1 January Meeting Minutes The minutes of the meeting of January 10, 2013 follow. Section I includes notes taken during the call itself, Section 2 includes all updates received from council members by the deadline for this month s reports. Be sure to let Sarah know of any corrections. As a reminder, our next call is February 14 th. Talk to you in February! Notes From Conference Call Council Members attending the call: Deb Whitworth, Marcia Benner, Sarah Conroy, Kelly Jaeger, Ryan Bushey, Barbara Lovejoy, Kathryn Anderson, Jerry Marstaller, Lisa Noonan, Amie Parker, Mary Beth Turcotte, Pearl Ivey, Jessica Fairclough, Jodie Griffith, Lee Ann Lowe, Lisa Ballard, Lydia Sy, Heather Bassett, Bill Saufley, Susan Ouellette, David Vasconcelos, Susan Post. Those absent: Kris Avery, April Clark, Noah Lundy, Lisa McIlwain, Lisa Madore, John Land, Lindsay Fisher, Bud Bernstein, David Pease, Tammy Hatch, Jessica Palladino, Kelly Nelson. Deb spoke about our new call time and format the teleconference time cut to an hour, highlight reports only, council member reports to Sarah for inclusion in the minutes. Intent is to focus call discussion on brainstorming and discussion, not reporting. Plan to give this new approach a spin and see how it goes. Schedule for calls for 2013 will be sent our shortly (the schedule and appointments were sent, if you need a copy, let Sarah know) Susan Post gave her report, which is attached. One item of particular note for those submitting SHAPE reports: don t use old shape password from last year, contact Liz if you don t have your new one. In Kris absence, Deb filled us in on Kris new role representing the 11 Northeast states on the MAC (SHRM Member Advisory Council). She will be looking for feedback on SHRM operational and strategic issues. Treasurer s update Kelly is meeting with Cindy soon and will give an update then via Sarah. (see below for this update please) Secretary report Sarah called attention to the newsletter moving to the Communications role and Deb elaborated on this. Lindsay and Lisa Ballard will connect on this asap. College Relations Lee Ann had no report, but submitted one later (see below please) Government Affairs Pearl was on the call and confirmed that she and John Land are sharing the Government Affairs role this year. She, John and Sarah met to pass the baton. Pearl took the opportunity to ask whether we d all like to see an HRP Day this year or something else GA related. Some discussion ensued about timing, effort and outcome with Sarah, Bill, Pearl and Deb primarily weighing in. Decision was made to schedule a call with stakeholders to review more carefully and bring a recommendation back to the council for a decision and resource allocation. The role will be split so that John Land will attend the SHRM GA conference as State Director and focus on communications and Pearl will focus on leg tracking. Membership Lisa Ballard doesn t know what to do with herself with only one role (down from three plus!) She talked about her final actions in her 2012 roles and called attention to the update she sent out recently. With regard to Membership, Lisa is firming up plans to grow our membership ranks so stay tuned. Certification Jodie is glad to see the newly certified back on HRCI website so we can congratulate graduates. She d like to suggest 100% certification for our state council. She is also working with local chapters on study groups and outreach. She is also doing outreach to HR students.

2 Diversity Jessica just reminds us that she will come to meetings to support as needed. She believes Midcoast HRA will be on the schedule soon. Jessica called attention to as special Diversity for the 21 st Century strategic credit opportunity and she will send out information (see below). HRASM - Lisa Noonan tells us that HRASM is adjusting to new program chairs and a new meeting location. (Clarion Hotel in Portland). They are seeing positive responses to the changes thus far. The first program of the year, Doug Currier s Legal Update had 108 attendees. HRASM is focusing on programming just now. Workforce Readiness - Lydia Sy is just assuming this role and said she expects it to dovetail well with her current work. She already knows Maggie Drummond and Jim Baumer so stay tuned. Already knows them so she can easily help this. [skipped absent members Pease, Avery, Clark, Madore] Scholarship - Susan Ouellette asks for help in promoting the scholarship program. Susan Post said all her other councils have the same problem as did Deb on the Chapter level. Called for suggestions and reasons. State conference Heather reminded us that registration is open and how to sign up for the Leadership conference and a free day on Tuesday. Decision was made to do what was successful in past and have chapter dinners right on site. Link to registration: [skipped absent members Palladino and Nelson] Marketing David Vasconcelos Met with Heather to get updated and it already at work on reaching out to sponsors with right of first refusal on upcoming sponsorship opportunities. NE Strategic Conference - Heather covered this for Bud as he was on vacation. She confirms he is already at work on searching for keynoters and the event will be in October again this year. [skipped absent member Fisher] Website Bill asks all Council members to take a look at the MESHRM site under About Us tell him of any updates so he can fix it. Midcoast HRA Kat confirms that membership is a focus and that they are getting their sea legs, having lost Marcia to the Council. NESHRM Ryan mentioned that their January program includes an expert from TAMC on Social Media MSHHRA Jerry explained that he and Lisa McIlwain are serving as co-presidents for 2 years to reset their cycle for how they elect and mature the MSHHRA leadership, having lost their 2012 President and President- Elect both suddenly in Jerry wend on to discuss MSHHRAs current analysis of DO insurance and their intention to file as a nonprofit 501c6. (Since they were formed prior to 1969, they may already hold this status, they are doing research now.) MSHHRA is looking at taking less time to attend monthly meetings to better respond to member needs and may go with 3, 4 hour meetings per year instead of monthly meetings. DHC - Mary Beth mentioned a new Mainers book club, that DHC was to attend the Portland MLK breakfast, that the next DHC meeting is scheduled for Jan 29 th at Mercy with a special tour of the African Museum in Portland. Updates From Council Members From Jodie Griffith: Working with Lee Ann Evans from HRCI, was able to get the list of newly certified back on the website. 20 newly certified winter/spring of 2012 Would like to achieve 100% certification for state council board members, or as close to 100% as we can get Partner with chapters to create study groups/provide support for those who are not able to attend a prep class Continue to promote events for recert credits Will send congratulations to newly certified on behalf of council USM Prep class starts 2/28 and goes for 11 weeks, through 5/23, taught by Jessica Palladino Goal to get state council 100% certified From Kelly Jaeger: I have attached the final financial statement for Our checkbook balance at year end was $41,705. I will put together a draft budget this week to share with Council Officers. A budget will be presented to the full Council in the next few months. From Lisa Ballard: Page 2 of 5

Our speaker will be from The Aroostook Medical Center in Presque Isle. The topic will be Managing Social Media in the Workplace. We are excited for the year and look forward to interacting with more clubs this year. From April Clark: Attended MSHHRA meeting in January Putting plans in place for chapter and DHC visits for 2013 Goal will be to attend at least 2 meetings of each for the year Available to present to chapters on: the role of the state council, benefits of SHRM national membership, and a variety of HR topics happy to be a resource in that way, if that will help your chapter From Kat Anderson: January 2013 Midcoast Human Resource Association Updates Reviewed our 2013 board & group meeting and minutes Format Finalized 2013 Programming Created HR conference give away /application Finalized ballot for the 2013 Carrie Lord Chapter Award Set our 2013 Shape goals Outlined Membership initiatives From Susan Ouellette: We are currently running our 2013 Spring Scholarship application process, but due to minimal applications being received by the end of December, we have extended the deadline to January 31. I will be putting together a selection committee and making the selections as soon as possible so that the recipients can get registered for the HR Convention if that is how they want to use the scholarship funds. We will hopefully have this completed by our next State Council meeting and I will send you an update then. From Jessica Fairclough: The course mentioned on the call is Diversity Practitioner of the 21st Century: What New Practitioners Need to Know Recertification Hours: 7.5 Approved for Business Management and Strategy Credit Program Fee** SHRM Member: $795 Nonmember: $1,060 Program Overview The field of Workplace Diversity & Inclusion is a challenging and exciting career path for those who seek to create positive changes in organizations. However, competent Diversity & Inclusion practitioners must be more than "passionate believers." They must be strong communicators that can effectively negotiate and influence people. They must be humble leaders that can interact and motivate individuals as well as groups. But above all, they must be savvy business professionals that are willing to initiate and steer organizational change. For those who are brand new to the field, or those who wish to begin a career in Diversity & Inclusion management, this one-day workshop will introduce new practitioners to the broad range of knowledge, tasks and competencies necessary to practice effectively in the twenty-first century. "The Diversity Practitioner of the 21st Century" is an interactive day based on cutting-edge research, best practices, and real-life case studies, taught by dynamic expert facilitators with more than ten years of experience in the field. Who Should Attend? HR Generalists Page 3 of 5

4 New Practitioners (less than 3 years experience) Those interested in entering the field Line leaders and supervisors interested in leading diverse teams and partnering effectively with HR and D&I practitioners Other organizational leaders Daily Schedule ONE-DAY PROGRAM 8:30 a.m. - 5:00 p.m. From Mary Beth Turcotte: Diversity Hiring Coalition had a great meeting in December our guest speaker was author Reza Jelali he wrote the book New Mainers and we had a lively book club discussion. Mr. Jelali also wrote a children s book on diversity that was perfect timing for the holidays as several members bought the book for gifts. Pierce Atwood was our host. The DHC will be present at the MLK breakfast on January 21 and have several members and guests attending. Our next meeting January 29, 2013 will take place at Mercy Hospital for the administrative section of our meeting, we will then move to the African Museum in Portland for a private tour of this historical museum. From Lisa Noonan: I am relatively new to the position having just taken over the role as President since 1/1/13. It has been a busy transition due to some changes in Core Leadership areas. We have new Program VP s and the Program Committee members were very helpful in our transition to a new location, the Clarion Hotel in Portland. We had our first meeting this past Tuesday we had Doug Currier providing a 2012 Legal Update with 118 attending and so far, only positive responses to the changes. We will provide a survey each month for members to provide feedback on the program and meals. My focus this year will be the following: Strengthening programming via a strategic vision Retaining and recruiting new members. I don t have firm numbers from 2012 but so far this year (since 1/1/13), we have 67 members. From Barbara Lovejoy: CMHRA has just transitioned over to a new fiscal year and so far everything has gone very well. We are very excited for January s meeting as it s our annual law update with Peter Lowe and in the past has always been well attended and received positive feedback. Our SHAPE report is just about completed and at this point, we do qualify for the bronze but we could possibly be at the silver level! I ll know more in the next week! From Heather Bassett on the Maine HR Convention: The Annual Maine HR Convention Goal: to continue to provide one of the best state conferences in the country and be a stepping stone for the state chapters to make connections, build membership, and give members a chance to earn continuing education credits. Registration for the 2013 convention was launched on January 2 to a Hold A Seat list and State Council leaders. Historically, the first registrants are members of the state chapters and early registrations opens the door to first crack at rooms at the Samoset. Registration was announced to the public on January8. As of today, we are closing in on close to 450 attendees (including speakers and EXPO participants.) Continued Convention Marketing to Members In late December, Becky Thompson sent s to the chapter leaders containing convention marketing. This included information to communicate in your newsletters/ s to members, logo and link to add to chapter websites, and the Page 4 of 5

5 chapter dinners at the convention. January is the critical month for sharing convention information with your members. We ll continue to provide updates to share with members. State Council Member and Chapter Officer Registration Remember that all state council members and chapter leaders may attend the Tuesday, May 7 component of the convention for free. You will need a special code to obtain that complimentary day. An was sent to state council members and Chapter officers containing appropriate discount codes. Please Heather, heather@mainehr.com to obtain this code if you did not receive this . Start Thinking About Chapter Dinners Please meet with your board members and begin plans for your chapter dinner. Bud and Heather with negotiate with the Samoset to set an affordable price for dinners onsite. We need to know how many chapters are interested in having a dinner onsite and approximate number of participants. We ll offer suggestions on dinner seating and menus. Once negotiations are set, we will then refer chapter leaders on to the Samoset to coordinate payment and final details. Please have ideas in place by Early February to share with Heather and Bud. Helping Chapters Connect with Non-Members Our enhanced online conference registration system allows us to gather more information from our attendees. This year we added a question to registration to capture non-members and interest in joining a local chapter. Beginning in February we will share a list of registrants that have requested more information from local chapters. We ll want feedback on how this process helped with membership in 2013 and networking at the convention. From David Pease: Just getting back to work from a lovely 2 week reprieve in Florida. I am working with Andrew Schmidt from SHRM on the Chief HR Officer initiative in Maine. I am just beginning the work of identifying various CHRO in Maine. Any help from the State Council members would be great. After the last State Council call, Bud invited me and the group to meet and participate on Friday of the State Convention. We will be doing an open session to help HR professionals strive to the role of CHRO. Page 5 of 5
