4 1 PREFACE This manual describes the steps necessary to keep your Qaleido Communications , calendar, contacts and tasks at your disposal anywhere and anytime also on your iphone, ipad and/or ipod. For the calendar, contacts and tasks it is required to install and configure an APP (application). For only a few settings need to be configured in the application on the smartphone. The APP can be installed on your iphone, ipod touch or ipad. This guide assumes installation on an iphone. 5 2 QALEIDO SYNC CLIENT FEATURES One of the major advantages that Qaleido Communications has to offer is that Qaleido users have access to all their information from Qaleido (such as tasks, contacts and calendars), at home as well as at the office or at external locations via any PC or laptop. These data are is always up-to-date and synchronised. All data are stored and backed up in a central location in Qaleido s data centers. In Qaleido Communications itself the synchronisation is automated. On a smartphone, you have start synchronisation with a simple action, and all data will be synchronised automatically with the Qaleido Communications database. For instance, new contacts that have been added on a PC or laptop will also be added to the smart phone during synchronisation, and -of course- also vice versa (from Smartphone to Qaleido). Synchronisation applies to tasks, contacts and calendars. When you synchronize, all the differences in information arisen during the time the smartphone was not connected to Qaleido, are registered and by exchanging the differences between the smartphone and Qaleido both the smartphone and Qaleido Communications will contain the same information eventually. The Qaleido sync Client takes care of synchronisation of: contacts calendar tasks The sync client does not handle (all your messages and folders) as the smartphone will do this job itself after configuring. Setting up on the iphone is via the settings menu on the iphone. See also chapter 4 . Make sure these settings correspond to the info in chapter 6 Configuration data 3 SYSTEM REQUIREMENTS If you want to install the Qaleido Sync client tool on your smartphone, you should comply with the requirements in the table below: Subject iphone Minimum requirements ios3.0 of higher Pagina 5
6 4 To have your Qaleido Communications also available on your smartphone, it is necessary to configure some settings. Be sure to follow the following schedule. Switch on your iphone. On the your iphone's main screen, tap the Settings icon: (wipe until the icon appears on the screen) The following window will be opened: Tap: Pagina 6

8 The following window will be opened: Enter Name, Address, Password and Description. Make sure to have the configuration data from Chapter 6 Configuration data available for additional info about user name, address and password. After you entered these fields, tap: The following window will be opened: IMAP must be selected: This icon will be blue: In this window name, address and description in the upper block are already filled, by using the data entered before: Swipe this window upwards until the block with header Incoming Mail Server appears on the screen: Pagina 8
9 Then start entering the Host Name, User Name and password of the incoming mail server. After entry this info block will look like this: Make sure to have the configuration data from Chapter 6 Configuration data available for additional info about address and password. Swipe this window upwards until the block with header Outgoing Mail Server appears on the screen: Then start entering the Host Name, User Name and password of the outgoing mail server. Make sure to have the configuration data from Chapter 6 Configuration data available. After entry this info block will look like this: Tap: Now the verification of the IMAP account starts: In some occasions this warning message is displayed. Tap: to continue. Pagina 9

On the your iphone's main screen, tap the Mail icon: (wipe until the icon appears on the screen). To open the application, tap the account you want to use. Your account will be displayed. Pagina 10
11 5 INSTALLING THE QALEIDO SYNC CLIENT Follow the steps below to install the Qaleido Sync Client App on your iphone: Switch on your iphone. On the your iphone's main screen, tap the App Store icon: (wipe until the icon appears on the screen) The information in the window now changes: Tap the "Search" button: At the bottom of the App Store window: The following window will be opened: In this Search field: Next, tap Search. enter "Qaleido" Pagina 11
12 The search results are displayed: This list of search results contains "Qaleido Sync.. Select the Qaleido Sync application by tapping on the related line in the search list. An "About" window with information about the Qaleido Sync client opens. Tap the Free button to install the Qaleido Sync Client App. The Free button will be replaced by the INSTALL button. Tap the INSTALL" button. In this window the entry of the AppStore password is required: Enter your AppStore password and tap the "OK" button. Pagina 12
13 The App is now installed on the iphone. On the main screen of the iphone, the Qaleido Sync Client icon will appear, with a small progress bar at the bottom side: Once the installation is completed, the progress bar disappears. The Qaleido icon is now visible. Installation is completed. Pagina 13
14 6 CONFIGURATION DATA Prior to using the iphone App Sync Client, some App settings have to be checked and some have to be changed. It concerns: APP Settings Username Explanation The username format is: replace yourusername with the name assigned to you. Password The Qaleido Sync server login (username and password). The password assigned to you or modified by you. Generally, this is the same user name and password as required to login to the service via the web. Settings for the different data types: Every data type (like contacts, calendar, todo list) has a name on the server. Default settings are: Datatype contacts calendar events Tasks Name on server. contacts events tasks Use your laptop or computer to login into your Qaleido environment and view the configuration data. Next, select Tab page SyncMobile in the Settings menu. Select Manufacturer and Model: Click on Show configuration. Pagina 14

16 7 CONFIGURING THE APP Prior to using the iphone App Sync Client, some App settings have to be checked and some have to be changed. Make sure to have the configuration data from Chapter 6 Configuration data available. We will start to configure the App. First, start the Qaleido Sync iphone App by tapping the icon from the phone s main screen: (If the Qaleido App is not visible, wipe the window to one of the other windows). The App launches: When adjacent window is displayed, tap the button at the upper left corner: to switch to this window. In this window, open Settings... by tapping the Settings icon at the bottom of the window. Pagina 16
17 The Settings window will be opened: In this window the server settings can be configured and switches for each of the supported data types are available. Synchronisation of each of the supported data types can be set On or Off by moving the switches in the appropriate position. At least one switch must be set in the "ON" position. By default, most settings are set correctly, but for correct operation you must always check the server settings. To the right of Server settings, tap on: You can set 3 variables in the window: Server ID, User and Password. By default, the Server ID is already set correctly automatically (But chapter 12.2 Server ID provides additional information about this setting). Only the user and password should still be set. To set User, tap the arrow to the right of User.... and enter the User in the window beneath. Enter your username. Next, tap Ready. Pagina 17
18 To set the password, tap the arrow to the right of Password... and enter the password in the window beneath Enter your Password. Next, tap Ready. Now you can start using the Qaleido Sync Client. To test this, first you will have to synchronize (see Chapter 8 Synchronising). In the unlikely case of a synchronization failure, check and correct the settings according to section 12 Troubleshooting. Pagina 18
19 8 SYNCHRONISING First, start the Qaleido Sync iphone App by tapping the icon from the phone s main screen: (If the Qaleido App is not visible, wipe the window to one of the other windows). The App launches: When adjacent window is displayed, tap the button at the upper left corner: to switch to this window. This is the synchronisation window Tap the Start Synchronization" button (Start Synchronisation). This will start a synchronisation session with the Qaleido Sync server as configured. The device will open a connection to communicate with the Qaleido Sync server. It uses the system wide network settings (WiFi). Pagina 19
20 For each data type, synchronisation starts with a "Checking" phase. This is required to find changes, additions and deletions made since the last sync and will always go through all the items in your databases. Note however that during "checking" phase, no data is transferred to the server. So even if "checking" count might be high and take some time - "checking" does not cause any network traffic. Finally, the screen should read "Successfully completed" and "Last Sync" will show the current date and time. Connection error You will receive "Connection error -messages, in case the client cannot connect to the server. Please make sure you have network connectivity (WiFi hotspot or cellular network coverage). No Qaleido Sync Response If you get a "No Qaleido Sync Response" message, the client can connect to a server, but the server does not appear to be a Qaleido Sync server. Usually, this happens when your Qaleido Sync server URL is not correctly specified in the settings - please check for typos and verify with the provider of the Qaleido Sync server that you are using the correct URL. Data will be synchronised. Data will be synchronised. The main screen will show some progress information, e.g. the number of items sent and received. Pagina 20
21 9 VIEWING THE SYNC LOGS After a completed (or failed) synchronisation, you can view its statistics by switching to the "Log" screen. To open the log, tap on In the bottom of the Qaleido Sync App window The following window will be opened: It will show the 30 most recent log entries, newest at the top. Using the Trash button, you can delete all log entries. The log shows a separate entry for each data type synchronized. The "Rejected" field of every log, counts the number of records sent to the server or received by the client that were rejected due to an error. Usually, these should be zero. In some cases, a server might not be able to store a certain record, for example due to some particular properties like a large or photo, and therefore will reject the item. The client will try resending the item in the subsequent sync session. Pagina 21
22 10 SUSPEND & RESUME A synchronisation session can be interrupted, either manually or for external reasons e.g. when the network connection breaks. therefore tap Suspend Sync. Suspend & Resume means that an interrupted sync will simply be resumed in the next attempt - at the point it was interrupted. So if your sync aborts for whatever reason, you can resume it by simply pressing the sync button again. Pagina 22
23 11 SYNC MODES Normal Slow Sync Normal two-way synchronisation. All changes on the device are sent to the server, all changes on the server are sent to the device. This is the default mode of operation. Special two-way synchronisation needed for the very first synchronisation with a server and to recover from error conditions. A "slow sync" is called slow because it includes all data to be sent from the device to the server. This can be time consuming. The server takes an inventory of the device's data, so it'll be able to use "normal sync" (only changes are transferred, which is of course much faster) in subsequent syncs. This mode is normally used automatically by the software when required, there is seldom a reason to choose "slow sync" manually. Update Device This is like "normal" sync, however only the device will be updated with changes from the server - the data on the server will NEVER be changed at all. NOTE: Using this mode means that you want to have a copy of server's data on your mobile device. This implies that when you do an "update device" sync for the first time, all extra data on your device that does not exist in your server account will be deleted! Reload Device This is a special "slow" sync as follows: First, all data on the device will be erased, then, all data from the server will be copied from the server to the device. NOTE: Since this type of synchronisation involves loosing all data not previously saved on the server, a warning message will be shown when you start syncing in this mode. If a "Reload Device" process is started, a message that warns about the consequences of this sync mode will appear. You can decide to cancel or to continue this synchronization mode. Update Server This is like "normal" sync, but only changes made on the device will be sent to the server. The data on the device will NOT be changed at all. Note that this mode does not function with all Qaleido Sync servers (the server must support the "one way sync from client mode") NOTE: Using this mode means that you want to make your server account an exact copy of the data on your mobile device. This implies that when you do an "update server" sync for the first time, all extra data in your server account that does not exist on your device will be deleted! Pagina 23
24 Reload Server This is the opposite of "reload device" and works as a special "slow" sync as follows: First, all data on the server will be erased, then, all data from the device will be copied from the device to the server. NOTE: Since this type of synchronisation involves loosing all data not previously saved on the device, a warning message will be shown when you start syncing in this mode. If a "Reload Server" process is started, a message that warns about the consequences of this sync mode will appear. You can decide to cancel or to continue this synchronization mode. Pagina 24

26 12.1 Checking settings Make sure to have the configuration data from Chapter 6 Configuration data available. We will start to check and correct the App settings. First, start the Qaleido Sync iphone App by tapping the icon from the phone s main screen: (If the Qaleido App is not visible, wipe the window to one of the other windows). The App launches: When adjacent window is displayed, tap the button at the upper left corner: to switch to this window. In this window, open Settings... by tapping the Settings icon at the bottom of the window. Pagina 26
27 The Settings window will be opened: In this window the server settings can be configured and switches for each of the supported data types are available. Synchronisation of each of the supported data types can be set On or Off by moving the switches in the appropriate position. At least one switch must be set in the "ON" position. The settings of server settings can be found in 6 Configuration data. We will start to check the other settings. Here you can check a number of settings of the data types Contacts, Todos, and Calendar. In the adjacent window tap the blue arrow to the right of Contacts to check the settings of Contacts. Change the Sync Mode by tapping the arrow to the right of Sync Mode The following list will be displayed: Tap the desired sync mode (Read more in chapter11 Sync modes) and then tap Save to store this mode. 28 To change the Server path, tap the arrow to the right of Server path The following window will be opened: Enter the server path in (contacts) and tap Save to store this path. To change Contacts scaling images, tap the arrow to the right of Contacts images scaling This list will be displayed Tap the desired image size and then tap Save. With ios devices having high resolution cameras and displays, contacts images tend to get quite large when created on the ios device. It does have two drawbacks for Qaleido Sync: 1. Transfer of large images during sync takes a lot of time, especially in initial or slow syncs.; 2. Not all Qaleido Sync servers can handle large images, which means that a single contact with a large image can prevent successful contacts synchronisation with some servers. By scaling contacts images these problems can be prevented. Pagina 28
29 In the adjacent window tap the blue arrow to the right of Todos to check the settings of Todos the following window will be opened. Tap the desired sync mode (Read more in chapter11 Sync modes) and then tap Save to store this mode. Tap the arrow to the right of the Sync Mode to change the Sync Mode To change the Server path, tap the arrow to the right of Server path The following window will be opened: Enter the server path in (tasks) and tap Save to store this path. 33 12.3 icloud and the Qaleido Sync App In case your smartphone is upgraded to ios5 you will have the ability to use the Apple icloud in conjunction with an online address book. The window contains an additional switch "Local address book only If you use this Apple icloud service, the contacts are no longer stored locally and this does have implications for the settings of the Qaleido sync APP. To use the Qaleido app to synchronize with non-locally stored contacts, set the "Local address book only" switch to OFF (=0) If not properly set, after start up of the Qaleido synchronization app you will receive the error message "no data". This means the Qaleido app is unable to locate the address book for synchronization. Beneath the switch "Local address book only" a new field "Included Addressbooks is displayed, Tap this option "Included Addressbooks" A new window opens where you can select the address book you want to use for synchronizing the Qaleido app. In the case of icloud, the address book is usually called "Card (CardDAV)" or Kaart (CardDAV / icloud)".
