1 BOARD REPORT Prepared for Board of President Attended AIESEC Canada s National Leadership Development Conference 2015 in Calgary Attended SFSS-related Events (Women s centre & OOC presentations, Meet & Greet w/ GSS) Attended Staff Meeting as IRO Chaired Board Meetings (Exec, Formal, BuildSFU) Conference call with Executive Hiring firm and debrief with ED Hiring Committee Meeting with current Executive Director to discuss current outstanding issues and priorities, and HR related matters. Vice President External Relations Attended orientations for Women s centre and OOC Replied to s; organizing visit from UVIC student association for May 29th Met with Pierre regarding CPR, strat planning, Board responsibilities organized the VP external inbox; went through archived s attended GSS meet and greet. Louis Riel meeting, Exec meeting, board meeting review Accessibility project worker profiles Check ins with various staff and students regarding general well-being, department activities, concerns etc Vice President Finance Attended Women s Centre and OOC presentations Attended board update/discussion regarding ED Hiring Preliminary planning for FC Hiring Committee and review of related documents Planning for starting up FASC Signed cheque requisitions Engaged in informational conversation regarding further signing requirements for documents with Kurt Meeting with ED regarding paper work and board remuneration
2 Build SFU meeting to discuss starting group Executive Meeting Vice President Student Life Clubs Day; Scheduling, presentation, material count Meeting with communications coordinator Setting up a meeting time for EPCOM Conference call with Executive Hiring firm Follow up with Nesters for Board Retreat on Food sponsorship Meeting at Surrey city hall regarding the Transit Plebiscite Participated in the #WalkForTransit event Exec meeting Meeting with Science Undergraduate Society president Prepare/attend ED search committee meeting Maintaining an open door policy for Board members and guests for at least 60 minutes a day instead of office hours Booking office hours by appointment or drop-in during open door Build SFU meeting Attending Transit rally on Wednesday at 5:30 PM Setting up probationary review for General Office hiring committee s Administrative Duties Vice President Student Services Finished reviewing the contract with the SFSS insurance broker. Communicated with the representative of the insurance broker regarding the plan on a high level, and gone over key dates. Scheduled and defined the workflow of the Commercial Services Committee for the year. Met with the communications office to discuss project management software for committees. Executive Director Hiring Committee: o Phone calls with search firm to complete details. o Met with Board members to discuss the process to date. o Followed up with the current Executive Director and legal-council to review and finalize details. Followed up with the ED regarding the 360 review of the Build SFU General Manager. U-Pass: o Completed reviewing U-Pass Contract and file. o Reviewing updates on day to day progress with transition into the Compass system. o Completed introductions with stakeholders in the contract and various U-Pass committees (other student societies, SFU staff, Translink representatives). o Reached out to student leaders on the Student Association Caucus, received no reply yet. o Scheduled a meeting SFU administrators who work with us on this subject.
3 o Begun addressing opt-out complaints. Questions, comments, and requests for documents with respect to confidentiality may be sent to Vice President University Relations Board meeting Exec meeting SFU Zero Waste Committee meeting Meetings with Build SFU GM to discuss next steps SFU Info Eve Prep meeting Meeting with Juan Alperin (SFU Publishing Professor interested in establishing Open Access Policy) Out on Campus Orientation BOD ED Hiring meeting update O-Canada meeting Administrative duties and office hours Applied Sciences Representative Attended our first official Board meeting Attended the Out on Campus and Women s Center introduction meetings Represented Applied Science in the Summer Welcome Day Coordinated with Google concerning an upcoming resume workshop Met with the Director of Computing Science concerning a summer student showcase event Meet with Communications, General Office, and DSU coordinators concerning upcoming committee schedules, requirements, and other relevant matters Reached out to Applied Science DSU leaders concerning meeting times s Arts and Social Sciences Representative No update submitted Business Representative Board Meeting Meeting/Introduction with the Women s Centre Meeting/Introduction with Out on Campus Meeting with the President of the Business Faculty Student Union about future collaborations and strategic goals Continued meetings with faculty of the Beedie School of Business and members of student organizations and clubs Networked with externals that could potentially support students at SFU Attended the Enactus Nationals Exposition in Toronto Board Room Clean Up s Communications, Art, and Technology Representative
