FAUNA & FLORA INTERNATIONAL Fauna & Flora International (FFI) saves species from extinction and habitats from destruction, whilst improving the livelihoods of local people. Our guiding principles are to work through local partnerships, act as a catalyst for change, make conservation relevant and base decisions on sound science. Founded in 1903, FFI is the world s longest established international conservation body. We are acutely aware of the challenges we face. The world s remaining natural habitats, and the species that depend on them for survival, are under greater pressure than at any time in recent history. However, with the health of the planet now firmly centre-stage, we have an unprecedented opportunity to make a real difference. HR DEPARTMENT Our HR Department in Cambridge provides a comprehensive generalist HR service across the organisation. We currently support around 100 UK-based employees and 20 international expatriate employees. In addition, we provide HR support to FFI offices around the world, who directly contract a further 250 national staff. Our team is composed of an HR Manager, HR Adviser and HR Officer and we are supported by external agencies providing UK payroll services and HR legal advice. THE OPPORTUNITY This is an exciting opportunity to gain real breadth of HR experience and exposure in an international organisation. We are offering a diverse role with a wide range of activities, from dealing with routine HR queries and providing a comprehensive and efficient administration service, to supporting the development and implementation of HR systems and procedures. You will also take the lead in employee induction, advising and supporting managers on recruitment, managing and developing the HR pages of our internal online platform to strengthen HR communications and maintaining and developing our HR information system. You will have experience working within an HR team, and have developed a good understanding of HR practices. With excellent administrative skills, you will be highly organised, methodical in your approach to work, and have meticulous attention to detail and a clear focus on outputs. Keen to take ownership of your work, you will be proactive and able to work autonomously. Your excellent interpersonal and communication skills will enable you to build positive, productive work relationships with colleagues around the globe and ensure that our HR Department remains a trusted and approachable service for managers and employees. FFI currently provides a pension contribution of 2% of salary after 3 months continuous employment, rising to 8% of salary after the completion of 6 months continuous employment, or following completion of probationary period, whichever is the later. FFI also provides Group Life insurance, currently set at a benefit of 4 x basic salary. Hours of Work: Full-time or part-time working hours (a minimum of 22.5 hours per week will be considered). Full-time working hours are Monday to Friday from 9.00am to 5.30pm, with a one-hour lunch break. Purpose: To support the HR function and input to the development, implementation and maintenance of HR systems and procedures To provide a comprehensive and efficient administration service across the HR Department Main Duties: HR advisory service Act as an initial point of contact for HR, responding to queries and requests from employees and managers Provide guidance and support to employees and managers on HR processes, deputising for the HR Adviser and HR Manager where required Systems and procedures Input to the development and implementation of HR systems and procedures Take the lead in the development and implementation of FFI s induction procedure Take the lead in the development and maintenance of the HR Information System, MyHR, including: o Ensuring employee data is accurate and up to date o Supporting managers and employees in using MyHR o Developing MyHR as a tool for managers, creating and running reports, and extracting and analysing data to enable and support management decision making o Identifying and resolving technical problems, liaising internally and with external provider as necessary o Developing and maintaining user manual for HR team HR administration Provide administrative support across the HR Department Act as site editor for the HR MyFFI site, including: o Ensuring site content is accurate and up to date o Managing and developing the site s content, ensuring the site is user-friendly and information is easy to access and easy to understand o Developing and maintaining user guidelines for HR team Maintain electronic and paper employee files and other HR records, ensuring data is correct and updated in a timely manner Maintain and monitor absence records, including ensuring that absence is correctly recorded, return-to-work meetings are conducted as required and information is referred to the HR Manager as necessary Provide information for management reports as required Input to the design of HR documents and templates Recruitment Act as the initial point of contact and advise managers on the recruitment process Conduct initial review of recruitment documentation, ensuring correct use of templates Collate data on the effectiveness of advertising media used to inform future media choices Assist managers with advertising where required Act as the initial point of contact with recruitment agencies Draft offer letters and employment contracts
Interns and volunteers Develop and maintain a clear understanding of legislation and FFI process relating to interns, volunteers and work placements and provide advice and guidance where required Draft appropriate agreements to support volunteers, interns and work placements Employee payroll and benefits Support the HR Manager in preparing payroll and prepare payroll in the HR Manager s absence when required Input to the development and implementation of employee benefit schemes Monitor legislation that affects employee benefit schemes and bring issues to the attention of the HR Manager Administer employee benefits including: Childcare Voucher Scheme, Eyecare Scheme, Travel to Work Loan Scheme, Cycle to Work Scheme, Death in Service Scheme Support the HR Manager in administering the pension scheme Travel and insurance Input to the selection of suppliers and providers, researching options and submitting recommendations, giving consideration to business need, value for money and maximising operational efficiency Develop and maintain clear understanding of international medical insurance policy cover Review international medical insurance annual renewal documents and bring material changes to policy cover to the attention of the HR Manager Process international medical insurance applications and issue membership documentation Maintain international medical insurance records for employees Ensure relevant employees and FFI country offices have up-to-date information on international medical insurance procedures Provide advice to employees on making international medical insurance claims and liaise with insurers as appropriate Develop and maintain a clear understanding of FFI s business travel insurance policy cover and liaise with the HR Adviser and Governance and Facilities Coordinator as appropriate Provide support to the international travel process and procedure as requested by the HR Manager Other Carry out research as requested into HR issues Consult with professional advisors on issues of employment law and practice as required Keep up to date with developments in employment law and best practice, knowledge sharing within the team Ensure confidentiality is maintained in line with Data Protection and Freedom of Information Acts Undertake the duties of Fire Marshal Carry out any other reasonable duties which are consistent with the position
