1 About This Guide This guide introduces faculty and staff to the technology resources available at the University of Iowa with the goal of making those resources easily accessible. It is an overview of the most common technologies and services used by the University of Iowa community. 4 Where to Get Help ITS Help Desk The ITS Help Desk provides assistance with computer problems and answers questions about software, accounts, networking, operating systems, etc. ITS Help Desk services are available to all faculty, staff, and students free of charge. The ITS Help Desk can be contacted: In person at 2800 University Capitol Centre (2nd floor of the Old Capitol Mall) By telephone at (4-HELP) Via at Via Help Desk Live Chat at HCIS Help Desk The HCIS Help Desk provides computer-related support to faculty, staff, and students at the UI Hospitals and Clinics, UI Carver College of Medicine, and Health Care communities. 5 Departmental Support In addition to the ITS and HCIS help desks, many departments provide local IT support for their faculty and office staff. Please contact your department s administrative office for information about local IT support. IT Alerts and Outages Information about scheduled maintenance on servers and services as well as known issues and outages are posted and updated on this page. Where to Get Help 5
6 HawkID and HealthcareID The HawkID is your electronic identity at the University of Iowa. Most of the services available at the university (such as Employee Self Service, ICON, or Hawkmail) are accessed with a HawkID and passphrase. Health Care users may have an additional HealthCareID that can be used to access applications such as Epic, Health Care workstations, or Health Care accounts. HawkID Password/Passphrase Because of the sensitive and personal material you access with your HawkID, it is very important you are the only person who knows the passphrase. If you suspect someone else knows your HawkID passphrase, the best solution is to change the passphrase immediately to avoid security issues. To help secure HawkID accounts, ITS encourages you to change your passphrase often. Forgotten Passphrase Service If you forget your HawkID passphrase, the Forgotten Password/ Passphrase tool can be used to reset it. This tool can be found at 6 HawkID and HealthcareID
7 Duo Two-Step Verification Two-step verification is a service that supplements login with your HawkID, increasing confidence that only the owner of a HawkID can sign in with it. Duo Two-Step Verification has been integrated with Employee Self Service, high-performance-computing research systems, and with a growing list of services that handle sensitive information. Once enabled, two-step verification involves two discrete steps to verify your identity during sign-on. The first step requires entering your HawkID and passphrase, while the second verification step uses a phone in one of the following ways*: One-tap verification using the Duo Security smartphone app (highly recommended) Receiving a text message with a code that you enter on the login page Answering a phone call to a number registered to you *Please note that the second and third options require the use of a phone with a US phone number. The Duo Security mobile app is available for Apple, Android, Blackberry, and Windows devices. To manage the devices you wish to use for Duo Two-Step Verification, visit Duo Two-Step Verification 7
8 Accessing the Internet UI Wireless: eduroam The University of Iowa offers wireless connectivity in all academic buildings, many common areas on campus, and residence halls. Eduroam is a secure wireless network that requires you to log in with your HawkID followed and your HawkID passphrase. To connect a mobile device to eduroam, select the eduroam network directly from the list of available wireless networks. 8 Accessing the Internet
9 UI Wireless: AT&T Guest Wi-Fi Guests of the University of Iowa may access the Internet for free by selecting the attwifi network when configuring a device for wireless access. Guests will then use a Web browser to confirm the connection to the network and agree to AT&T s terms and conditions and UI policies. Like most guest networks in public places, attwifi is not encrypted; therefore, UI faculty, staff, and students are encouraged to continue to use eduroam for wireless Internet access. UI Anywhere UI Anywhere is a Virtual Private Network (VPN) that provides secure offcampus access to resources located on the University of Iowa campus. Examples are: library resources, websites restricted to on-campus use, systems, and access to Remote Desktop. Cisco AnyConnect is the software program used for this service. You can download and install Cisco AnyConnect on the ITS Software Download Site at Accessing the Internet 9
10 Sharing Copyrighted Material Online Copyright infringement is not the only threat from file sharing. Assume files on peer-to-peer networks or torrented files are infected with spyware and viruses. You are responsible for all online activities that take place on your network port or wireless connection. If you violate copyright laws using any computer on the University of Iowa campus network, your Internet access will be restricted and you could be prosecuted. 10 Accessing the Internet
11 Protecting Yourself Online An online security attack can result in lost Internet access privileges on campus and personal identity theft. Here are some things to remember to remain safe while online: Keep passphrases confidential. You are responsible for all of your account activity. Be wary of any links in an instant message or . Links are a way for viruses, worms, and Trojans to infect a computer. Be skeptical of s that ask for personal information or that have instructions to click on a link to verify an account. Replying to these types of messages can compromise the integrity of a university account. The university will never ask for passphrases (HawkID passwords) via . Contact the ITS Help Desk to verify if an message is legitimate. Make sure to use anti-virus software and keep it updated. Make sure the operating system on the computer is always up-to-date as well. Be careful about the information you publish online. Before uploading pictures or text, you should consider how it might affect personal or professional security. Accessing the Internet 11
12 University and Calendar Office All accounts on the previous service (Hawkmail) are being transitioned to Office 365. Hawkmail will continue to be available at until all services have been transferred. There are multiple ways to access Office 365 accounts: Through any Web browser at With programs such as Outlook or Mac Mail. Through the default application on most mobile devices. For more information and instructions, see Benefits of Office 365: accounts include a 50 GB quota. Integration with OneDrive for Business file sharing (See page 14). Instant messaging via Office 365 Outlook Web Access. Free Microsoft Office - install on up to 5 personal computers including tablets (See page 30). University holidays, class schedules, and ICON events can be added to Office 365 calendars. These settings can be changed by using the DIY site at ITS provides anti-spam and attachment blocking for accounts. 13 Mass Mail The UI Mass Service provides the distribution of mass messages (more than 1,000 users) to the campus community under a system of administrative approvals. Listserv LISTSERV is a campus-wide list service available to faculty, staff, and students. It is used for ongoing discussions and announcements about a particular topic, generally self-selected for membership. This service allows a list owner to administer lists through a Web interface. Subscribers can be from the university community or the general public. This service is used to collaborate and share information with a large group of people. Previous messages are accessible through an archive list. Health Care Faculty and staff who are affiliated with UIHC or the College of Medicine will be provided a Health Care account. Health Care users have multiple ways to access their Health Care accounts: Through a Web browser at Through the default application on most mobile devices. 14 Online Cloud and File Storage You should regularly back up important documents and files. Hard drive failure or a virus could result in losing data forever. Home Drive (files@iowa) A Home Drive (also known as the H: drive) allows you to save files to a secure, backed-up location that is accessible 24 hours a day, 7 days a week. Files can be accessed: From university-managed computers via network drives. On personal/home computers by connecting to the VPN and mapping a drive to that computer (See page 9). Through the Virtual Desktop at (See page 31). OneDrive for Business OneDrive for Business is a cloud-based storage option available to you through Office 365. Files can be accessed through the Office 365 website, OneDrive for Business mobile application, and the desktop application for Windows. OneDrive gives you the ability to share and collaborate on documents with anyone, regardless of whether or not they have a OneDrive account. You should not store sensitive (or restricted) data on OneDrive for Business. For more information, see 14 Online Cloud and File Storage
15 Office of Teaching, Learning, & Technology The Office of Teaching, Learning, & Technology (OTLT) supports, develops, and encourages faculty and TAs in professional teaching and learning strategies. This includes support for a wide variety of instructional technology solutions and assessment consulting and resources. Staff in OTLT offer support ranging from instructional design consultations to campus-wide technology solutions. If you have a teaching support question, concern, or innovative idea, OTLT is here to help. How We Can Help Center for Teaching The Center for Teaching: Encourages and advances teaching and learning excellence at Iowa. Offers workshops, training sessions, voluntary and confidential consultations, classroom observations, and course design assistance to instructors and TAs. Provides resources for teaching, assessment, and course design on our website. Promotes a culture within the university that values and rewards exceptional teaching. Advocates for effective, evidence-based, reflective teaching; acts as a leader in faculty professional development. Is a collaborative partner in sparking and shaping conversations about higher education on campus and beyond. Works to enhance faculty professional development and advocates for meaningful learning experiences in the context of disciplinary needs; and with the implementation of pedagogies and technologies appropriate to student learning needs. 16 Evaluation and Examination Service (EES) Evaluation and Examination Service (EES) provides free scoring and statistical analysis of classroom tests and quizzes administered using scannable answer sheets. EES administers the campus Assessing the Classroom Environment (ACE) process at the end of each semester and can assist with ongoing assessments of courses and classroom environments as requested. Training and Consulting OTLT offers departmental and open registration training on effective uses of ICON, media, wikis, and other tools to promote learning. Workshops are offered before the fall and spring semesters. Consultants are available from 8 a.m. to 5 p.m. Monday through Friday to answer questions, help solve problems, and provide one-onone assistance. 16 Office of Teaching, Learning, & Technology
17 Instructor Learning Facilities Faculty and staff can work on instructional projects with consultants available to provide guidance. The Instructional Consulting Studio has an open workspace and a consultation room equipped with a computer and instructional software that may not be available on faculty workstations. The Digital Media Studio has high-end Macs and PCs with advanced media software programs as well as HD cameras (720/1080i), HD capture decks, solid-state recording equipment, and a slide/film scanner. Innovations in Teaching with Technology Awards Early each fall semester, the Academic Technologies Advisory Council issues a call for proposals for the Innovations in Teaching with Technology Awards that offer funding opportunities for faculty. The goal of the Innovations in Teaching with Technology Awards program is to raise the level of teaching and learning at the University of Iowa by supporting significant and innovative instructional technology projects that have the potential to directly impact student success and retention. These projects are considered proof-of-concept projects that are new to the University of Iowa. One-on-one consulting is available for faculty on technology and instructional design issues. 18 SITA Student Instructional Technology Assistants (SITAs) provide one-on-one consultation services for faculty and instructors working to integrate technology into coursework. SITAs: Introduce and support instructors in the use of ITS-OTLT technologies such as ICON, clickers, and lecture capture. Work with instructors to promote student-centered active learning. Provide assistance to use technologies effectively and efficiently. Support the integration of innovative technologies into curriculum. Facilitate programming for TILE classrooms, E-Text integrations, and Large Lecture Transformations. SITA services are free of charge to faculty and instructors. 19 ICON (Iowa Courses Online) ICON (Iowa Courses Online) is the course-management system at the University of Iowa. The course-management software: Allows you to post course material, hold online discussions, collect assignments, and track grades online. Is passphrase protected. Supports Registrar and non-registrar affiliated courses. Can be used for instructor testing, development, and research. A few of the most-used tools in ICON: Content Dropbox Discussion forums Gradebook Quizzes For help with ICON, contact the ITS Help Desk at or its-helpdesk@uiowa.edu ICON (Iowa Courses Online) 19
20 Plagiarism Detection (Turnitin) Turnitin is an online plagiarism detection tool that scans papers submitted by students for the possible presence of plagiarism. Some functions are available through ICON, and the full feature set is available through turnitin.com. ICON integration offers: Originality check - checks papers for sentences/paragraphs from other papers and on the Web. Turnitin.com website offers: Originality check - checks papers for sentences/paragraphs from other papers and on the Web. PeerMark - allows students to review and comment on each other s papers. GradeMark - enter grades and comments for a student s paper online. To start using the Turnitin service on ICON, or on Turnitin.com, contact the ITS Help Desk. 20 Plagiarism Detection (Turnitin)
21 Lecture Capture (UICapture) UICapture is the lecture capture service hosted by the University of Iowa. By using UICapture, users are able to: Watch lectures on demand. Improve retention of class materials. Improve homework and test scores. Review materials as the complement to in-class interactions. Make up for a missed class. UICapture has many features, including: Availability on Windows and Macintosh computers and ios devices. Both a software recorder and a Web interface. Ability to create digital recordings of audio, video, and screen content. Content can be easily linked to ICON courses or other websites. For additional information about utilizing UICapture, faculty, and staff should contact their departmental IT staff. Lecture Capture (UICapture) 21
22 Streaming Digital Media ShareStream ShareStream is a service that allows users to upload, store, and share video and audio in a secure environment. ShareStream Media manager and Pick-n-Play integrates with ICON to deliver media to specific class lists. Share Stream has the functionality to allow students to upload media assignments to the Pick-n-Play dropbox. For public playback, ShareStream can be used in circumstances when other public streaming sites will not suffice (e.g. streaming in foreign countries, multiple project collaborators, etc.). Media Streaming Streaming digital media services encompass hosting and delivery of audio and video files for instructional purposes, such as podcasts in itunesu, playing large audio or video files via ICON, or student uploads of media in ICON. 22 Streaming Digital Media
23 Web and Video Conferencing Web Conferencing Web conferencing is offered using Blackboard Collaborate through ICON s course management service and via an external access point. Blackboard Collaborate is a virtual meeting product that allows moderator-led, Internet-based e-learning and collaboration with options for full duplex audio, sharing PowerPoint presentations, instant messaging, application sharing, breakout rooms, recording sessions for later playback, and more. Video Conferencing Video conferencing is supported using hardware-based video conferencing systems to bring participants together over the Internet using high-definition video. Participants can see and hear each other and electronically share documents without being in the same location. Lync Meetings Microsoft Lync, also known as Skype for Business, provides a unified communications experience for real-time communications, including voice and video calls, presence, instant messaging, and persistent chat. 24 Wiki The wiki is a Web-based tool for collaboration and discussion. Users are able to create and manage their own wiki space. Popular uses include team notes, documentation, and information sharing. Wikis are a useful tool in the classroom by allowing users to: Collaborate on documents. Compile class bibliographies and resources. Share links, images, videos, or documents. Some of the features include: Ability to view all edits and changes. Easy-to-use blogging features. Threaded commenting and discussions. Immediate creation and access from ICON Dashboard. Public or private spaces. ifolio ifolio is a modular, customized, Web-based electronic portfolio solution created by ITS. It is used by departments to assess teaching and learning outcomes. The ifolio product: Allows for reflective learning. Allows for instructor, advisor, and peer feedback. Tracks growth in a major over time. Is accessible to students for two years after graduation. 24 Wiki/ifolio
25 General Assignment Classrooms Classroom Technology Hotline: All General Assignment Classrooms are equipped with: Windows computers Laptop video and Internet connections UI Wireless (eduroam) Wi-Fi connectivity Digital projectors Document cameras DVD players Auxiliary connections for audio and video devices Lecture capture microphones and software The following technology is available only in select classrooms: Macintosh computers Wireless lavaliere or hand-held microphones General Assignment Classrooms 25
26 Student Response Systems (Clickers) Clickers, or Student Response Systems, allow instructors to solicit polls inside or outside of PowerPoint presentations in order to: Receive immediate student feedback. Encourage peer instruction and active learning. Increase student participation. Facilitate class discussions. Guide lectures. Make classes more interactive and engaging. 26 Student Response Systems (Clickers)
27 Research Services Research Services is an IT resource set up to assist and collaborate with UI investigators, faculty, and research support groups in a variety of fields and activities. Data Center Space Research Services has access to various managed data center spaces on campus. Staff can assist in locating the best spot for your system(s). Space is available for both co-location (AC power, network only) and ITS-administered systems. High-Performance Computing High-performance computing utilizes multiple processors to perform concurrent jobs in parallel. There are various high-performance computing resources on the University of Iowa campus. The largest available resource is the Helium computer cluster that contains over 3,600 processor cores and is available to all researchers and scholars. Research Consulting Research Services has several consultative services for researchers and scientists on staff. This might be a project that requires developing new capabilities or that combines resources from two or more other services in a novel way. Data Storage 5TB network file shares are available upon request to University of Iowa faculty at no charge. ITS also provides paid large-scale backup and computational data storage solutions. Research Services 27
28 Computers on Campus Instructional Technology Centers (ITCs) ITCs, or Instructional Technology Centers, are computer labs that are designed to provide students with campus-wide access to the university s academic computing resources and encourage departments to integrate computing into their academic programs. ITCs are located in 26 locations on campus, comprising a network of over 1,000 workstations available for student use. Each computer has Microsoft Office, Adobe Creative Cloud, graphics software, Web design applications, and statistical packages. A list of computer labs can be accessed from a mobile device at ITS Rental Service The ITS rental service offers short-term laptop and portable projector rentals for University of Iowa departments that need equipment for conferences, travel, and other purposes. Authorized departmental requesters can reserve equipment online for pickup at the ITS offices in 2800 University Capitol Centre during normal business hours (Monday - Friday, 8 a.m. - 5 p.m.). Rental fees apply, with a maximum rental length of 14 days. Rental must be paid for with a valid MFK. 28 Computers on Campus
29 Discounts on Computers Departmental Computers If a faculty or staff member is purchasing a computer for their department, the online ITS Computer Purchase Site has instructions for ordering equipment using a departmental requisition, a departmental credit card, or through the ebuy system. Personal Computers The ITS Computer Purchase Site provides information about educational discounts on computers available through participating vendors. The ITS Help Desk provides suggestions and recommended configurations to consider when purchasing a new computer at Securing Computers Whether you are bringing your personal computer to campus or using a university-owned computer, precautions should be taken to ensure its physical security, including: The computer should always be password-protected while not in use. Close and lock offices while away. Local IT staff can assist with encryption requirements for university owned laptops. Use a cable lock to secure the computer to a desk. Make sure to either keep your computer with you at all times, or lock it up in a safe place. Discounts on Computers 29
30 Free and Discounted Software ITS Software The University of Iowa offers site-licensed software to faculty and staff free of charge or at significant discounts. Faculty and staff should visit the ITS Software Central website to access and download free software and for information on the cost and availability of other software programs. UI faculty and staff can install Microsoft Office on up to five personal devices for free by following the directions at UI faculty and staff can also obtain a license for Adobe Creative Cloud and Acrobat Pro at a discounted rate. This software can be installed on a personal computer for work-at-home, university business purposes. Remain safe while online by using anti-virus software and updating it regularly. A few examples of free anti-virus programs are available on the ITS website at 30 Free and Discounted Software
31 Departmental Software Licenses If faculty or staff members need to purchase a license for a particular software title or are unsure if the university already has a license for a particular software program, they should visit the Campus Software Program website for more information. Virtual Desktop Virtual Desktop is a Web-based system that allows access to several software applications from almost any computer with an Internet connection at no charge. Access to applications such as Microsoft Office, SPSS, SAS, Adobe Creative Suite, and more. Due to licensing agreements, some software titles are only available when accessing Virtual Desktop on the campus network. Free and Discounted Software 31
32 Technology Training Security at Iowa All faculty and staff are strongly encouraged to complete online security awareness training to familiarize themselves with various IT security guidelines, policies, and services. Examples of concepts covered include personal online safety and protecting institutional data. Lynda.com All University of Iowa faculty, staff, and students have access to Lynda.com, a free, online library that provides access to thousands of video tutorials on a variety of technology and business topics including: Microsoft Office (Access, Excel, Outlook, etc.) Adobe Creative Cloud Suite (Photoshop, InDesign, etc.) Photography Web design You can access Lynda.com by logging in with your HawkID and passphrase at MyQuickCoach MyQuickCoach is an e-learning resource with more than 2,000 video lessons, articles, and PDFs. The content can be used for professional development and can be shared with others to enhance their learning opportunities. This service is available to faculty and staff with regular appointments of 50% time or greater. To use MyQuickCoach, faculty and staff should first login to HR self service at and then on the personal tab, click on myquickcoach under Learning and Development. 32 Technology Training
33 Web and IT Accessibility Web and IT accessibility means that all users can enjoy equal access to information technology at the University of Iowa, regardless of disability. ITS supports accessible technology through the IT Accessibility project. The Web and IT Accessibility group provides training, assessment, consultation, and advocacy in the area of accessible technology. Accessibility services include: Accessibility assessment for IT products, services, and any UI website. Accessibility training for developers, project managers, communicators, content providers, and other accessibility stakeholders. 34 ITS Service Catalog This guide is intended to highlight just a few of the technology services offered to faculty and staff at the University of Iowa. The ITS Service Catalog includes information on all ITS services, including who they are designed for, what they do, and where to find help using them. OneIT@Iowa Efficiency Projects OneIT@Iowa comprises 16 projects designed to deliver IT services more efficiently and effectively to the campus. The initiative aims to minimize the cost of providing general IT services in order to reinvest resources where innovation and specialization are essential. The university is also moving toward a more unified organizational structure for IT, to improve coordination of technology services across the campus.
