It allows you to carry out your business account banking transactions with fast and secure access 24 hours a day, 7 days a week. Take care of your everyday banking from the comfort of your desk. With your business accounts at your fingertips, it s easy to create payments, check balances, view transactions, transfer funds, tax payment, trade services and more. Business Internet Banking has been developed using modern technology and easy to use. It enables whoever else are nominated, flexible access rights which are controlled by the account holder. This user guide tells you everything you need to know about HSBC s Business Internet Banking. Get ready to enjoy the best online banking experience possible. Getting Started Once your company has a business account with the Bank, getting started with Business Internet Banking is quick and easy. Apply for Business Internet Banking To apply for Business Internet Banking, simply follow the steps below. Complete and submit the Business Internet Banking Service Application Form to our nearest branch; appointing at least one Primary User as a delegate who will have access to the business accounts registered to the service. The Primary User will receive an Electronic Banking Number (EBN) or Internet Banking ID which will be mailed to your company s address. This number will be unique for each User hence differentiates one User from another. After receiving the EBN, the Primary User should collect the Personal Identification Number (PIN) at our nearest branch and complete the acknowledgement form. Primary User will then receive the Security Device which will be mailed to your company s address. 4
5 Registrasi for Business Internet Banking The User registration acknowledgement page will be displayed. Primary Users has the highest authority among Business Internet Banking Users. A Primary User can: Perform transactions on accounts Maintain account control limits Create Users and assign their entitlements Secondary Users are Users other than Primary User, of your company s Business Internet Banking portfolio. A Secondary User can: Perform transactions on accounts according to their transaction assigned limit Access functions according to the access rights assigned to them by Primary User Initial set up for transactions Prior to performing transactions, it is important to set up the User s account control and signature group limits. This feature is available for Primary Users only. Go to Access & Security > View/ Change/ Delete user. Change the User Signature Group from I (Input & Enquiry) to the Signature Group A or B. (Please refer to User Access and Signature Group section) Set Account Signature Group limits (Simple, Dual One Group, Dual Two Group) for all accounts linked to Business Interent Banking through this menu. (Please refer to Account Control section) All set-ups for new Business Internet Banking customers are now complete and you may now start transacting online. 9 10
8 Once the User is successfully created, an EBN will be displayed on the acknowledgement screen. In order for the Secondary User to be able to transact online, a Secondary User Confirmation Form (available at or at any the Bank branch) should be returned/mailed to us. The Secondary User can then collect the PIN at the nearest branch, submit the acknowledgement form and wait for the Security Device to be mailed to your company s address. Once the Secondary User has the PIN and Security Device on hand, he/she can register to Business Internet Banking service. Please refer to Register for Business Internet Banking section. Business Internet Banking Features Dual and Sole Admin Control Admin Control is only applicable for Primary Users for managing all administrative entitlements. The type of Admin Control is selected at Corporate level at the time of applying for BIB. There can be 2 types of Admin Control: The following Business Internet Banking services are: Account View account balances and transaction histories Download account history into Quicken/Money/Text file/common Spreadsheet Update term deposit maturity instruction Net Worth Statement Interest rate inquiry Currency calculator AutoPay Dual Admin Control 2 Primary Users are required to make a change in the administrative entitlements available on Business Internet Banking. For example: One Primary User creates a new Secondary User however the Secondary User is created in the system only after the second Primary User authorises the creation. If one Primary User modifies the limit amount of an existing User, the modified limit of the User will come into effect only after this change is authorised by a second Primary User
9 Sole Admin Control Only 1 Primary User is required to make a change in the administrative entitlements available to the Secondary Users. For example: One Primary User creates a new Secondary User, then this Secondary User is created in the system immediately without any need for a second Primary User to authorise the new user creation. If one Primary User modifies the limit of an existing User, the modified limit of the User will come into effect immediately without requiring any authorisation by a second Primary User. User Access, Transaction Limites and Account Control The authorisation matrix enables setting up of financial transaction limit. To ensure that financial transactions happen as per pre-defined transaction limits, the following steps have to be completed: User Access and Signature Group Users (Primary and Secondary) can have Transaction & View access or may have only Input & View access. All Users having Transaction & View access have to be assigned to Signature Group A or Signature Group B. All Users having Input & View access have to be assigned Signature Group I. Users having only Input & View access cannot authorise a transaction but can enter a transaction, which then needs to be authorised by a user from Signature Group A or Signature Group B (depending on the transaction limit explained below). The selection of signature group can be done by the Primary User at the time of creation of a new User (Please refer to Create new user online section) or by changing an existing user profile by using the option in Access & Security > View/Modify/Delete user menu. User Limit & Transaction Limit All Users having transaction access should have the limits assigned to them for the following type of transactions: Linked Account (In-house) Transfers (including creation of term deposits) Designated Payments Non-Designated Payments autopay Payments This can be done by the Primary User at the time of creation of a new User or by changing an existing User profile by using the option Access & Security > View/Modify/Delete user menu. The User limits cannot exceed the corporate limits as provided in the Business Internet Banking Application Form and submitted to the Bank. The User access, signature group and transaction limits can be viewed or modified only by Primary User(s) by option Access & Security > View/Modify/Delete user menu. Account Control The Primary User has to set signature group limits for each account through the Access & Security > Account Control setup & change. Depending on the authorisation matrix set by the Bank, based on the application form submitted by your company to the Bank at the time of applying for Business Internet Banking, the relevant signature groups will be shown in the Account Control screen. There are 3 types of authorisation matrix, these are: Simple Authorisation Matrix - User (from Group A or Group B) individually can authorise a financial transaction. For example: A, B 13 14
10 Dual One Group Authorisation Matrix - Users, either individually or jointly, from Group A only can authorise the transaction. For example: A, AA Based on the above example any transaction in this account will need to adhere to the above set rules. A few transaction procedures are given below: Transaction Amount up to (IDR) Signature Group User Comments Dual Two Group Authorisation Matrix - Users, either individually or jointly, from Group A and/or Group B can authorise the transaction. For example: A, B, AA, BB, AB. 100,000 A X or Y Any User can individually authorize transaction 200,000 AA X and Y This transaction would require to be authorized by both Users. This is because the Account Control requires 2 Users from Group A to authorize the transaction. Primary Users can change account control limits at any time. Once limits have been set up, payments and transfers can be performed online. The following example will explain more about dual authorization: Assumes Company ABC has 2 Users: X and Y. 300,000 AA X and Y This transaction would require to be authorized by both Users. This is because the Account Control requires 2 Users from Group A to authorize the transaction. User X Signature Group A 400,000 N/A N/A No Users can authorize transaction. It is because the transaction amount exceeds signature group limit. Y A Tips for matrix set-up All Transaction Amount up to (IDR) 100, ,000 Signature Required A AA Transfers and Term Deposit Amount up to (IDR) if required 100, ,000 The transaction limit set-up for Signature Group A must be lower than the limit for AB and AA. The transaction limit set-up for Signature Group B must be lower than the limit for AB and BB. There is no hierarchy between the Signature Groups A and B, and the transaction limit set-up for signature Group A can be higher than the limit for B or vice versa. Please note, that any changes in account control is admin related and would need authorisation if you have selected Dual Admin control
11 Account Authorisation Account Summary All Users can view balances and transaction histories in accounts that have been mapped to them. Users can view transactions done, in such accounts, during the past 90 days. Users can also download account statement on their computers. Authorisation is not an assigned service. Primary User(s) and Secondary User(s) have access to authorization. There are 2 types of instruction that could require authorisation: financial instruction such as autopay and transfer and user access or account control instruction. Only Primary User(s) have access to the User access Authorisation service. Instruction Pending Financial instructions are subject to authorisation when the creator has insufficient limit or the minimum signature requirement as per the authorisation matrix on the instruction is not met. Depending on the signature group requirements, instructions can also be subject to simple authorisation or dual authorisation. If a transaction entered by a user needs authorisation as per the authorisation matrix, then such transactions will be shown as pending authorisation under the Authorisation > Instruction Pending menu. Please do note that such transactions will not be processed until they are authorised through this option. Open New Term Deposit Note that pending Internet Trade Service instruction will not be displayed on this menu. They can be viewed through the ITS menu. To create a new term deposit, a user should be authorised to have access to time deposit service. The fund can be debited from the existing account(s) (already defined in the account control). User must also read the Terms and Conditions for term deposit, by clicking the link provided, before submitting the transaction. Update Maturity Instruction By clicking the Update Maturity Instruction menu, User assigned to time deposit service is able to update the maturity instruction of terms deposit by selecting one of the option under New Maturity Option section: 1. Renew the balance only for a new term and withdraw the interest 2. Do not renew. Withdraw the total balance (principal + interest) and credit to your selected account Access & Security Access and Security function under this Authorisation menu deals with instructions related to User access rights and account control. If Dual Admin Control has been activated for the corporate, then the administrative changes in User Profile/Account Control done by a Primary User need to be authorised by another (different) Primary User. This will not be applicable if the Admin Control activated is simple
12 All the Access & Security (Admin) related changes pending authorisation would be shown under the Authorisation > Access & Security menu. View / Change / Delete User In addition to Create new User, Primary User are also able to view other Users (Primary Users and Secondary Users) profile and to change/delete existing Secondary Users within a company s portfolio; whilst Secondary Users can only view their own profile. Access & Security Activity Log A Primary User will be able to view the activities/transactions done by any User (Primary & Secondary Users) including himself/herself through Business Internet Banking. A Secondary User will be able to review only activities/transactions done by themselves through Business Internet Banking. Account Control Setup and Change Account Control service is available exclusively to PUs to define the transaction signature requirements for company s transactable accounts. Signature requirements define which signature groups can authorize transactions for certain amount limit. Concisely, different Users can perform following functions on all the company s transactable accounts via account control service There are 2 kinds of account controls: administration control and authorisation matrix. Admin control is authorisation to create/change/delete Users administration setup. Authorisation matrix is authorisation to do transaction based on signature group settings. Authorisation is related to daily User s limit amount. Please refer to Dual and Sole Admin Control section as well as User Access, Transaction Limits and Account Control section provided above. Account Control setup cannot be changed if the account has a Pending Authorisation status. In other words, for the account control setup to be modified the account should not have pending authorisation account control setup record or outstanding pending transaction authorisation records
13 AutoPay This function can be used for making payments that require single debit in the corporate account and multiple credits to various accounts, for example: Salary Payments, etc. This facility can be used for making payments from and to accounts held in Indonesia only. Beneficiaries can be registered through the Autopay > Manage Beneficiaries option available in the menu. The Primary User, or User with autopay permissions are able to create, modify & delete the payment instructions within his/her daily limit, account transaction signature and accounts. Only Users with the appropriate signature requirement can initiate / authorize autopay instruction. The User is not required to meet the daily limit criteria to perform a deletion. Transfers The Primary User or Secondary User granted with transfer payment service is able to view, modify or create transfer instruction according to his/her limit and entitled accounts for which they have the required transaction signature. User can transfer funds to any accounts in local or overseas country. Two kinds of transfer methods are available in Business Internet Banking: Real Time Gross Settlement (RTGS) and Sistem Kliring Nasional (SKN). The user can also save a transaction, create a future dated transfer or create a recurring payment using this option. The value date of a payment cannot be backdated and the payment currency is restricted to IDR. User can create current date payments, forward dated one-time payments or on a recurring basis in specified frequency. Whenever the User s daily limit has been exceeded or the transaction signature requirement has not been fulfilled, the payment instruction will be dropped to the authorisation queue pending for approval. Autopay transaction created before cut off time, will be successfully processed at the same day. If otherwise, autopay transaction created after cut off time, will be processed on the next business day. Note: For all types of financial transactions (including future dated transactions) the User Daily Limit is reduced by the transaction amount immediately 21 22
14 Internet Trade Services Trade Customers can now access their import and export accounts through Business Internet Banking. Through the Internet Trade Services (ITS) function, customers can complete, save and securely transmit their Documentary Credit applications and amendments to the Bank for onward processing. Create a DC application Change or delete a DC application Create a DC amendment Change or delete a DC amendment Pending DC s Details all DC s which the User is still working on and has not yet been delivered to the Bank for processing. Template and Lists Outstanding DC s Includes information within Pending DC s but also lists DC s which have been submitted to the Bank and processed. Also includes DC amendments either pending authorisation or submitted to the Bank. Margin Deposits Outstanding Bills Lists all Margin Deposits held on accounts Lists Bills requiring action Users can create (& save)/edit/ delete frequently used templates and clauses to reduce input time. The following templates can be created (& saved)/edited/deleted: Applicant Beneficiary DC Template Payment Clauses Invoice Clauses Transport Clauses Packing List Clauses Other documents Clauses 23 24
15 Trade Facilities A list of all facilities will be displayed including the total amount of the facility and the outstanding and available amounts. From here the User can select to View any the details screen on any DC s, Bills, Loans or Shipping Guarantee s attached to the facility. Import Bill Instructions This function can be used to view a list of all Bills Awaiting Instructions. The User can submit to the Bank, Bill Acceptance Instructions and Bill Payment Instructions and view history of the Bill from this option. Trade Authorisations Export DC Transfer All instructions awaiting authorization will be displayed through this screen. The authoriser will be defined as per authorisation matrix defined above. To use this Trade Service, please access the Trade Service option on the left hand menu and select an Import or Export account and the appropriate Category from the drop down options. After selecting the account and category click on Go to request for the required information. A new window will open which contains the required information. This function can be used to view all details of the DC s for the selected accounts. The User can submit to the Bank, Transfer DC Instructions with the following options: Partial transfer with substitution of invoices Partial transfer without substitution of invoices. Full transfer of credit in its entirety 25 26
16 etaxplus Services Create users: Go to User Management > User Management > Manage Users Through the etaxplus function, customers can complete, save and securely transmit their tax payment documents to the Bank through Business Internet Banking for onward processing. Initial setup One-off initial adminstration setting: In the computer, click on etaxplus icon, below screen shot will pop up for your completion: 1. To create user, click ADD 2. Enter user information 3. Select the role of the user 4. Click Reset Password to generate password for the user 5. Click Save to complete Note: Repeat steps above to create other users Maintain Template for customer NPWP information Enter Customer ID, Customer Name and Encription Key as given in HSBC welcome letter Click Save to complete etaxplus landing page is loaded, for the initial login, please enter user ID as admin and password as admin Go to Tools > Data Reference > NPWP 27 28
