Cambridge Judge Business School Further Particulars JOB TITLE: REPORTS TO: MBA PROGRAMME COORDINATOR HEAD OF MBA PROGRAMME Background The Cambridge MBA is a high profile teaching programme and one of the main revenue contributors of Cambridge Judge Business School. The Cambridge MBA is the primary means by which the School has been able to grow and establish its reputation and brand. The MBA is a unique teaching programme within the University; it is the largest graduate programme, with 40 classroom hours per week and over 70 courses offered across the year. Students are working professionals with an average of 6.5 years of experience. Course fees are 38,000 for a one-year programme, and the students are experienced professionals who demand a level of quality, service and course delivery commensurate with the premium course fee and with their experience of standards in the corporate world. The MBA office is responsible for all operations and organisational aspects of the Cambridge MBA, including, curriculum design and development, electives, teaching materials, coordination of and support to faculty, course delivery, assessments, examinations, feedback, student services and events. The Role The role plays a crucial part in course administration, event management and day-to-day operational running of the teaching programme. The incumbent interacts with a diverse customer base of students, faculty, staff, university and external constituencies. As such, the Programme Co-ordinator plays a central role in the high calibre of customer service and operational execution required to deliver a top quality degree programme and thus maintain the strong reputation of Cambridge Judge Business School. There may be some expectation for evening and weekend work. MAIN RESPONSIBILITIES Programme Administration Manage assignment and exam process with Course Manager. Responsible for the collection and collation of assignments (hard and soft copy), liaising with markers, faculty and students, ensuring the anonymity of students throughout the process. Create and manage the upload space for student assignments, for all courses (elective and core). 1

Assist with the operational management of examinations; reporting to the central University, Faculty and Programme Manager. Create and manage the termly assignment deadline document, ensuring all Faculty respond within the deadline. Prepare course materials needed for faculty staff, photocopy as required and liaise with project and programme coordinator to make sure that all materials are accessible on the portal. Assist with management of online MBA course portal including trouble shooting, testing and implementation of changes to portal site. Assist Managers and Faculty with the provision of case materials for the course packs, to include cross checking and detailed review of material to avoid duplication between subjects. Manage the provision of Teaching Assistants, drawing up worker agreements, fees and processing paperwork. Coordinate the weekly checking of student attendance at core lectures; prepare report for managers flagging up any potential issues with Head of Programme and IT. To manage and prioritise the room booking for the timetable each year, and to resolve any conflicts with other courses/stakeholders regarding timetables and teaching space. Liaison with Students, Alumni and Faculty Prepare letters needed for banks, UKBA, embassies and so on, as requested by current students and alumni. Answer student queries on the sign up process for electives, support classes and projects. Point of contact for all visa related issues, disseminating queries, and sourcing answers through liaison with Central University, Head and Executive Director. Keep up to date with the International Student Office guidelines, as well as tracking UKBA changes and contacting both University and external officers for any clarification and informing office policy where appropriate. Day to day point of contact for answering student/faculty/visitor queries. Communications Market MBA events to School, University and community when appropriate. Revise copy and proof read course materials, handbooks, online materials and events publicity. Manage online and direct communications with students in conjunction with Projects and Programmes coordinator, and MBA Communications office. Finances Coordinate office expenditure by keeping track of all office expenses, payments, POs, invoices etc. Updating relevant spreadsheet to provide correct information for Managers and Head; highlighting any issues arising. Process payments to teaching staff/tas/student reimbursements for sign-off by Head of MBA. Ensure all companies submit invoices for teaching and events and follow up with Finance office where necessary in liaison with Programme and Projects Co-ordinator. Keep copies of all invoices, prepare Purchase Orders and file appropriately. Manage the payment of students via the voucher system for conferences and competitions. Meeting and Exam Support Coordinate materials for External Examiners' meeting and mailings to examiners during the year. Assist the Course Manager with the production of exam materials and set up of exams. 2

Coordinate the production of paperwork for termly Teaching Committee liaising directly with Faculty and support staff. Organise the termly Teaching Committee meeting. General Administration In-charge of ordering supplies and general management of office resources. In-charge of filing, record management, and mailing lists. Assistance with activity administration. Maintaining up to date student's lists and working with the Alumni Office to ensure all changes to alumni contact details are communicated swiftly. Internally and externally delivered events, 100 annually such as orientation and the alumni graduation weekend and setting the venue, booking catering, coordinate with IT regarding visitor requirements (Wi-Fi access, AV support etc), deal with student/staff/faculty enquiries about events and be available for some evening and weekend events to help welcome and register, ensuring programme efficiency, with Managers and co-ordinator. The Person The ideal candidate should have the following qualities, skills and attributes. ESSENTIAL Educated to at least A' Level standard or equivalent. Excellent organisation and communications skills. Ability and confidence to work independently and unsupervised and to make decisions as necessary. Excellent communication skills; ability to interact effectively with a wide range of people from different backgrounds and cultures and at all levels of the organisation. Ability to prioritise workload to meet multiple deadlines, and forward plan. Accuracy and attention to detail, and ability to maintain this under pressure. Familiarity with the higher education environment and experience of university administration. Experience of working in a customer-service focussed environment. IT Skills, using Word, Excel, PowerPoint, Access and Outlook. Strong spreadsheet skills are particularly important. DESIRABLE Skills and knowledge of elearning technology; an ease with technology and ability to suggest new ways of improving systems. Quantitative and accounting skills. Ability to engage with unfamiliar systems and databases, and assist with development of those systems. Proof reading skills. Benefits This is a full-time position working 36.5 hours per week. Holiday entitlement is 28 days per annum plus eight days of public holidays. The salary will be in the range 24,289-27,318 per annum. 3

The full incremental salary range for the position is advertised in order to demonstrate the progression for the Grade. In the majority of cases appointments will be made at the Grade minimum; only in very specific exceptional circumstances can a higher salary be offered.
