Job Description Job Title: Reporting to: Location: Database Co-ordinator Supporter Care Manager London Job Purpose The Database Co-ordinator is responsible for the maintenance and support of the fundraising database (imis). The database runs Microsoft SQL server 2005 and this position is responsible for its day to day running including maintenance, reporting and optimisation. This entails providing front line user support, carrying out pre-defined and adhoc import and export routines, and supporting the generation of regular payment files. In addition this position will provide support to the Supporter Care Manager in creating and delivering ad-hoc reports to be used to analyse our supporter base maintaining data integrity. Scope and Limits of Authority Reporting to the Supporter Care Manager, the Database Co-ordinator is responsible for the day to day maintenance and support of the organisational fundraising database (imis) as well as supporting a Database Officer. The post holder will proactively support the development of the database and will be the main contact for any database queries within the organisation. Areas of Responsibility Management of the IMIS database and in particular the delivery of the following: Database maintenance and support 1. To use SQL server to maintain database and provide reports for various departments within the organisation. 2. To be proactive in reviewing the database requirements for EveryChild providing technical expertise and support to the Supporter Care Manager, providing options for how to take the database forward. 3. To act as a first point of contact for database support issues and queries from Supporter Care, Sponsorship, Finance, Supporter Development and Sponsor and Key Supporter departments. 4. To complete reports detailing progress of development and problems within database and the solutions and decisions taken to resolve these. 5. In agreement with Supporter Care Manager, liaise with ifinity support to resolve complex database issues.
6. To work with external agencies to set up and run data import procedures (of new supporters, etc) aiming to streamline import processes where possible. 7. Organising training/induction of new imis users and ongoing support for relevant teams to ensure users are proficient in the use of the system. 8. To ensure data quality is maintained and that cost effective options are applied to capture, update and clean data. 9. Work closely with ICT to ensure database and ICT updates do not interrupt imis users and processes continue to run, documenting any challenges updates cause. 10. To provide other reports and development as agreed by the Supporter Care Manager. Support of Financial Processing 11. To correct any inconsistencies with batches generated for Credit Card and Direct Debit payments due for submission to BACS/Sagepay using SQL server 12. To importing warm gift payment files for Direct Marketing mailing and telemarketing appeals 13. To provide weekly transaction/upload reports to the Finance department. 14. To Run the Gift Aid claim from imis providing the data for EveryChild to claim Gift Aid income worth approximately 10% of EvC s income. 15. To Provide data for annual Gift Aid refunds and liaise with HMRC and Finance on queries Supporter Development Support 16. Select and prepare warm appeal mail-files from the database, and advise on selection criteria where required. 17. Weekly data integrity checking to allow accurate data selections for Supporter Development activity 18. To set up automated regular letters Sponsor and Key Supporter Support 19.
