1 Video Coferecig Facilities Task Team Fial Report May 9, 2013 Summary from our Charter The West Lafayette Campus curretly icludes a rage of facilities ad rooms equipped to host video cofereces. Some of these are maaged ad operated by departmets charged with providig such services ad ted to be widely kow ad used by video coferece patros, while others are maaged ad operated by various schools, colleges ad departmets ad which may be relatively ukow to video coferece patros. Additioally, the techical support for operatig these spaces, especially those held at the school, college ad departmetal level broadly rages, makig the use of some spaces problematic. Goals from our Charter The Video Coferece Facilities Task Team is charged with idetifyig the curret status of video coferece facilities o the West Lafayette campus ad the level of techical support associated with each facility, alog with a pla for maagig these assets ad resources goig forward. Team Deliverables The Group has 5 deliverables, all of which are addressed i this report Deliverable #1 Survey the West Lafayette campus ad idetify the locatio, maagemet policies, ad techical capabilities of existig video coferecig veues (VCV s) capable of hostig higher-ed video coferecig. You will fid attached a list of facilities that we have determied (as of May 9) were capable of hostig higher-ed video coferecig. The team used several criteria for determiig the facilities for this report. They icluded existig ifrastructure, seatig capacity ad maagemet policy; i.e., ope to most departmets o campus. See Appedix A Through this process, we have determied that there are more facilities out there that we just do t kow about. With such a large campus, it is impractical to fid every sigle room that has a camera for videocoferecig. Despite this we believe this listig is a solid represetatio of what is available ad ca be used to formulate a strategy goig forward. Deliverable #2 Similar to #1, survey the West Lafayette campus ad idetify which departmets or uits ca provide support for video-coferecig. Some of these departmets or uits may be affiliated with the VCV s idetified i #1.

2 We foud the followig departmets were capable ad willig to provide support for video coferecig: Agriculture Iformatio Techology College of Pharmacy Egieerig Professioal Educatio Hall of Music Productios ITaP Customer Relatios Video ad Multimedia Productio Services (VMPS) We defied support as havig persoel available to assist i the ad/or orgaizatio of a video coferece. That support could be as simple as makig sure the computer ad camera i a small room are set correctly, which Ag Iformatio Techology could do, to ruig a larger facility ivolvig multiple cameras which falls to areas such as Agricultural Commuicatios, College of Pharmacy, Egieerig Professioal Educatio, Hall of Music Productios ad VMPS. Deliverable #3 For VCV s ad staff cotrolled by localized departmets (as opposed to departmets whose missio icludes providig campus-wide services) determie each departmet s willigess to joi i a campus-wide cofederatio supportig video coferecig. Nothig about joiig this cofederatio should be costrued as removig primary cotrol of these VCV s ad staff from their curret departmets. All departmets that we have cotacted have agreed to be part of a campus wide cofederatio supportig video coferecig. These departmets are: College of Agriculture College of Egieerig Kraert School of Maagemet College of Pharmacy College of Techology College of Veteriary Medicie Housig ad Food Services Iformatio Techology at Purdue This cofederatio could be very helpful i determiig stadards, feasibility of reducig costs for video coferecig ad future growth. Deliverable #4 Determie a optimal umber of VCV s to support curret ad ear-term growth of higher-ed video coferecig o the West Lafayette campus ad a optimal staffig or support paradigm. Cosideratio should be give to providig geographic diversity for the coveiece of patros, techical ifrastructure related to ad creative support, assistace, ad o-techical ifrastructure (accessibility, audiece seatig, parkig, rest rooms etc.). The team i its draft report determied the optimal umber of VCV s would be four. They were:

Lawso Hall room 1142 is a perfect example of a room that does t have operatioal equipmet but has the ifrastructure i place for future techology upgrades. Although we still feel 4 is the optimal umber, we have, after further discussio, with both the team ad the ITaP OCC, decided to recommed startig with 2. This would allow us to determie the usage rate for a high ed facility. I additio it would allow us to see how a strategy that ecourages faculty ad staff to use a limited umber of facilities would play out log term. I additio, we idetified the eed for 2 mobile uits that would closely replicate the stad aloe higher-ed facilities. These uits would be capable of beig used i virtually ay room o campus to deliver higher quality video coferecig.. These uits could be stored ad coordiated through ITaP Customer Relatios ad would have HD camera ad codecs as part of their makeup. Based o the experiece of the team, we do t see a sceario where every video coferecig eed could be filled by havig 4 stadaloe rooms or veues. Deliverable #5 Recommed maagemet ad fudig models for the operatio of West Lafayette VCV s ad support to accommodate curret eeds ad ear-term growth of higher-ed video coferecig. If there is a gap betwee VCV availability/capability or support ad curret or ear-term eeds, recommed developmet of ew VCV s, reovatio of existig VCV s ad staffig adjustmets as part of the maagemet ad fudig models. The Cost aalysis ad Fudig recommedatio for Video Coferecig Facilities is attached i Appedix B. I summary, the total cost will be $364, 800, which provides for operatios oi Stewart, Lawso ad two Mobile Facilities.
