Permanent Head of Administration Vacancy reference Additional information Introduction The Ruskin School of Art Dating from 1871, when John Ruskin opened his School of Drawing, the Ruskin School of Art established a Bachelor of Fine Art degree in There are up to 90 undergraduates, 15 Masters students and 20 doctoral students studying Fine Art at the Ruskin at any one time. The School is distinctive within the University because all the teaching takes place within the department, rather than through the college tutorial system. The School is situated at two sites: a large Victorian building at 74 High Street, which houses studios, offices, and collections, and a brand new building on Bullingdon Road (off the Cowley Road) providing further studio space, together with state-of-the art workshops, digital media facilities and a large Project Space for audio-visual installations, performances, and other events.

2 The Ruskin allies a commitment to the highest standards of excellence in teaching and research to a multi-disciplinary approach to Fine Art education. The Ruskin has a strong record of attracting external funding for a wide range of projects. The output of these activities takes many forms, including solo and group exhibitions, public art projects, live and timebased art, presentations and publications. These take place locally, nationally and internationally and form the basis of symposia on a wide range of topics. The Ruskin enjoys collaborations with many other parts of the University, including the Department of the History of Art, the School of Anatomy, the Department of Engineering Science, and the Institute of Archaeology, and with the five University museums, including the Ashmolean Museum. For more information please visit Job description Overview of the role The Ruskin School is seeking to appoint a Facilities Assistant, a member of the administrative team based at the School s High Street site, who has a key role in ensuring the smooth running of the School. The post holder will be undertake general facilities/workshop duties mainly at 74 High Street. He/she may also occasionally be required to work at the School s other site at 128 Bullingdon Road. This role will also include supporting the Senior Technician, Technician and Electronic Media/IT Manager, providing technical support to students, liaising with contractors and departmental colleagues, working within University health and safety best practice. This post involves a wide range of activities and is ideal for someone with facilities/workshop experience, who is willing to be flexible and has a proactive attitude. The post may occasionally involve working off site, and transporting goods, materials and art work to alternative venues. Summary of responsibilities: Providing cleaning, maintenance and caretaking duties, working closely with all the support and administrative staff in the building and supporting the students requirements in terms of their studio, equipment and materials requirements, and to facilitate the smooth running of the Ruskin School premises at 74 High Street, Oxford. The appointee may also be required to provide cover and assistance as required at the Ruskin s Bullingdon Road site. The Facilities Assistant is also responsible for ensuring that rooms and facilities in the building are prepared for teaching, meetings, and other events, duties including the moving of furniture and setting up of equipment as necessary. He/she will work closely with the Head of Administration (HA) on the organisation/scheduling of day-to-day basis work during term time, and for longer projects during the vacations. This includes discussing in advance with the HA any requests for non-standard preparations to be 3

4 made to rooms, by those who have booked them, or other spaces within the building to ensure that preparations can be, and are, put in place. These will be agreed and prioritised with the HA in light of demands on the Facilities Assistant s time. Main Responsibilities/Duties General maintenance (eg: changing light bulbs, keeping external pathways clear, overseeing and enforcing the safe use of studios, moving equipment etc.), advising the HA of any work that requires Estates Services attendance for registering on Planon (the University s online buildings maintenance database); Responding to requests from the HA. Checking s on a regular basis; Assist students with frame and canvas stretcher making, hanging exhibitions, creating individual studio spaces and any other tasks that can be carried out with the wood-cutting facilities held on site. Provide training to students on use of all tools/equipment as required. Organise and keep a signing in & out book for tools & equipment taken from store or their usual site by students; Maintaining stock levels for art materials for students and office stationery for staff, and of Health & Safety-related items; management of all deliveries to 74 High Street, liaising with appropriate members of staff and students for onwards distribution of items. To check stock against order/delivery notes; Health & Safety housekeeping to ensure a safe working environment and particularly in relation to all student activities; First Aid recording any incidents in the accident log book and checking first aid supplies are in date and fully stocked throughout the building and ordering replacements as required. Be trained in First Aid at Work ; Be aware of the University and Ruskin s security systems and emergency contacts and procedures. Carry out regular checks on security of buildings, e.g. maintenance of locks, doors, windows, etc. and report any lapses in security of equipment or of the buildings to the HA immediately; Ensure that keys to all doors in the building are labelled and kept in good order, and ensure appropriate security arrangements and lists are maintained. Ensure that the building is properly secured and alarms set, or responsibility delegated as appropriate at the end of each day in consultation with other staff in the building. A working knowledge of the security and fire alarm systems and of the evacuation and emergency drills for the building is essential, and the appropriate training will be given; Standards of cleaning: check that the cleaning contractor has carried out the daily cleaning of toilets and public areas to an acceptable/contracted standard. Check on health & safety requirements and general awareness of cleanliness and tidiness of building. Report any problems as appropriate. Organise and carry out the efficient and regular removal of rubbish, including weekly bin collections and occasional collections of old furniture/equipment to be disposed of; Providing general support to the administration and facilities teams in supporting events, and teaching sessions; Assist with the setting up and maintenance of teaching and seminar rooms, such as arranging furniture, cleaning white boards, preparing chalkboards, fixing easels/donkeys 4

5 and setting up IT/AV equipment. This covers not only student teaching and the Life Drawing courses during term time but at all other times when courses are arranged including all internal and external short courses, room hire etc; Assist with the annual admissions exercise (selection of undergraduate and graduate students) by receiving, logging in & out, storing, laying out and ordering the collection of portfolios of potential students for all aspects of the admissions process for all courses (BFA/MFA/DPhil); Completion of any H&S associated paperwork, including recording health and safety incidents, fire extinguisher checks. Ensure risk assessments are carried out for all internal events; Stand-in reception duties as required staffing the Admin office during lunch breaks, to cover holiday, sick leave, etc., this may include occasional Saturday mornings (9.00a.m p.m.) depending on availability, handling telephone enquiries, dealing with visitors, taking Ruskin post to the Post Office. Pick up and deliver equipment and mail between Ruskin sites; Use of hire vehicles as required. Comply with national regulations as relevant to minibuses, for example those set out on the DVLA web site, Training will be provided, as required. At the end of each term work with students to ensure that they have cleaned up and cleared their studio spaces. At the end of Trinity Term each year ensure that students take down any temporary walls/screens and clear their space, packing items away for storage over the Long Vacation, if returning. Any other cleaning, general maintenance, painting and decorating as required, especially through the Long Vacation Any other reasonable requests related to the efficient management of the site. Other Responsibilities/Duties Undertake any necessary training identified Comply with health and safety regulations set out in the Health and Safety at Work Act of 1974 Comply with and assist with the evolution of Risk Management protocols. Comply with the policies and procedures set out in the Handbook for Non-Academic related staff. Pay and Benefits The full-time equivalent salary for this job will be at University Grade 3, in the range 18,212-20,989 pro rata, depending on qualifications and experience. The full-time equivalent (36.5hrs = 100%fte) annual holiday entitlement is 38 days (including public holidays), a small number of which must be taken on fixed closure days. The hours of work are 35 hours per week (96%fte), worked normally between 9a.m. and 5p.m. Monday to Friday. Pay and benefits for part-time appointments are worked out on a pro rata basis. The appointment is subject to satisfactory completion of a one-year probationary period, during which the notice period will be 1 week on either side. Once the appointment has been confirmed, the notice period will be 1 month on either side. 5

6 Selection criteria Essential General site maintenance experience. Basic plumbing, woodworking, and other facilities or premises repairs experience. Ability to use hand tools and basic workshop equipment. Basic literacy for completing necessary log books, forms, etc. Awareness of good standards of customer service. Ability and knowledge to undertake routine equipment safety inspections and maintenance, eg Portable Appliance Testing. Ability to load, move boxes holding equipment, help re-arrange meeting rooms and other similar tasks. Computer literate (including , internet, word-processing, basic spreadsheets). Good interpersonal skills and the ability to form good working relationships and function as part of a team, with capacity for independent working and initiative. Willingness to learn and take on additional duties as they arise. Desirable Experience of working in an educational environment and with young people. Experience of working in a studio or gallery. Experience with fire alarms and security systems. Training in first aid and/or fire extinguisher usage. Experience in driving passengers or deliveries vans, in a city. Experience of working with Apple Mac computers.
