2 About This Guide This guide introduces faculty and staff to some of the technology resources available at the University of Iowa, with the aim of making those resources easily accessible. It is an overview of the most common technologies and services used by the University of Iowa community. Alongside each service description in this guide, there will be links to complete details and instructions. Important considerations for many services are identified with the following icons: Additional information, or actions that should be taken, will be denoted by the information symbol. 5 Where to Get Help ITS Help Desk The ITS Help Desk provides assistance with computer problems and answers questions about software, accounts, networking, operating systems, etc. ITS Help Desk services are available to all students, faculty, and staff free of charge The ITS Help Desk can be contacted: In person at 2800 University Capitol Centre (2nd floor of the Old Capitol Mall) By telephone at (4-HELP) Via at Via Help Desk Live Chat at HCIS Help Desk The HCIS Help Desk provides computer-related support to faculty, staff, and students at the UI Hospitals and Clinics, UI Carver College of Medicine, and Health Care Communities. 6 Departmental Support In addition to the ITS and HCIS help desks, many departments provide local IT support for their faculty and staff. Faculty and staff members can contact their department s administrative assistant for information about local IT support. 7 HawkID & HealthcareID The HawkID is an electronic identity at the University of Iowa. Most of the services available at the university (such as ISIS, ICON, or Hawkmail) are accessed with a HawkID and passphrase. Health Care users may have an additional HealthCareID that can be used to access applications such as Epic, Health Care workstations, or Health Care accounts. HawkID Password/Passphrase Because of the sensitive, and personal, material that faculty and staff access with their HawkID, it is very important they are the only person who knows the passphrase If a faculty or staff member suspects someone else knows their HawkID passphrase, the best solution is to change the passphrase immediately to avoid security issues To help secure HawkID accounts, ITS encourages faculty and staff to change their passphrase often Faculty and staff can provide passphrase hints by selecting questions and providing answers that only they will know. Doing this gives them the ability to reset the HawkID password at any time at 6 HawkID & HealthcareID

8 Forgotten Passphrase Service If a faculty or staff member forgets their HawkID passphrase, the Forgotten Password/Passphrase tool can be used to reset it. This tool can be found at This service does require that the passphrase hints are set up ahead of time No password hints? Faculty and staff can call the ITS Help Desk at (4-HELP) to have their HawkID password reset over the phone. Password vs. Passphrase The purpose of passwords and passphrases is to provide access to secure services or sensitive information; however, passwords are generally short, hard to remember and easy to crack. Passphrases are easier to remember and type, are considered more secure due to the length, and shouldn t need to be written down. Here are some tips for creating a good passphrase: Make up a sentence or a phrase that includes a combination of uppercase and lowercase letters, numbers, and punctuation Include some memorable encoding in the phrase, for example: Iowa winters are cold would not be an acceptable passphrase as it does not include numbers or punctuation - - Iowa w1nters are c0ld! meets minimum complexity requirements in addition to having a secure length of nine or more characters HawkID & HealthcareID 7

9 Two-Step Verification The University of Iowa has partnered with Duo Security to provide a two-step verification process for some critical services and systems on campus, most notably UI Employee Self Service. This two-step verification is a way to further protect user and institutional data by requiring users to not only provide their user name and password, but another form of verification before they are allowed to access the service or system. Duo Security two-step verification allows for the registration of multiple devices (such as cell phones, land line phones, and tablets) to be used as the second step of verification when logging in. Duo Security has apps for Apple, Android, Blackberry, and Windows (mobile) devices. 10 University & Calendar Hawkmail Hawkmail is the service provided by ITS to faculty and staff. There are multiple ways to access Hawkmail accounts: Through any web browser, at With programs such as Outlook or Mac Mail Through the default application on most mobile devices. For more information and instructions, see University holidays, class schedules, and ICON events can be added to Hawkmail calendars. These settings can be changed by using the DIY site at https://diy.its.uiowa.edu Hawkmail accounts for faculty and staff members will be requested by the IT support person within their department For information and assistance with Hawkmail accounts, contact the ITS Help Desk ITS provides built-in anti-spam and attachment blocking for Hawkmail accounts. For more information, see Mass Mail The UI Mass Service provides for the distribution of mass messages (more than 1,000 users) to the campus community under a system of administrative approvals. 11 Listserv LISTSERV is a campus-wide list service available to faculty, staff, and students. It is used for ongoing discussions and announcements about a particular topic, generally self-selected for membership. This service allows a list owner to administer lists through a web interface. Subscribers can be from the university community or the general public. This service would be used to collaborate and share information with a large group of people. Previous messages are accessible in an archive list. Health Care Faculty and staff who are affiliated with UIHC or the College of Medicine will be provided a Health Care account. Health Care users have multiple ways to access their Health Care accounts: Through any web browser, at Through the default application on most mobile devices. 12 Computer Security Securing Personal Computers Whether faculty and staff members are bringing a personal computer to campus or using a university-owned computer, precautions should be taken to ensure its physical security, including: Close and lock offices, residence hall rooms, or apartments while away Use a cable lock to secure the computer to a desk Make sure to keep computers with them at all times, or lock it up in a safe place The computer should always be password-protected while not in use Computer Security 11

13 Accessing the Internet Protecting Yourself Online An online security attack can result in losing the privilege of Internet access on campus, personal identity theft, or worse. Here are some things to remember to remain safe while online: Keep passphrases confidential; faculty and staff are responsible for all of their account activity Be wary of any links in an instant message or ; links are a way for viruses, worms, and trojans to infect a computer Be skeptical of s that ask for personal information or that have instructions to click on a link to verify an account; replying to these types of messages can compromise the integrity of a university account The university will never ask for passphrases (HawkID passwords) via ; contact the ITS Help Desk to verify if an message is legitimate Make sure to use antivirus software and keep it updated; make sure the operating system on the computer is updated as well Faculty and staff should be careful of what information they publish online; before uploading pictures or text, they should consider how it might affect personal security or possibly jeopardize future job prospects 12 Accessing the Internet

14 Sharing Copyrighted Material Online Copyright infringement is not the only threat from file sharing Assume files on peer-to-peer (p2p) networks are infected with spyware and viruses Faculty and staff are responsible for all online activities that take place on their network port or wireless connection If a faculty or staff member violates copyright laws using a computer on the University of Iowa campus network, their Internet access will be restricted and they could be prosecuted UI Wireless: eduroam The University of Iowa offers wireless connectivity in all academic buildings, the residence halls, and many common areas on campus. https://www.eduroam.org The university s wireless network is part of eduroam, a worldwide consortium of colleges and universities that provide wireless Internet access across research and education networks. The eduroam network is a secure wireless network that requires users to log in with their HawkID followed and HawkID passphrase. Use the UI Wireless Setup network to automatically configure a laptop or desktop computer for access to the eduroam wireless network. To connect a mobile device to eduroam, select the eduroam network directly from the list of available wireless networks. 15 UI Wireless: AT&T Guest WiFi Visitors to the University of Iowa campus can enjoy free guest wireless service, courtesy of a partnership between Information Technology Services (ITS) and AT&T. Guests can take advantage of this convenience by selecting the attwifi network when configuring a device for wireless access. After this, guests will just need to use a web browser to confirm the connection to the wireless network and agree to AT&T s terms and conditions and UI policies. For technical support, guests using the attwifi network can contact AT&T directly at Like most guest networks in public places, attwifi is not encrypted; therefore, UI faculty, staff, and students are encouraged to continue to use eduroam for access to wireless Internet UI Anywhere UI Anywhere is a Virtual Private Network (VPN) that provides offcampus secure access to resources located on the University of Iowa campus. Examples of those resources would be: library resources, websites restricted to on-campus use, servers, systems, and Remote Desktop. Cisco AnyConnect is the software program the university has site licensed for this service. It can be download and installed from the ITS Software Download Site at 14 Accessing the Internet

16 Discounts on Computers The ITS Computer Purchase Site provides information about educational discounts on computers available through participating vendors. To take advantage of academic discounts available for new computers, faculty and staff can log into the Computer Purchase Site with their HawkID and passphrase. The ITS Help Desk provides suggestions to consider when purchasing a new computer, and recommended configurations at Departmental Computers If a faculty or staff member is purchasing a computer for their department, the online ITS Computer Purchase Site also includes instructions for ordering equipment using a departmental requisition, a departmental credit card, or through the ebuy system. Discounts on Computers 15

17 Free & Discounted Software ITS Software Central The University of Iowa offers site-licensed software to faculty and staff free of charge, or at significant discounts. Faculty and staff should visit the ITS Software Central website to access and download free software and for information on the cost and availability of other software programs. UI faculty and staff can obtain Microsoft Office Professional Plus 2013 for Windows, or Office Home & Business 2011 for Mac at a discounted rate for work-at-home use. Instructions are available on the ITS software website UI faculty and staff can also obtain a license for Adobe Creative Cloud and Acrobat Pro at a discounted rate. This software can be installed on a personal computer for work-at-home, university business purposes Remain safe while onlne by using antivirus software and updating it regularly. A few examples of free antivirus programs are available on the ITS website at 16 Free & Discounted Software

18 Departmental Software Licenses If faculty or staff members need to purchase a license for a particular software title, or are unsure if the university already has a license for a particular software program, they should visit the Campus Software Program website for more information. Virtual Desktop Virtual Desktop is a web-based system that allows access to several software applications, at no charge, from almost any computer with an Internet connection. Provides access to applications such as Microsoft Office, SPSS, SAS, Adobe Creative Suite, and more Due to licensing agreements, some software titles are only available when accessing Virtual Desktop on the campus network Free & Discounted Software 17

19 Office of Teaching, Learning, & Technology The Office of Teaching, Learning, & Technology (OTLT) supports, develops, and encourages faculty and TA professional teaching and learning strategies, including support for a wide variety of instructional technology solutions and expert assessment consulting and resources. Efforts are guided by the question What academic learning experience do you want your students to have? Staff in OTLT offer support ranging from expert instructional design consultations to campus-wide technology solutions. If you have a teaching support question, concern, or innovative idea, OTLT is here to help. How We Can Help Center for Teaching The Center for Teaching: Encourages and advances teaching and learning excellence at Iowa Promotes a university culture that values and rewards exceptional teaching Advocates for effective, evidence-based, reflective teaching, a leader in faculty professional development Is a collaborative partner in sparking and shaping conversations about higher education on campus and beyond Works to enhance faculty professional development and advocates for meaningful learning experiences in the context of disciplinary needs and with the implementation of pedagogies and technologies appropriate to student learning needs 18 Office of Teaching, Learning, & Technology

20 Evaluation and Examination Service (EES) Evaluation and Examination Service (EES) is located in 300 Jefferson Building on Washington Street EES provides free scoring and statistical analysis of classroom tests and quizzes administered using scannable answer sheets. EES administers the campus Assessing the Classroom Environment (ACE) process at the end of each semester and can assist you with ongoing assessment of your course and classroom environment as requested. Enterprise-Level Services OTLT offers a number of enterprise-level instructional technology services, from the campus-wide course management system, ICON, to technology support in classrooms and computer labs. Training & Consulting OTLT offers departmental and open registration training on effective uses of ICON, media, wikis, and other tools to promote learning. Especially popular are the workshops offered before the fall and spring semesters Consultants are available from 8 a.m. to 5 p.m. Monday through Friday to answer questions, help solve problems, and provide other one-on-one assistance Office of Teaching, Learning, & Technology 19

21 Instructor Learning Facilities In 2800 UCC, faculty and staff can work on instructional projects, with consultants on hand to provide guidance The Instructional Consulting Studio has an open workspace and three consultation rooms, with computers and instructional software that may not be available on faculty workstations The Instructional Digital Media Studio has high-end Macs and PCs with advanced media software programs as well as HD cameras (720/1080i), HD capture decks, solid-state recording equipment, and an HD projector Innovations in Teaching with Technology Awards Early each fall semester, the Academic Technologies Advisory Council issues a call for proposals for the Innovations in Teaching with Technology Awards that offer funding opportunities for faculty. The goal of the Innovations in Teaching with Technology Awards program is to raise the level of teaching and learning at the University of Iowa by supporting significant and innovative instructional technology projects that have the potential to directly impact student success and retention These projects are considered proof-of-concept projects that are new to the University of Iowa. One-on-one consulting is available for faculty on technology and instructional design issues 20 Office of Teaching, Learning, & Technology

22 SITA Student Instructional Technology Assistants (SITAs) provide one-on-one consultation services for faculty and instructors to integrate technology into coursework. Introduce and support instructors in the use of ITS-OTLT technologies such as ICON, clickers, and lecture capture Work closely with instructors to promote student-centered active learning Provide assistance to use technologies effectively and efficiently Support the integration of innovative technologies into curriculum Facilitate programming for: TILE classrooms, E-Text integrations, and Large Lecture Transformations SITA services are free of charge to faculty and instructors For assistance from a member of the SITA team, Office of Teaching, Learning, & Technology 21

23 ICON (Iowa Courses Online) ICON (Iowa Courses Online) is the course management system at the University of Iowa. ICON is supported within Information Technology Services. The course management software: Allows you to post course material, hold online discussions, collect assignments, and track grades online Is password protected Supports Registrar and non-registrar affiliated courses Can be used for instructor testing, development, and research organization A few of the most-used tools in ICON: Content Dropbox Discussion forums Gradebook Quizzes For help with ICON, contact the ITS Help Desk at or 22 ICON (Iowa Courses Online)

24 Plagiarism Detection (Turnitin) Turnitin is an online plagiarism detection tool that scans papers submitted by students for the possible presence of plagiarism. Some functions are available through ICON, and the full feature set is available through turnitin.com ICON integration offers: Originality check - checks papers for sentences/paragraphs from other papers and the web Turnitin.com website offers: Originality check - checks papers for sentences/paragraphs from other papers and the web PeerMark - allows students to review and comment on each other s papers GradeMark - enter grades and comments for a student s paper online To start using the Turnitin service on ICON, or on Turnitin.com, contact the ITS Help Desk. 25 Wiki https://wiki.uiowa.edu Wikis are a useful tool in promoting collaboration in the classroom: Collaborate on documents Compile class bibliographies and resources Share links, images, videos, or documents Some of the features include: Ability to view all edits and changes Easy-to-use blogging features Threaded commenting and discussions Immediate creation and access from ICON Dashboard Spaces can be public or private 24 Wiki

26 ifolio ifolio is a modular, customized, web-based electronic portfolio solution created by ITS. It is used by departments to assess teaching and learning outcomes. Highlights of the ifolio product include: Allows for reflective learning Allows for instructor, advisor, and peer feedback Tracks growth in major over time Accessible to students two years after graduation ifolio 25

27 UICapture UICapture is the lecture capture service hosted by the University of Iowa. By using UICapture, users are able to: Watch lectures on demand Improve retention of class materials Improve homework and test scores Review materials as the complement to in-class interactions Make up for a missed class UICapture has many features, including: Available for both Windows and Macintosh computers and ios devices Consists of both a software recorder and web interface Ability to create digital recordings of audio, video, and screen content Content can be easily linked to ICON courses or other websites For additional information about utilizing UICapture, faculty and staff should contact their departmental IT staff. 26 UICapture

28 Web & Video Conferencing Web Conferencing Web conferencing is offered using Blackboard Collaborate through ICON s course management service and via an external access point. Blackboard Collaborate is a virtual meeting product that allows moderator-led, Internet-based e-learning and collaboration with options for full duplex audio, sharing PowerPoint presentations, instant messaging, application sharing, breakout rooms, recording sessions for later playback, and more Video Conferencing Video conferencing is supported using hardware-based video conferencing systems such as Polycom and LifeSize. These solutions use standards-based technology (H.323 or SIP) to bring participants together over the Internet using high-definition video. Participants can see and hear each other and electronically share documents without being in the same location. Lync Meetings Microsoft Lync provides a unified communications experience for real-time communications, including voice and video calls, presence, instant messaging, and persistent chat. Web & Video Conferencing 27

29 Streaming Digital Media Streaming digital media services encompass hosting and delivery of audio and video files for instructional purposes, such as podcasts in itunesu, playing large audio or video files via ICON, or student uploads of media in ICON. 28 Streaming Digital Media

30 Student Response Systems (Clickers) Clickers, or Student Response Systems, allow instructors to solicit polls inside or outside of PowerPoint presentations in order to: Receive immediate student feedback Encourage peer instruction and active learning Increase student participation Facilitate class discussions Guide lectures Make classes more interactive and engaging Student Response Systems (Clickers) 29

31 General Assignment Classrooms Classroom Technology Hotline: All General Assignment Classrooms are equipped with: Windows computers Laptop video and Internet connections UI Wireless (eduroam) Wi-Fi connectivity Digital projectors Document cameras DVD players Auxiliary connections for audio and video devices Lecture capture microphones and software The following technology is available only in select classrooms: Macintosh computers Wireless lavaliere or handheld microphones 30 General Assignment Classrooms

32 ITS Rental Service The ITS rental service offers short-term laptop and portable projector rentals for University of Iowa departments needing equipment for conferences, travel, and other purposes. Authorized departmental requestors can reserve equipment online for pickup at the ITS offices in 2800 University Capitol Centre during normal business hours (M-F, 8 a.m. - 5 p.m.) Rental fees apply, with a maximum rental length of 14 days; rental must be paid for with a valid MFK ITS Rental Service 31

33 Guest Printing Users with Guest IDs may print to ITC printers by purchasing a PrintKey Departments can purchase PrintKeys for groups of guests (orientation, conferences, or similar events) with a valid MFK; contact the ITS Help Desk for information Guests may visit https://printing.its.uiowa.edu to redeem their PrintKeys 32 Guest Printing

34 Computers on Campus Instructional Technology Centers (ITCs) ITCs, or Instructional Technology Centers, are computer labs that are designed to provide students with campus-wide access to the university s academic computing resources and encourage departments to integrate computing into their academic programs. ITCs are located in 26 locations on campus, comprising a network of over 1,000 workstations available for student use. Each computer has Microsoft Office, Adobe Creative Suite, graphics software, web design applications, and statistical packages A list of computer labs can be accessed from a mobile device at Computers on Campus 33

35 Online/Cloud File Storage Faculty and staff should regularly back up important documents and files; hard drive failure, or a virus, could result in losing data forever. (H: Drives) allows faculty and staff to save files to a secure, backed-up location that is accessible from work or home 24 hours a day, 7 days a week Files can be accessed from university-managed computers via network drives Files can be accessed on personal/home computers by connecting to the VPN and mapping a drive to that computer OneDrive OneDrive for Business is an enterprise solution for file sharing and collaboration needs. OneDrive is available for all faculty and staff (including UIHC). Some of the advantages of OneDrive include: 25 GB of storage Real-time collaboration with students and colleagues Files can be accessed through the OneDrive website, OneDrive for Business mobile application and the desktop application for Windows A OneDrive for Business application for Mac will be available in the near future Faculty and staff can access their OneDrive account by logging in with their HawkID and password at Faculty and staff should not should not store sensitive (or restricted data) on OneDrive. 36 Research Services ITS - Research Services is an IT resource set up to assist and collaborate with UI investigators, faculty, and research support groups in a variety of fields and activities. Data Center Space Research Services has access to various managed data center spaces on campus. Staff can assist in locating the best spot for your system(s). Space is available for both co-location (AC power, network only) and ITS-administered systems. High-Performance Computing High-performance computing utilizes multiple processors to perform concurrent jobs in parallel. There are various high-performance computing resources on the University of Iowa campus. The largest available resource is the Helium computer cluster that contains over 3,600 processor cores and is available to all researchers and scholars. Research Consulting Research Services has several consultative services for researchers and scientists on staff. This might be a project that requires developing new capabilities or that combines resources from two or more other services in a novel way. Data Storage 3TB network file shares are available upon request to University of Iowa faculty at no charge. ITS also provides paid large-scale backup and computational data storage solutions.
