3 EdX Media Team Media creation for the edx platform is one of the primary ways to communicate your teaching objectives for your edx course learners. The edx Media team provides services based on the support model your institution has selected. We can also share best practices and workflow documentation if needed. Please send questions to our group at: FTP credentials and encoding specs The edx Media Team can encode your video files and provide recommendations. If you re doing this step on your own, then the media team recommends the following compression specs: Output/Edited Files H.264.mp4 1920x1080, progressive, fps Aspect: 1.0 VBR, 2 pass Target VBR: 32mbps Max VBS: 40 vbs Audio: Linear AAC 48kHz / 256 kbps Output/Publish YouTube H.264 "main concept".mp4 1920x1080, progressive, fps Aspect: 1.0 VBR, 2 pass Target: 5mbps Max: 7.5mbps Audio: AAC 44.1 / 192 kbps Output/Publish Downloadable AWS S3 H.264 "x264".mp4 1280x720, progressive, fps Aspect: 1.0 VBR, 2 pass Target: 1mbps Max: 1.5mbps Audio: AAC 44.1 / 192 kbps Please keep in mind that these are recommended specs, not required. 4 Suggested file naming convention It is important to identify a file with a unique name that takes into account the course #, the year it was created, and a version # as you are likely to update this content and will have many files to track. Example: SPU27_13_S1_1_0.mp4 SPU27 = 5 character designation of course 13 = 2 characters to designate course creation year S1 = 2 characters to designate segment 1 = Learning sequence 1 0 = Revision sequence Again, this is a suggested file naming convention and you may use another method. Regardless, we strongly urge your team to develop a standardized naming convention because it will help your media team identify and track your files. About video workflow Each course will have an about video or short teaser that describes the course. To help edx promote your course, we need to receive your about video file. To transfer the video by ftp, please follow these steps: 1. Upload about video to our ftp: edx-ftp.mit.edu NOTE: you can use an internet browser rather than an FTP client 2. Click the "Anonymous Login" button to access. 3. You might receive a "this site's security certificate is not trusted" message. To skip, click the "proceed anyway" button and you ll access the ftp. 4. Click on choose files by selecting and upload the file. 5. Notify the media team that the about video has been uploaded at: media@edx.org. We will upload your about video to edx.org to promote your course for registration. Here are the recommended encoding specs for about videos : Streaming H.264.mp4 1920x1080, progressive, fps Aspect: 1.0 VBR, 2 pass Target: 5mbps Audio: AAC 44.1 / 192 kbps After we receive your about video, we will upload the video to the edx channel on YouTube and embed the video on the course registration page. These steps allow edx to promote your course and track how many students watch your about video from the registration page. 4 EDX MEDIA TEAM GETTING STARTED DOCUMENTATION

5 3Play Transcription Overview To ensure quality and accuracy of transcriptions inside the edx platform, edx works with 3Play Media for captioning services. We negotiated a discounted rate with 3play that we are pleased to offer our partners. EdX will assist our partners in setting up an account at which time we will ask that you provide both your contact and billing information to 3Play Media. Transcription cost is based on video duration and your requested processing time. The standard turnaround is 4 days with the option of expedited and rush services at an increased rate for accelerated processing. General workflow 1. Course team sends video files to 3Play Media and uploads them to YouTube. EdX media team can also upload files to your 3play account, if needed. 2. 3Play Media creates caption files using a combination of machine captioning and human proofreading. 3. Captions are reviewed by the course team and manually downloaded from 3Play Media as.srt and.sjson files 4. Course team integrates captions into the courseware 5. If any text corrections need to be made to the captions, edits are done in 3Play Media. Uploading Files 1. Log into 3Play Media NOTE: You should have received an invite for an account. If not, contact media@edx.org. 2. Under Getting Started, select Access My Files NOTE: If you have access to multiple projects, you will need to switch to a different project. 3. When you re in the correct project, click the Uploadà Direct Upload option listed in the header. Follow the steps provided by 3Play. 4. You can also choose the upload using links option. This option enables you to upload files via YouTube video IDs. To upload using links, follow the steps provided by 3Play. Note: Besides public YouTube links, unlisted links also work. 6 Turnaround/Delivery options When uploading, you will be asked to select a folder and turnaround service. Folder: Depending on need, select default or designated folder Service: This is up to your group but you can choose standard, expedited, or same-day service (delivery). Different rates apply. Canceling a File from Uploading There is a small window to cancel a file after it s been uploaded. If needed, follow the canceling instructions provided by 3Play. Downloading captions from 3Play 1. Log into 3Play Media NOTE: You should have received an invite for your 3Play account. If not, contact media@edx.org. 2. Under Getting Started, select Access My Files. 3. To preview captions, select the file from the dropdown list and then select Preview Transcript. NOTE: To edit transcripts, please click here for the 3Play Media Help Guide. 4. To download captions, select the file(s) from the dropdown list and select from the top Request Download. 5. Under Caption Formats, select the download arrow button for SJSON. Store the file locally. This file is uploaded to edx Studio. 3Play How-To Guides If you need additional assistance, review the topics listed on their general documentation page or log into 3Play and access 3Play s How-To Guides on the help page. Amazon S3 download links To provide download links for videos and captions, edx uses Amazon Simple Storage Service (Amazon S3). Amazon S3 provides a simple web service interface that is used to store and retrieve files, at any time, from anywhere on the web. The service aims to maximize benefits of scale and pass those benefits to Ux partners. 7 Adding Captions to edx Studio 1. Locate the.srt.sjson file that you downloaded and find the YouTube ID for the video. The YouTube ID should look like: hi10vdnyz4m edxisawesum 2. Rename the file to subs_xxxxxxxxxxxxx.srt.sjson where the xxxxxxxxxxxxx are the YouTube ID. Example file will look like: subs_hi10vdnyz4m.srt.sjson 3. Log into Studio, select Course Content, and select Files & Uploads. 4. Select the green button Upload New File and upload the.srt.sjson files. NOTE: As long as the videos with matching YouTube ID s have been included in the courseware, the captions will accompany them. Debugging (if needed) in edx Studio Check that you have the correct YouTube ID in your renamed file. You can file this inside studio under course content in Files & Uploads. 8 YouTube CMS Overview 1. What is the YouTube Content Manager YouTube's Content Management System (CMS) is the web-based interface that edx university partners use to manage their YouTube video Content ID. With the CMS, you can manage your content, claims, assets, perform account maintenance, and access various tools such as bulk uploads and reports. 2. Getting Started To start, your edx Program Manager will request an address for the university administrator who will manage your YouTube CMS. An welcome message will be sent to that account. Within this , click the Create Your Content Manager account link to gain access to your Content Manager Account. To set up your account, you will need a Google Account. Most people sign in using their gmail account. After activating the initial set up, you can access the YouTube Content Manager by using your Google account username/password at: 3. Adding new users to your CMS account If you need to add another Google Account to access your CMS account, you can do so under the Account Settings section of your account. To add access to CMS: Sign in to your Content Manager account at: Click on the "Account Settings" link at the top of the page. Click into "CMS Accounts." On this page you will see a list of users who have access to your account. To add a new user, click on the "Add new user" button. Choose the permissions level for this new user: You can opt to set the same permission level as an existing account by clicking the radio button next to "Copy permissions from this user:" and choosing an existing user, or you can set individual permissions b clicking the radio button next to "Select individual settings" and then checking or unchecking the individual settings. Enter the new user's address. Click the "Invite" button. This will send an invitation to the address that you submitted. Once this is received, the new user will then click the "signup page" link and proceed to linking their Google Account to CMS. 4. Adding additional YouTube channels to your CMS Account Most university partners will have multiple YouTube channels (for example, one channel per course). With the Content Management System, you can add and manage multiple YouTube channels from the same interface. This will allow you to collect analytics for each channel. To add a new YouTube channel to your account: 8 EDX MEDIA TEAM GETTING STARTED DOCUMENTATION

9 Sign in to your Content Manager account at: Click on the "Account Settings" link at the top of the page. Click in to "User Accounts." On this page you will see a list of channels that are currently associated to your partner account. To add a new channel, enter the YouTube username into the box labeled "Username." By default, web-claiming permissions will be set. If necessary, change the permission settings for the new channel as needed. Click the "Add User" button. Repeat these steps for additional new channels that you wish to add to your account. 5. Claiming content Your videos cannot be claimed for your Content Manager account until you link your YouTube user account to your Content Manager account. Follow these steps to link your YouTube user account(s) to your Content Manager account: Sign in to your Content Manager account at: Go to the User Accounts page in Content Manager. In the form, enter the username and password for the YouTube user account that you want to link to your Content Manager account. Check the 'Enable Web Claiming' option. Check the 'Enable Auto Claiming' option if you want any new videos that you upload through the linked user account to be automatically claimed for your Content Manager account. Click the Add User button. Once your YouTube user account is linked to your Content Manager account, you can claim videos sharing through the following steps: 1. Log in to your YouTube account. 2. On your My Videos page, click the Claim Video button next to a video that you want to claim. 3. On the Web Claiming page, choose a policy for the video and save your changes. 4. Repeat this process for each video that you want to claim. 5. Alternatively, use the Claim My Assets tool to claim videos in bulk. The Claim My Assets tool is available from the Content Manager Overview page. By claiming your content, you will be notified if anyone takes that video (or a piece of it) and uploads it to YouTube. At your discretion, you can stop them from using your claimed content, monitor it to see what they are doing with it, or release the claim and let them use it. 6.
