3 Setting up & Responsibilities Once your application has been received and registered with us, you will receive a number of s from the Cardsave Gateway Team. You will receive an asking you to confirm your address. Once confirmed you will receive two further s, the first provides you your login details and a link to the online Merchant Management System. The second provides test Gateway details which can be used by your web developer to integrate your website into the payment gateway. Please see section 5 under Important Additional Information (integration information for your web developer) section. Once your application has been approved you will then receive your Production (live details) via and you can then pass to the web developer to set your site live, or log onto the MMS and start using the virtual terminal (Moto GBP) account to take live payments. The MMS is your tool to help you manage all aspects of your online facility; it is your responsibility to check your transaction results on a daily basis to make sure you are happy to send out the goods based on the security checks that have been completed by the customer s bank. 4 Logging-In The MMS login details provides you with a username, password and link to allow you to login into the Merchant Management System. To login go to and copy and paste the user name and password from the onto the page to gain access. First Time Login -Changing your Password When you first log-in with the username and password provided in your MMS login details, you will be prompted to change your password, please follow the instructions on screen to make this change. Once you have successfully changed your password, you will be asked to set a secret question and to provide the answer. The answer to your secret question will be needed to reset your password at a future date. The login details (user name and password) are for you and you alone and we strongly recommend that you do not share, store them on your browser or save them on your PC for security reasons. If at any time you feel that the security of these details has been breached in any way please reset your details or call us so that we can do this for you. 4 Cardsave Gateway from Worldpay MMS User guide
5 Using Your Virtual Terminal to Process Payments To familiarise yourself with processing transactions please click on the link below to access the test cards. Each card will provide a different response including authorised and declined transactions. estcarddetails.zip To access the virtual terminal, log into the MMS and from the menu select Payments then click Transaction by Card Details. 6 Please be aware that you are always liable for any transaction you take on the Virtual terminal as 3D does not cover this facility regardless of the Cv2 and address details you enter. For a successful payment you will see the message below informing you of the transaction with the option to View and then Print a receipt for your customer. If the payment is unsuccessful you will be informed that the transaction has been declined via the same format. If you would like an automated confirmation of the payment to be ed to your customer this can be set up within the MMS, go to Account Admin and select Account Settings menu. Tick the Transaction Enabled check box and select the recipients from the drop down list and select customer, Merchant, or both. You will need to make sure that an address is captured and passed to our system in order for this functionality to work. 6 Cardsave Gateway from Worldpay MMS User guide
7 Viewing Transactions in the Transaction History To view your transactions for the day select Transaction Reporting - Transaction History. If you click the transaction further details are shown below. Please note the MMS system will only store your transactions for 1 year, after this time frame all payment details are permanently deleted. The CardSave Gateway Traffic Light System To help you understand the status of a payment that the system feeds back from the bank responses including a (C)V2, (A)ddress, (P)ost Code, (3D) Secure check and a Message. This is shown in the transaction history in the form of traffic lights as shown above. A check can be either red (failed), grey (not checked), green (successful) yellow (unknown) or in the case of 3D secure the status code can be half green/yellow, meaning 3D secure initiated but not completed. A green message box denotes a successful transaction check. 7 Cardsave Gateway from Worldpay MMS User guide
8 Pay-By-Link Transactions Pay-By-Link provides the facility for you to your customers with a link to enable them to make a payment. To send a Pay-By-Link select Payments - Pay-By-Link Admin from the menu then enter the details Either enter the amount, or allow the customer to determine the amount by ticking the box Allow Customer to determine the amount. Select the currency GBP, transaction type SALE and enter a reference e.g. Payment for Invoice So that your customer receives the link enter their address in the Customer Address Box and tick Link to Customer. Details of the Pay-by-Link request will appear in the box below. If you would like an automated confirmation of the payment to be ed to your customer then this can be set up within the MMS, go to Account Admin and select Account Settings menu. Tick the Transaction Enabled check box and select the recipients from the drop down list and select customer, Merchant, or both. 8 Cardsave Gateway from Worldpay MMS User guide
9 Pre-Auth You have the ability to pre-authorise transactions, for example if you want to do this on your MOTO facility simply select pre-auth instead of sale from the drop down box on the payments page and complete all fields as normal. This transaction will then show up in your transaction reporting/history stating pre-auth. You will need to collect all your pre-auth transactions manually on the MMS system within 5/7 working days to ensure that you can collect on the full funds as the customers bank will only guarantee the funds are available for you in this time frame. However you can collect on a pre-auth any time up to 1 year yet we cannot guarantee that the customers will have these funds available after the 5/7 days, but to collect this payment you need to locate the original sale, highlight it and selecting the icon of an arrow that points to the right (collect the selected pre-auth). Once you have clicked the Icon you are then taken to the collection page and you need to submit the payment. This payment will then show up on your transactions reporting/history stating collected. 9 Cardsave Gateway from Worldpay MMS User guide
10 Scheduled Transactions, (Recurring Billing) Scheduled transactions enable you to bill at regular periods without the need to reconfirm further payments with your customer if you have applied for a recurring billing merchant number. This service requires a separate continuous authority merchant account in order to process the transactions. Step one is to take the payment in the normal way either via the Virtual Terminal or via your website. The card details are then captured within the transaction history, verified and ready for reuse. To make a recurring payment, select Payments - Scheduled Transaction Admin from the menu and within the Transaction History select the transaction you wish to recur, then click the Schedule Transaction button as below. 10 Cardsave Gateway from Worldpay MMS User guide
11 Schedule Further Payments Payment frequency and start date can now be scheduled as shown in the form below. To view current scheduled transactions, within the menu go to Payments - Scheduled Transaction Admin. 11 Cardsave Gateway from Worldpay MMS User guide
12 Refunds To refund a transaction, from the menu go to Transaction Reporting - Transaction History. Find the date of the original transaction, then click on the transaction details you want to refund so it s highlighted and then click on the refund icon in the toolbar as shown below. The details of the transaction will then appear on the screen. From here you can then change the amount to refund depending on whether the refund is in full or partial. A new transaction refund will then appear in your Transaction History, for the date you took the refund on. Refunds can take up to 10 working days to be processed back to your customers bank account. Daily Refund Limit Reached If you are presented with this warning message, it means that you have not refunded in the manor stated above. You must refund using the method above and from the original transaction sale so that the acquiring bank can see that you have the sale and refund linked. If you need to take an unlinked refund then we have set a daily limit of 200 for you, but we strongly recommend that you refund using the correct method to avoid fraudulent transactions. 12 Cardsave Gateway from Worldpay MMS User guide
13 Adding New Users and User Management Access to the Merchant Management System is controlled by a login. Different logins can be set up for each user. Various levels of access to the system and functions can be set per user. To set up new users go to Account Admin and User Admin and create new user. That individual will then receive their own log in details and link to use. When you click on Create User, an will be sent to the address given. Then the user can confirm their address. Once this has been confirmed, an will be sent containing a user name and temporary password. Merchant Super User Full access to the system, this user setting may only be set by the Cardsave Gateway Team. Merchant Administrator User has full access to Payments, Transaction Reporting and Support. User will only have access to the User Admin page within Account Admin. They cannot change any security settings. Merchant Viewer Can only view Transaction History. Basic User User will have access to Transaction Reporting and can process payments, but will not have access to the override behaviour or be able to process refunds, collections, voids or scheduled transactions. This user will not be able to access the Account Admin or change security settings. Restricted Basic User This user cannot access Account Admin, view any previous transactions, use overrides or perform refunds, collections, voids or scheduled transactions. They will be able to process payments only and only view their own payments, they will not be able to change any security settings. Developer This user will only have access to the details required to integrate your system to your webpage most web developers shall be set up using this. 13 Cardsave Gateway from Worldpay MMS User guide
14 Searching for Transactions You can search for transactions using the search facility within Transaction Reporting - Transaction History. Select the account you wish to search for from the dropdown menu then click the search button in the toolbar on the left of the screen. The icon to click is shown below. The following screen below will appear into which you can enter your search criteria to find the transaction or transactions you are looking for. Once you ve entered the search criteria select the search button to the right to commence the search. A full list of matching transactions will then be shown. If the Display Details Panel icon next to the search Icon is enabled the details of the selected transaction will be shown below the list. 15 Merchant Management System Additional Features Transaction Summary Summary information about transactions summarised on a daily/ weekly /monthly basis can be found through Transaction Reporting - Transaction History or Transaction Summery Money into my Bank Account All successful transaction will be processed into your bank account with in 3/5 working days from the date of the actual sale. Reporting Transaction history and transaction summary information can be exported out of the system for further analysis by using the CSV import icon button and then save to your own documents. The MMS system will only retain transaction data for a year then it will be automatically deleted from the system. System Administration The merchant management system also allows you to control the settings within the Merchant Management System and your website payment page. Password control to your website payment form is also maintained within the Merchant Management System. Account Security Settings You as the super user will have full access to your security settings and you will have the ability to relax these at your own risk. You can locate these under Account admin and Account Settings. Check Card Details This allows you to validate a customer s card number before you submit a payment. 15 Cardsave Gateway from Worldpay MMS User guide
16 Customising the Pay-by-Link Payment Form The Pay-By-Link payment form viewed by the customer can be branded with your own design. You can locate the skinning pack download from our web site go to work with us, developer support and select downloads and skinning pack. Important Additional Information Security Settings Your account settings pre-set to the highest level. You can relax these if you wish to but at your own risk. The settings are put in place for your protection against fraudulent transactions. Declined Transactions Declined transactions, this will be shown as follows. Card Declined This is a direct response from the customer s bank and can be for a number of reasons; customer has inadequate funds to cover the transaction, the wrong card details are entered or the customer s bank have a stop on the account. Card Declined Due to AVS This is a response from the customer s bank stating that the first line of the address or the postcode entered is not as the bank hold for that card. If you or the customer submit continuous transactions with the same card details, after each attempt the bank will reduce the amount of the customer s bank account available spend. Although failed transaction are never settled the customer s bank will not release the authorisation for the transaction until the authorisation expires. This normally takes 3 to 5 working days. Incorrect MMS Login Details If you get the error message of this is due to an incorrect password entry. Please check that caps lock is off and number lock is on when entering the details. If you get the error message of 1246 this is due to the user name entered being incorrect. Please check the user name from the original MMS Login details that was sent to you. Please again check that Caps lock is off and number lock is on when entering the details. 16 Cardsave Gateway from Worldpay MMS User guide
17 Forgot Your Password? You can reset your own password from the MMS login page by clicking on the Forgot password link at the bottom of the page. At this point you will also need your secret question answer. You will then automatically receive an with new login details. 17 Cardsave Gateway from Worldpay MMS User guide
18 Integration Information for your Web Developer Your web developer will need the following information to set up the payment page. More information can be found at The Pre-shared Key This is located within MMS; go to Account Admin - Account settings. Merchant ID This is located within the MMS, go to Account Admin - Gateway Account Admin and select the Ecom (GBP) account. The Web developer will need the text prefix, dash and numeric number only, (not the GBP part), e.g. ABCDE Ecommerce Gateway Password This is something that you need to set up on the MMS under Account Admin - Gateway Account Admin. Select the ECOMM-GBP account and submit a password (with no symbol) and confirm it. Make sure you obtain 2 green ticks to show that it s correct. 18 Cardsave Gateway from Worldpay MMS User guide
19 3D Secure The 3D secure system was designed by the banks to take liability away from a merchant for fraudulent transaction. 3D security will be added to your account normally within 10 working days of your facility going live. 3D secure protects merchants against fraudulent transactions only. If 3D secure transactions are successfully completed with a full green light shown in the Transaction History and the claim against the transaction is deemed to be fraudulent the liability rests with the customer s bank. If the claim against the transaction is anything else (didn t receive the goods) then you (The Merchant) will be liable for any charge back. If you choose to take payments over the website or via the Paybylink before 3D has been added, this will be at your own risk and you will incur premium rates charges as per your contract. 3D does not cover CNP (moto) transactions. You are responsible for any transaction taken on the Moto facility regardless of the details you have passed to the bank to check. AVS and CV2 details as all these transactions are classed as CNP (customer not present). Transactions You (the merchant) are responsible for checking all your transactions on the MMS facility before you send out any goods. The MMS facility will show you very clearly what has and has not been checked by the customer s bank. It will be at your (the merchant) discretion as to whether you decide to send goods out to your customers based on the information provided to you on the MMS transaction history page. 19 Cardsave Gateway from Worldpay MMS User guide
