Windows Live Mail is included as part of the Windows Live Essentials package, available for free download from Microsoft. To set up Windows Live Mail to access your email account, follow these instructions. You will need to know the following information before you get started: Your email address Your email password The server where your email is hosted Add a New Email Account If this is your first time using Windows Live Mail, you may be automatically prompted to add a new email account. If so, you can skip this step. Click the Accounts tab, then click the Email button in the New Account section. Note: if your system looks substantially different than this, you may be using an older version of Windows Live Mail. You may want to upgrade, or contact Smarsh Support for assistance. Enter Account Information Enter your email address and password, then enter your name in the box labeled Display name for your sent messages. If you already have another email account set up, check the Make this my default email account box if you want to send messages primarily from your Smarsh account. If you do not have another email account set up, this option will not appear. Click Next. Page 3 of 5
Configure Server Settings Our servers support both the POP3 and IMAP protocols, but most of our customers use POP3. Unless you know you have a reason to use IMAP, you should leave the server type set on POP3. On the left side under Incoming server information, in the Server address field enter the server address that was provided to you (do not actually type example.smarsh.com as shown here; this is just an example). Check the box labeled Requires a secure connection (SSL). Change the Logon user name to your full email address, not just the first part. On the right side under Outgoing server information, enter the same server address that was provided to you, and change the port number to 465. Check both boxes for Requires a secure connection (SSL) and Requires authentication. Click Next, then click Finish. Page 4 of 5
Remove Messages From Server To keep your POP3 account operating efficiently, it is necessary to configure Windows Live Mail to automatically clean up messages that are left on the server. If you are using the IMAP protocol instead of POP3, skip this step. Note that this does not affect our email archiving system for compliance purposes. Select your new Smarsh account in the list of folders on the left. Under the Accounts tab, click the Properties button. Click the Advanced tab, then check the box at the bottom labeled Remove from server after 5 day(s). The default setting of 5 days works well for most people, but you may increase the number of days if you have a reason to. Alternately, if you never use other computers or a mobile device to access your email account, you may uncheck the Leave a copy of messages on server box. Click OK. Your new account is set up and ready to send and receive email. Page 5 of 5
