-Gujarat. to be submitted with Technical & Financial Details sealed envelope. 2. Earnest money deposit of Rs.5,00,000/- by DD as mentioned in 1, as above, if selected and offered to work for GNFC after presentation. 3. Details are to be packed in a single envelope and sealed properly mentioning on left top corner of the envelope- Technical and Financial details for Advertising / Media management (Strike off for which bid is not enclosed) 4. GNFC Reserves rights to reject late receipt/not to consider ad agency s details / not to call for presentation after evaluation of details received and not to assign job/s after presentation. 5. 7 Annexure A PR/Media management in Print & Electronic media Sr Broad scope of work : Carrying out activities for Corporate Image Building which includes initiating Corporate 1 features/stories in Pink Paper, Mainline & Business Magazines. Initiating Corporate stories on different aspects like financial management, marketing initiative 2 etc 3 Creating various theme, management profile, press releases etc 4 Publication of Profile / Interview of the management in the media 5 Dissemination of Press Releases or Press Conferences as per requirement on following occasions: a) Announcement of Quarterly I Half Yearly or Annual Results b) Change in Board Members I Joining of Officials at senior Management levels c) Material Development within the company like new projects, expansion diversification, tieups and on receipt of Award, Certificates, Approvals etc 6 Plant Visit of media, brokers, Analysts whenever required 7 Carrying out public relation exercise with the Investors, Press, Opinion leader, Brokers etc Organizing and coordinating the visit of reporters and photo Journalists and ensure proper 8 coverage of press notes 9 Arranging Road shows, curtain raiser programme 10 Arranging Analyst Meet whenever required. 11 Arranging Interviews of the Management Official with the press and electronic channels 12 Managing the media during all events of G N FC 13 Arranging Familiarization tours of media representatives 14 Handling Financial Communication 15 Media Monitoring for the company for all coverage on a national basis 16 Co ordination with all Media Vehicles Print, Audio & Video (electronic, Internet), Outdoor 17 Any other services which may be assigned on mutually agreed terms.

8 Annexure B : Designing, Artwork & Publication Broad spectrum of work. Design development and release of all Financial, Legal, Statutory, Tender, Chairman speech, Recruitment, Notice etc advertisements on regular basis including Language Translation of any Indian language including English, Copy writing, Script writing, Content development etc.such work will need your agency s abilities to complete the work of designing, proof reading, language translation and publication on short notice. Annexure C : Designing and Art work, procurement and customs made Gift articles Broad spectrum of work. Design development of various publicity material viz, Corporate booklet, brochures, leaflets, POPs danglers, Folders, Diaries and Calendars, Desk calendars, Hoardings, our Retail outlet Boards, Road signboards, event related theme based designs etc. Depending upon the requirement, Such jobs will need to be carried on a short notice but satisfactorily and successfully. The works will include designing of Company s all publicity literature. Designing and art work of Indicator boards, Company s circles in the city, Tehsil/ villages, reception and auditorium, for movable and immovable publicity etc. Designing of Invitation cards and envelopes, developing various logos Developing concepts for Print and Electronic media ( digital publicity ), Product/company s Press/Electronic media campaign and its related designs and artwork Designing and artwork of Company s procurement or supplying customs made gift articles, Design development of special gift articles etc. Designing and artwork of Company s /CSR activities publicity and its related Event/regular publicity literature. The Agency should have proficient translators and proof readers for any Indian language to any language.

9 Annexure D : Exhibition stall designing, fabrication, display, handling, event display etc. Broad Spectrum of work. GNFC s Corporate Exhibitions/tableau/Permanent display/mobile display Event based display and event management excluding Media management Works Throughout the year, as and when participated. Company s Stall designing, fabrication & display and total handling in Company decided participation in Exhibitions, Tableau designing, fabrication & presentation, Corporate display during events, Event management Permanent nature display at our HO, Gujarat Region and in our marketing area in various states. Coordination with Exhibition organizers/ Deptt. Of GOG/Govt. affiliated agencies on behalf of the Company/other agencies. Qualities expected are as below. Full time Infrastructure. Ability to complete jobs satisfactorily in a short notice period of 15 days. Ability to meet with changes if any to be made while execution of work Ability to provide amicable, learned, well behaved and energetic Assistant throughout the exhibition days and also security person if required. Creative designers, Art directors, skilled Supervisors and sufficient carpenters, electricians, language translators etc. Whenever job is given, An ability to meet emergencies, tackle and coordinate with organizers and concerned authoriries on behalf of the company Competency in providing excellent creativity and job related services at reasonable prizes as deemed fit by Company Annexure E Film Production/TV and channel ad production and telecast./radio Jingle production and telecast/high resolution Industrial and event photo shoot Broad spectrum of work. Profile related to Film Production for Industrial manufacturing. Please submit along with DVD of film produced in last 5 years Your own Available infrastructure for animation/editing/script writing etc. Turn over of the business in last 5 years with audited certificates by CA

10 Annexure F : Hoarding. Display. Broad spectrum of work. Hoarding display in and around Bus depot, Railway station, Indian airports and Aerodromes State & national Highway, Cities & Tehsil and village level. Ability to provide feed back, data base of visibility, maintenance, coordinate with Local concerned authorities and settle if any issue pertaining to hoarding display arise. Company shall no way take any responsibility for selection and display of hoardings if the agency installs hoardings without permission/licence of concerned owner/authority. It will be responsibility of Hoarding agency to carry out periodical check up of hoarding, its quality display, cleanliness and visibility and to up keep its visibility Agency should also be competent for digital display and kiosk supply and maintenance.
