The PUC New Emplyee Online Prtal New Emplyee Ambassadr Fund at http://webs.purduecal.edu/hr/nbarding/, this nline resurce cntains vital infrmatin fr new emplyees that can be viewed, dwnladed, and printed. (The prtal als has a sectin fr the Supervisr!) On the first day, each new emplyee will meet his r her New Emplyee Ambassadr - a persnal guide and partner fr getting up and running successfully! Yu, the Supervisr! New Emplyee Orientatin (NEO) Wrkshp Yu are yur new emplyee s g t persn and ne f the mst imprtant cmpnents in the success f this prgram. Using this Guide in Cnjunctin with the New Emplyee s Guide The New Emplyee s Guide des just that it guides an emplyee thrugh the first mnths f emplyment, prviding instructins t cmplete certain actins that will help him r her succeed. The culminatin f these is a series f meetings with yu. Within each phase, yu as the supervisr als have actins yu shuld cmplete. There is a pattern within each phase: Review what the new emplyee has accmplished t date. D a list f actins. Discuss critical tpics with the new emplyee. Plan fr the next phase. Imprtant Nte: Every emplyee and situatin is different. The infrmatin cvered as well as the timeline is imprtant, but yu have the final decisin n whether t cver everything exactly as prescribed. Have that persn review this dcument as well as the New Emplyee Guide. Create an rganizatinal chart (wh des what in the department) and bis fr the peple f yur department. Make a list f the tls yur department uses (cmputer applicatins, templates, frms, nline subscriptins, intranet pages, etc.). Where pssible, frmally dcument the prcedures f yur department. Limit the amunt f verbal training. Tip: Enlist the help f yur rientatin cntact r ther individuals in the department wh are lking fr a develpment pprtunity. Schedule a meeting with yur team and create a list f ptential questins a new emplyee may ask abut yur department. Assign smene t create an answer list and share it with the department. Phase I: Preparing fr Yur New Emplyee s First Day Nw that yu re expecting a new emplyee, planning fr his r her arrival is critical. Obtain the jb descriptin frm HR t remind yu f the required skills f the psitin and the strengths f the new emplyee. Send an email t yur department (r discuss in a staff meeting) infrming them f the new emplyee; prvide backgrund f the persn s skills and experience, as well as start date and agenda. Create a flder fr the emplyee where yu can keep specific infrmatin t give them as well as infrmatin abut them. Brush up n PUC plicies and benefits; they may have changed since yu last hired smene. Schedule time with HR t review if necessary. Gather all histrical infrmatin frm the predecessr (if pssible), such as best practices, files, recrds, and metrics, t pass alng t the new emplyee. Schedule time n yur calendar t meet with the new emplyee n the afternn f the first day. Keep yur calendar as clear as pssible during the emplyee s first week. Ensure Persnnel Actin Frm has been signed by hiring department head/directr and is being ruted fr signatures. (HR creates the PA frm and begins ruting prcess.) Cntact x2345 If applicable, request Banner Access fr new emplyee. Send e-mail t Sharn Rbey in SIS requesting either Advisr Query access r Banner INB access. If requesting Banner INB, be certain t indicate the Banner frms the new emplyee needs access t (i.e. SAADMS, SFAREGS, etc.) If applicable, receive ntice frm HR regarding OnePurdue rles fr new emplyee. Receive and sign the OnePurdue rle request frm and return t Human Resurces. Prepare wrkspace: Order name plate. Clean and prepare space. Remve ld flders r dcuments. Ensure pc/printer/telephne resurces are available. Equip with standard ffice supplies (pens, pencils, ruler, whiteut, scissrs, pst it ntes, writing tablets, printer paper, etc.) If applicable, rder business cards and r statinary. If applicable, make arrangements fr new emplyee t receive wrk unifrm/shes/safety glasses etc. Receive ntice frm Human Resurces re: date fr next New Emplyee Orientatin wrkshp. New Emplyee Jb & Department-Specific Learning Activities There are three brad categries f infrmatin a new emplyee needs: 1. Generic infrmatin abut the University and fr all emplyees. 2. Department-specific infrmatin. 3. Jb-specific infrmatin. Generic Infrmatin is accunted fr in the New Emplyee Guide and in the new emplyee s interactins with Human Resurces, New Emplyee Ambassadr and at the New Emplyee Orientatin (NEO) Wrkshp. Department-Specific and Jb-Specific infrmatin is yur respnsibility. Phase II: Yur New Emplyee s First Day It s nt the time t verwhelm a new emplyee, but he r she is excited t get started. Dn t assume yur emplyee will cme in perfect and knwing everything. Yu hired the best persn fr the jb but that persn still needs guidance. Review what s ccurred: Read the sectin f the New Emplyee Guide Phase II: Yur First Day t understand the activities yur new emplyee is cmpleting at this time. Discuss with HR if there have been any issues t date and cnfirm all activities have been cmpleted successfully. At the end f the first day, cntact the new emplyee s Ambassadr t discuss any issues and cnfirm all activities were cmpleted. D: Upn arriving, intrduce new emplyee t Orientatin Cntact and ther team members (ask what name the new emplyee prefers t ges by). Orientatin Cntact cnducts Department Orientatin (see page 15). Secure additinal items new emplyee needs. Discuss: Cnduct first-day meeting with new emplyee (see page 13). Plan fr Next Phase Week One: Determine the Jb & Department Specific learning activities the new emplyee will cmplete during the first week (see page 11). First-Day Meeting with New Emplyee Each supervisr appraches a new emplyee s first day slightly differently, but the gal is t welcme the new emplyee and prvide the infrmatin t get started. During yur first meeting with the new emplyee, discuss the fllwing: Cnfirm they were able t cmplete all actins with HR, New Emplyee Ambassadr and Department Orientatin Cntact. (See Phase II: Yur First Day f New Emplyee Guide). Review the jb descriptin. Explain specific respnsibilities and 90 day evaluatin frmat and prcess (if applicable). Discuss yur expectatins. In what ways they ll be expected t cntribute. Prvide bis f team members & department rganizatinal chart. Prvide ther materials yu have cllected in the emplyee s flder. Discuss the department s missin and gals. Wh are the department s custmers and wh supprts the department. The new emplyee s wrk hurs, the department s ffice hurs, lunch hur, break times, and vertime plicy/prcedure (if applicable). Departmental dress cde and any ther department-specific plicies. Wh t call when ill r late reprting t wrk, including necessary frms. Emergency prcedures, emergency exits, strm safe area, building deputies. The new emplyee first prject (see next page). Believe it r nt, many new emplyees cmplain their first week is bring, s check-in ften with them. They generally will nt fr fear f lking incmpetent). Begin inviting new emplyee t key meetings. Create pprtunities fr the emplyee t interact with thers emplyees and understand University culture. Encurage ther clleagues t invite new emplyee t partake in campus activities. If the new hire has direct reprts, set up meetings with them and their supprt staff. Schedule ne-n-ne meetings fr new hire t meet with departmental and ther clleagues he/she will be wrking clsely with. These meetings can ccur thrughut the first mnth.
