1 PLEASE READ CAREFULLY Undersigned agrees to indemnify, protect, defend, and hold harmless, the sponsors, proprietors, of the location, and all of its associates for any personal injury, loss, or damages of any nature suffered by any persons, exhibitors, and especially attendees while within the exhibitor s space or caused by the exhibitor. As an exhibitor you are not allowed to sign over any of your rented space to any other person, to use the space. Agrees to hold harmless the sponsors, proprietors of the location, and its associates for any merchandise or personal property that is lost stolen or broken. Including any damage caused by an act of nature. Agrees that should an accident occur within the exhibitor s space, caused by the exhibitor s displays, products, or unsafe conditions, the exhibitor will be held liable. Agrees with all of the rules and regulations on the following pages in this contract. Vintagefest America reserves the right to apply new rules and regulations for the safety and quality of the show. Vintagefest America is owned and operated by Ron Carter. 3 Rules and Regulations (Save these pages for your own reference) General Admission $7, Weekend Pass $15 including Early Bird Tickets $15 Children 12 & under are free 1. TENTS: We prefer that you have a tent. We are going for a unique high end shopping experience, and we feel that a tent looks nicer. It also protects your merchandise from weather. Contact us if you re interested in renting a tent. Availability may be very limited. 2. Make sure your tents are properly secured. If we happen to get bad weather this can make a huge difference in saving your valuable goods and keeping everyone and everything protected! This means sandbags and heavy duty stakes. ***TIP*** Shims are also a great item to bring. 3. In the event it does rain, Vendors must be responsible for providing their own wood chips to dry their booth area. Vintagefest America will only be responsible for large walkways and walking paths. 4. Food or beverage sales from vendors who do not have a food permit are not allowed. We will have food and drink available for purchase all weekend many will provide backdoor vendor lines. 5. No Smoking. 6. Water is located at the restrooms. 7. A hired security staff will be on the premises of VINTAGEFEST AMERICA during the night. This is from the time the show ends each night until the show begins in the morning. There is also overnight security during setup days. 8. Vintagefest will go on rain or shine. Although we will have people protecting your junk at night, we are not responsible for theft, or any damage from any kind of weather. All vendors are responsible for their own liability insurance. 9. Vendors must pick up any garbage around your lot before leaving on Sunday. Please leave the spot as you found it. And take your large garbage with you. This means anything that will not fit in our provided trash can/bags. Do not leave any boxes, parts and pieces to your tents you may no longer want, and any junk you d rather leave behind don t leave it behind. Ask a fellow vendor if they re interested. VINTAGEFEST AMERICA IS NOT RESPONSIBLE FOR YOUR LARGER GARBAGE. 10. LOADING AND UNLOADING DURING SETUP DAYS: 8AM - 8PM When unloading, please unload your truck/trailers in a timely manner and move your truck as soon as you ve unloaded. Some spaces may not be accessible with your truck/trailer. You will be able to get close to your spaces but there is no guarantee you will be able to back right into your space. This all depends on when you arrive and weather permitting. Please help your neighbors and take turns pulling in your trucks to unload and load. When you re finished we ask that

4 you park you cars and trailers in the assigned parking lot for vendors. THERE WILL BE NO PARKING FOR VENDORS INSIDE OF THE GATES WHERE THE EVENT IS HELD DURING THE EVENT. Please ask for vendor parking area. 11. LOADING AND UNLOADING FRIDAY, SATURDAY & SUNDAY - You may restock by car, truck, trailer or U-Haul up to one hour before the opening of the event on Friday, Saturday & Sunday. All unloading/restocking must be done at the end of the show each day. This means your car will not be allowed in or near the event within an hour of opening each day. It must be parked in a designated vendor area upon your arrival. Please have all of your merchandise ready to go by the time the crowd arrives each morning. We want to look organized and prepared. Do not be late! 12. You (the vendor) are responsible for helping your customers get merchandise to their car. You can help them navigate the item to their car, offer to hold customers merchandise for them while they finish shopping and allow them to pick up their merchandise when they ve finished shopping 13. No new merchandise is allowed. We have the right to refuse any merchandise we see unfit for any reason. 14. No Generators are allowed, unless you are a food vendor and have been given permission. 15. RESTOCKING YOUR BOOTH Vintagefest America requires you to have enough merchandise to keep your booth looking sharp and stocked. Sell Sell Sell and have a backup supply. Be finished setting up before the start of the show and be ready to attend to your customers. 16. SETUP TIME: THURSDAY 10:00 AM until dark for Dakota County and FRIDAY 10:00 AM until dark for Stillwater. 17. There are no tables provided. 18. ABSOLUTELY NO SUBLETTING OF YOUR BOOTH SPACE IS ALLOWED. YOU ARE THE ONLY VENDOR ALLOWED TO SELL YOUR OWN MERCHANDISE IN THE SPACE YOU VE PAID FOR AND SIGNED CONTRACTS FOR. You may split a booth for an additional $50 if that vendor is approved. 19. Please keep your space looking neat and tidy, this means NO TOTES, BOXES, PACKING MATERIAL or TRASH out in sight. Keep you booth organized and easily navigable. 20. We are pet friendly. Bring the friendly critters! 21. There is no early take down. You re required to stay all 2 days of the event until the very last minute. 22. Vendors are responsible for collection of their own sales tax. Vintagefest America is not responsible. If you are an out of state vendor you are not required to obtain a Minnesota Tax ID #. You will be provided a form in your vendor packet, to fill out and send in, at the end of the show. IF YOU RESIDE IN THE STATE OF MINNESOTA YOU ARE REQUIRED TO HAVE A TAX ID #. Including sales tax in your price is not allowed by the state of Minnesota. You must add it on at the end of your transaction. No sign stating sales tax included will be accepted by the Department of Revenue. 23. Cancellation Policy: NO REFUNDS WILL BE ISSUED. NO EXCEPTIONS 24. Vintagefest America will provide 3 exhibitor passes to each vendor. Please wear these at all times!! You can purchase up to 4 extra passes/badges for $6 each. All additional passes will be charged as a weekend pass $20 per badge. 25. Placing flyers on cars is not allowed. 26. If you re passing out event flyers for other shows you participate in they must be approved by Vintagefest America owner or management. 27. During Vendor Checkin obtain a vendor sticker for all vehicles that will be parking in vendor parking lots. The stickers must be placed visibly on your car window in order to park in vendor parking. 28. Please stay within the boundaries of the space that you ve paid for.
