Position Title: Development and Outreach Officer Reports to: Head of Resource Development Date prepared: May 2016 Salary: 35,763 full time position Role The role of the Development and Outreach Officer is to support Reprieve s fundraising efforts. The Development and Outreach Officer s main tasks include: The effective administration, maintenance and development of our donor care systems for processing, categorising and acknowledging donations; Supporting the Head of Campaigns and Digital with the development, delivery, tracking, and evaluation of campaigns; Supporting the Head of Campaigns and Digital in collating data and developing an understanding of the online supporter journey, in order that Reprieve may effectively segment and target its support bases; Supporting the Head of Resource Development in the delivery of Reprieve s programme of high value fundraising events; Supporting the Resource Development Team in the production of high quality supporter materials and communications, including the Annual Report, Reprieve promotional materials, and the design of casework reports; Overseeing the collation and analysis of statistics to assist with monitoring and evaluating the effectiveness of the Resource Development Team s work, and assisting with reporting to the Board on the team s progress; Procuring Gift Aid income, and remaining up to speed with changes to Gift Aid; Ensuring all of Reprieve s donor care systems and database conform to our obligations as a data collector; Ensuring that our development and outreach systems are integrated appropriately with our financial systems; and Shepherding of community fundraisers, oversight of the sale of merchandise and other future income streams from the general public. Reporting to the Head of Resource Development, the post holder will also work with the Director of Strategy and Policy, Resource Development Officers and volunteers. Responsibilities The Development and Outreach Officer will be responsible for the following activities: 1. Contact management database (Donorflex) support and data entry 1.1. Save all written and electronic donor correspondence (including correspondence with major donors and with members of the general public) on Donorflex and shared filing system. 1.2. Ensure that Donorflex is accurately maintained and updated with new supporter details. 1.3. Ensure that all communications and donations are recorded on Donorflex. 1.4. Manage the regular giving programme, ensuring all regular payments are processed, new payments are set up and lapsed ones cancelled. 1.5. Oversee the interpretation, analysis and reporting on supporter data to enable the RD team to gain greater understanding of Reprieve donors. 1.6. Ensure that all of Reprieve s donor care systems and database conform to our obligations as a data collector. 1.7. Ensure that our development and outreach systems are integrated appropriately with our financial systems. 2. Alternative and supplemental income streams 2.1. Procure Gift Aid income, and remain up to speed with changes to Gift Aid. 2
2.2. Source Gift Aid income wherever possible. 2.3. Process and record all Gift Aid declarations. Ensure they are entered and maintained accurately on Donorflex and the shared drive, where appropriate. 2.4. Process payment for and send Reprieve merchandise and manage stock. 2.5. Keep abreast of any changes to the offering and sale of merchandise, including VAT rules. 2.6. Investigate and report to the Resource Development Team on alternative income streams. 2.7. Shepherd community fundraisers; research community fundraising initiatives, including sponsorship events and community groups; and support members of the general public to fundraise for Reprieve where such support is strategic in developing our fundraising programme. 3. Campaigns and individual donor supporter care 3.1. Work with the Head of Campaigns and Digital to coordinate regular communication with individual supporters in the form of email bulletins, petitions, advocacy campaigns and appeals. 3.2. Support the Head of Campaigns and Digital in collating data and developing an understanding of the online supporter journey, in order that Reprieve may effectively segment and target its support bases. 3.3. Support the Head of Campaigns and Digital with the development, delivery, tracking, and evaluation of campaigns. 3.4. Work with the Head of Resource Development to draft and coordinate communication with major donors in the form of major donor updates and appeals. 3.5. Assist with ensuring that all donations from major donors and the general public are coded, thanked and entered on donorflex. 3.6. Research prospective supporters and assist with drafting supporter communications, including responses to queries and complaints. 4. Events management and high value supporter care 4.1. Assist the Head of Resource Development with the organisation, administration and delivery of donor engagement events. 4.2. Assist with event follow-up, including drafting and sending thank you letters, and ensuring that Donorflex is updated with new supporter details and communications. 4.3. Research and draft communications to potential major donors. 4.4. Ensure that major donor files and donorflex profiles are updated as necessary with new information and that all communications are accurate and saved. 5. Trusts and foundations 5.1. Project manage the small trusts appeal up to four times a year: research prospective small trusts, draft the appeal letter, and record, file and, where appropriate, acknowledge all responses and ensure timely follow-up. 5.2. Assist the Resource Development Officer with drafting correspondence thanking trusts and foundations, coding donations from trusts and foundations, and collating and analysing data on trusts and foundations giving and our progress towards annual targets. 6. Web and design 6.1. Regularly update Reprieve s Take Action web pages, and other pages of the website focused on supporter engagement and fundraising. 6.2. Assist the Head of Campaigns and Digital with the integration of the website and other donor care and fundraising software and tools, including Blue State Digital, Rapidata, Donorflex, and Twig. 6.3. Support the Resource Development Team in the production of high quality supporter materials and communications, including the Annual Report, Reprieve promotional materials, and the design of casework reports. 3
7. Monitoring and evaluation of fundraising efforts 6.1. Oversee the collation and analysis of statistics to assist with monitoring and evaluating the effectiveness of the Resource Development Team s work, and assisting with reporting to the Board on the team s progress 8. Volunteers 8.1. Assist with managing volunteers where appropriate to help carry out the above responsibilities. 7. Other 7.1 Assist with any other tasks as required by the Head of the Resource Development Team. Key Contacts The Development and Outreach Officer will have regular contact with the Head of the Resource Development Team, the Director of Operations, the Resource Development Team, the Finance Manager, Reprieve s supporters, and service providers. Length and Salary The Communications Officer, will be employed on either a permanent full-time basis, or a permanent part-time basis (depending on the candidate s preference and our ability to internally redistribute responsibilities 4, 5 and 8 above). The annual full-time salary is 35,763 per annum less any required deductions for income tax and national insurance. The position will be based in the London office.
