Office 365 (Downloading Software) Office 365 provides free software to use on desktop PCs, Laptops and Mobile devices. This guide provides information on the following: Install MS Office Suite: How to download and install the free copy of MS office on your desktop PC and laptop. Note that this can be installed on up to five devices at a time. Remove a MS Office License: If you have reached your limit of installing MS Office on five devices this will show you how to remove a license so it can be freed up to be used on a new or different device. Mobile Apps: Mobile apps are available so you can use MS Office on your mobile device. OneDrive for Business App: How to obtain and install on PCs, Laptops and Mobile Devices to access your documents stored in the cloud Skype for Business (previously Lync) App: How to obtain and install on PCs, Laptops and Mobile Devices to create and attend online meetings. OWA App: Used to access Email once your email account has been moved to Office 365 (schedule to be announced in October 2014). This shows you how to obtain and install on mobile devices the app. Install MS Office Suite From 1 st December 2014 both students and staff are eligible to install MS Office on up to five devices. New Students: Before you start this process you need to ensure that you have completed any advanced registration processes for your course and changed the default password for your UEA IT Account. Open a web browser and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. Click on the system requirements link to check that your device is compatible (not Windows XP and Vista are not compatible and that MS Office 2011 is currently not provided for MAC PC/Laptops). Select the appropriate language from the Language drop-down menu Although not recommended if you require the 64-bit version select 64-bit from the Version drop-down menu. Click the Install button Click Save when you are prompted if you would like to save or run the file. Click View downloads and check that the file you have downloaded has come from Microsoft Corporation. Click Run against the file you have downloaded P a g e 2

If prompted with User Account Control click Yes MS Office will then prepare itself to install Click Next when it is no longer greyed out P a g e 3

Review the Privacy Statement, select the option you feel most comfortable with and click Accept. Click Sign in IMPORTANT: When prompted to type your email address you must enter your UEA IT Account username (not your email address) in the format username@uea.ac.uk e.g. abc15xyz@uea.ac.uk and click Next. Enter your UEA password for the username you entered previously, ensure that Keep me signed in is enabled and click Sign in. Click Next Select a background image of your choice from the list provided and click Next. P a g e 5

Click Take a look to see a presentation on the new features or No, thanks to continue. You will be prompted with the dialog below informing you that the applications are now ready to use. These are available from either the Start menu or screen. Although the software is ready to use Office is continuing to finish its installation. The dialog will remain until the installation has completed. Click All done to finish the install. P a g e 6

Remove a MS Office License Follow this guidance if you have used all five of your activations and would like to free one or more of them up to use on a different device. Open a web browser and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. This will list at the top of the page all of your MS Office activations. Click Deactivate on the appropriate installation. You will be asked if you are sure you would like to de-activate the installation. Click Yes to deactivate this license. You will then be free to re-use this license on a different install. P a g e 7

Mobile Apps This guides you through the steps to use one of your five MS Office licenses to install MS Office on your mobile device e.g. tablets such as ipad. Open a web browser on the mobile device and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. This will by default be on the Office software page. As you are on your mobile device it will display a list of devices that you can install MS Office. Select the appropriate device. As an example we have selected ipad. Ensure that the drop-down states your correct device. In this case ipad and then tap on the get apps button. P a g e 8

You will then be show a link to the app store (on apple devices) or Google Play store (on android devices). Click on the app store link to automatically open and display the app you should then install. P a g e 9

OneDrive for Business IMPORTANT: Microsoft are running a service on behalf of the University of East Anglia and the server details (outlook.office365.com) is a trusted source which allows all users to connect to the Microsoft service. Appropriate security and compliance reviews have been made with Microsoft and users should consider this server to be an exception to the rule of only configuring your device to authenticate against a UEA server. Please note: your UEA IT Account credentials are sent to Microsoft over an encrypted channel who read your username which identifies you as a UEA IT account holder. Microsoft then requests authentication to take place on UEA systems. If authentication on locally based UEA systems is successful then an encrypted token is sent to Microsoft allowing you access to their systems. All data sent between your desktop/mobile device, Microsoft and UEA is encrypted Option 1: Download and install on your desktop PC or Laptop Open a web browser on the mobile device and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. On the left-hand side you will see the menu of applications that can be installed. Click on the OneDrive option. Select your desired Language from the drop-down and click on the install button When the file has downloaded double click the download to run the installation Once successfully installed on your first use your will be asked to Sign-In. Enter the following: o Username: This is your UEA IT Account username. IMPORTANT: enter your UEA IT Account username (not your email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk o Password: This is your UEA IT Account password Normally your settings will automatically be detected. If the app is unable to do this you will be asked for your SharePoint address. Enter the details below: o Personal SharePoint address: enter https://ueanorwichmy.sharepoint.com/personal/<uea IT Account Username>_uea_ac_uk Note: replace <UEA IT Account Username>_uea_ac_uk with your UEA IT Account username e.g. abc123 would be abc123_uea_ac_uk P a g e 10

You will now be ready to use the OneDrive Application Option 2: Download and install on your mobile device Open a web browser on the mobile device and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. On the left-hand side you will see the menu of applications that can be installed. Click on the Phone & Tablet option. Select your device from the drop-down and click get apps. This will open a new web page with a list of apps available for your device. At the bottom of the web page you will find OneDrive for Business app (screenshot is example from iphone). NOTE: There are two apps provided by Microsoft Corporation to access OneDrive. The OneDrive for Business app should be used to access your UEA online storage. The other OneDrive app should be used with your personal subscription to office 365 (if you have taken one out separately to the one provided by UEA). Tap on the Get the app by the OneDrive for Business icon to go to either the app store (apple) or google play store (android). P a g e 11

Within the app store you can then download and install the app. Once successfully installed on your first use your will be asked to Sign-In. Enter the following: o Username: This is your UEA IT Account username. IMPORTANT: enter your UEA IT Account username (not your email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk o Password: This is your UEA IT Account password Normally your settings will automatically be detected. If the app is unable to do this you will be asked for your SharePoint address. Option 2: Download and install on your mobile device Open a web browser on the mobile device and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. On the left-hand side you will see the menu of applications that can be installed. Click on the Phone & Tablet option. Select your device from the drop-down and click get apps. This will open a new web page with a list of apps available for your device. At the bottom of the web page you will find Skype for Business (previously Lync) app (screenshot is example from iphone). OWA App Please note that this app will only work after your email account has been moved to Office 365. A schedule of when accounts are moved will be advertised in October 2014. Please use the guides to setup email using active-sync. Open a web browser on the mobile device and go to https://office365.uea.ac.uk/software You will be asked to sign-in. Important: enter your UEA IT Account username (not email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk When you have successfully logged in you will be directed to the Office 365 software page. On the left-hand side you will see the menu of applications that can be installed. Click on the Phone & Tablet option. Select your device from the drop-down and click get apps. Tap on the Get the app by the OWA section to go to either the app store (apple) or google play store (android). Screenshot below shows you the link for iphone. Within the app store you can then download and install the app. Once successfully installed on your first use your will be asked to Sign-In. Enter the following: o Email Address: IMPORTANT: enter your UEA IT Account username (not your email address) as username@uea.ac.uk e.g. abc15xyz@uea.ac.uk o Password: This is your UEA IT Account password You will also be asked to set a Passcode. Enter a passcode of your choice which will be needed to access your email on your mobile device each time you use the app. You will now be ready to use the OWA Application P a g e 17
