SUMMARY Benefaction Manager This position offers an exciting opportunity for an experienced fundraiser to work in a small team on the delivery of Australia s largest and most exciting contemporary visual arts event. Reporting to the Head of Benefaction, the Benefaction Manager will play a key role in creating and promoting new fundraising campaigns, making new connections with local, national and international supporters, providing high-level relationship servicing to donors and diversifying opportunities for audiences to get involved with the Biennale. The position will broaden the Biennale s prospecting potential, and if fundraising targets are achieved, be extended to become a permanent role. The Biennale of Sydney Held every two years, the Biennale of Sydney is a three-month exhibition accompanied by a range of public engagement and education programs. Since its inception in 1973, the Biennale of Sydney has provided an international platform for innovative and challenging contemporary art, showcasing the work of nearly 1700 artists from over 100 countries. Today it ranks as one of the leading international festivals of contemporary art and continues to be recognised for presenting the freshest and most provocative art from Australia and around the world. The mission of the Biennale of Sydney is to engage Australian and international audiences with bold and innovative contemporary art from Australia and overseas, promote cultural exchange and inspire audiences to experience art, themselves and their world in new and creative ways. The 19 th Biennale of Sydney (2014) attracted more than 623,000 visitors. With 40 per cent of visits made by people from outside of Sydney, the Biennale holds an important place on both the national and the international stage. Benefaction The Biennale of Sydney continues to innovate and push boundaries that its peer organisations applaud and aspire to the world over. Throughout the Biennale s history, donations from individuals and foundations have been critical in realising a program of excellence. Benefaction underpins the organisation s success and ensures we retain the position as one of the leading events on the international arts calendar. Philanthropy currently contributes approximately 20% of the organisation s total revenue. The Benefaction program assists with artists projects, education and public programs and, importantly, keeps the exhibition free so that it can be enjoyed by everyone. Previous experience in fundraising through digital channels (website and online platforms). Proven experience in building and maintaining excellent relationships with a broad range of internal and external stakeholders. Outstanding written and oral communication skills and the ability to liaise with a wide range of internal and external contacts. Proven experience in managing budgets, including monitoring expenditure and maximising outcomes with limited resources. Excellent computer skills in word processing, spreadsheets, database, record management and web applications. Excellent attention to detail and follow-through with an ability to work with minimal supervision and to exercise initiative. Highly developed organisational and time management skills. Experience in a high-profile, busy and dynamic environment. Desirable Criteria A relevant tertiary qualification in event management, communications and/or equivalent experience. ROLE STATEMENT Position title: Reports to: Direct reports: Salary Contract term: Benefaction Manager Head of Benefaction Guest Relations Assistant (contract) $75,000 plus super Full-time contract position to 31 December 2016 with an immediate start Purpose of this Position The Benefaction Manager capitalises on the significant growth of the Biennale s benefaction program in recent years by optimising fundraising activities, strengthening relations with local, national and international supporters and diversifying opportunities for audiences to experience a deeper engagement with the Biennale. Position Description The Benefaction Manager is responsible for contributing to and managing the planning, execution and evaluation of benefaction strategies in the lead-up and during the 20 th Biennale of Sydney. The Benefaction Manager is part of a team of highly motivated, specialist staff and plays a key role in the organisation. Reporting to the Head of Benefaction, the position offers an exciting opportunity for an experienced fundraiser to work in a small team on the delivery of one of the largest exhibitions of contemporary art in the Asia-Pacific region. The position works closely with the Head of Benefaction, Grants and Applications Manager, Sponsorship Manager and Guest Relations Assistant. As a member of core staff, the Benefaction Manager also works with the Exhibition, Public Program and Education, Marketing, Finance and Administration teams. A proven track record in event management is essential, as are excellent project management and people skills. Strong organisational, negotiation and communication skills are also required for the execution and delivery of benefaction strategies, correspondence and events. This is a full-time contract position to 31 December 2016 with the potential to become a permanent position. DUTIES Benefaction Strategy Devising and executing benefaction plan and strategy Benefaction Assisting the Head of Benefaction to manage benefaction relationships Companion, Friends and the VIP programs Coordination of the Friends of the Biennale of Sydney, and the VIP programs Event Management Coordination of a range of events Fundraising through Digital Channels Planning and coordination of a crowdsourced fundraising strategy, across the Biennale s digital platforms With the Head of Benefaction, set priorities and assist in devising all aspects of the benefaction strategy. Implement a strategic plan that will attract new donors and result in new partnerships with individuals and foundations. Service the benefaction program and strengthen donor relations. With the Head of Benefaction, identify and secure major donors With the Grants and Applications Manager, assist in preparing grant applications and acquittals where required. In consultation with the Exhibition, Public Program and Education teams, draft tailored proposals for new and existing patrons. With the Head of Benefaction, monitor benefaction revenue and expenditures to achieve KPIs on time and within budget. Build relationships with key supporters of the organisation, including existing members of the benefaction program, suppliers and stakeholders. Manage acquisition, loyalty and reactivation campaigns for entry-level donations ($2 $2999). Meeting expectations and agreed performance indicators as required by supporters and donors. With the Head of Benefaction, implement the Companion, Friends and VIP programs for the 20 th Biennale of Sydney. Develop innovative new revenue streams/programs and fundraising strategies for the organisation, particularly for entrylevel donors ($2-$2999). Assist the servicing requirements across the Companion, Friends and the VIP programs, including invitations, catalogue and collateral distribution. Prepare written communications and respond appropriately to enquiries about the Benefaction, Friends and the VIP programs. Develop and deliver a range of events, including fundraising events, exhibition openings, benefaction, sponsorship and stakeholder events, as well as special private viewings. With the Marketing team, manage electronic invitations. Manage guest lists, invitations and RSVPs and door lists. In consultation with the Marketing team, plan, launch, coordinate and evaluate the Biennale s crowdsourced fundraising strategy across the Biennale website and established digital channels. Research and Evaluation Manager the evaluation of the Benefaction, Friends and VIP programs Venue Management Administration Creation and maintenance of benefaction files, databases and contacts Staff and Contractors Assist with the appointment and management of contract staff Key Performance Indicators Work, Health and Safety (WH&S) With the Head of Benefaction, increase the organisation s skills and knowledge in private sector fundraising. Examine, collate, audit and analyse existing environmental, competitive and industry research. Identify future needs, trends, resources and opportunities for increasing revenue generated through benefaction. Review and evaluate internal data on benefaction development. Prepare reports including performance against budgets. Assist at venues as required. In coordination with Finance and Administration, manage placement of donation boxes at non-museum venues. Support the Head of Benefaction as required. Prepare invoices and accounts for payment. With the Head of Benefaction, oversee all incoming information and material relating to foundations, benefactors, donors, stakeholders and suppliers. Maintain donor and benefactor contacts in the Biennale s relationship database (Salesforce). With the Head of Marketing, oversee the maintenance and development of Salesforce. Liaise with the Administration team regarding the organisational timeline as required. Assist with office administration tasks including preparation of internal and external reports, filing and other duties as required. With the Head of Benefaction, supervising and managing the Guest Relation Assistant s workload. Assist with the appointment and management of contract staff and external contractors. Achieve fundraising targets. Successful deliver all events for the 20 th Biennale of Sydney, on time and within budget. Build and demonstrate quality relationships with Biennale benefactors. All staff are required to take reasonable care of their own health and safety and that of other personnel (including volunteers and interns) who may be affected by their conduct. EMPLOYMENT TERMS Contract Term This is a full-time contract position to 31 December 2016 with the potential to become a permanent position based on delivery of key performance indicators. Work Hours The position is required to work full-time at five working days a week, generally 9.00 am to 5.30 pm. However, these hours may vary due to volume of work, particularly during the build-up to a Biennale where there is an expectation at varying times to work after hours, holidays and weekends. Time in lieu of overtime will be considered and will be approved at the Head of Benefaction s discretion. Remuneration Leave a) Total remuneration package $75,000 plus 9.5% employer s superannuation contribution. b) Superannuation As part of the total remuneration package, the Company will contribute to a complying Superannuation Fund of your choice such a percentage of your earnings as indicated in the Superannuation Guarantee Act, currently 9.5%. a) Annual Holiday Leave Paid Annual Holiday Leave of four (4) weeks per annum in accordance with the Annual Holidays Act (NSW) will be granted at a mutually convenient time. b) Long Service Leave Long service leave in accordance with the Long Service Leave Act (1955) and other applicable legislation. c) Personal/Carer s Leave Paid personal/carer s leave of ten (10) days per year of continuous service for reasons of personal illness or injury, or to provide care and support to a member of your immediate family or household, who requires care or support because of a personal illness or injury of the member, or where there is an unexpected emergency affecting the member. The Company will not pay out the value of any accrued but untaken personal/carer s leave on the cessation of employment or during the term of employment with the Company. d) Compassionate Leave Paid compassionate leave of two (2) days per occasion. e) Other Leave In certain circumstances the employee may be granted additional leave for approved study courses or other special purposes. The granting and period of such leave will be at the discretion of the Company. Probationary Period A three-month probationary period applies to all positions and allows for seven (7) days notice of termination by either party. The Company reserves the right to terminate the employment during this period if the person is unsuitable for the described duties or the Company environment.
