Introduction to Girlguiding We are the largest voluntary youth organisation in the UK, with more than half of the female population involved in guiding at some point in their lives. We are dedicated to enabling girls and young women to develop their potential and to make a difference in the world. Through a range of exciting activities and challenges chosen by the girls, we provide opportunities for our members to gain self-confidence and self-esteem within a safe, female-only space, enabling girls and young women to develop their potential and to make a difference to the world. In 2012, Girlguiding had over 530,000 members including both girls and adults, making up over 27,500 units across our nine regions in the UK, giving millions of hours a year. We have: Guiding is independently operated through three Countries, Scotland, Wales and Northern Ireland and six English Regions, North West England, North East England, Midlands, Anglia, South West England and London and South East England, each having their own headquarters employing a core administrative staff. Introduction to Girlguiding LaSER Girlguiding London and South East England Region consists of 19 Counties covering, London, Middlesex, Surrey, Sussex, Kent and part of Essex and has a membership of nearly 78,000. Mrs Pip McKerrow, the Region Chief Commissioner, leads the Region. The Headquarters is based at its own property at Wandsworth Common where seven staff members are employed. In addition to this property the Region leases three campsites with properties and employs Wardens and Estate Workers for day-to-day management of these facilities. Chigwell Row is located on a 56 acre site, based in Essex, offering site accommodation (Oakland Lodge, Jubilee House and Bungalow) and field huts as well as a training room. Cudham Shaws Campsite is set in 92 acres of land in the Cudham Valley, Kent. Cudham boasts 3 indoor site accommodation options (Silver birches, Badgers and Copps Cottage). Paxmead Region Boating and Activity Centre, located in Middlesex, offers indoor accommodation sleeping a maximum of 30 people as well as camping facilities for up to 60 people.
3 The role of Finance Manager Girlguiding LaSER is recruiting a part time Finance Manager to be responsible for all financial aspects of their operation. Based at the Region Office in Wandsworth the role will comprise, but not be limited to; co-ordinating and constructing the annual budget, undertaking monthly management reporting, financial reporting, working with the external auditors during their annual review and assisting with the design/implementation of internal controls within the finance department. In additional, supervising all aspects of book-keeping including the monthly payroll journal. Hours are to be agreed and attendance at occasional evening/weekend meetings may be required. 4 Job Description Roles The role of Girlguiding London and South East England (LaSER) is to deliver the business of Girlguiding in London and South East England Region As a member of the LaSER staff team you will be required to work closely with the Trustee Treasurer/Chair of Finance to ensure the effective and efficient operation of the Finance function for the region. Key Accountabilities and Deliverables: To co-ordinate and construct the annual budget, undertake monthly management reporting, financial reporting, work with the external auditors during their annual review and assist with the design/implementation of internal controls within the finance department. In addition, supervision over all aspects of book-keeping including the monthly payroll journal. The exact tasks will vary and flexibility is key, but will include the following: Responsibilities: Assist the Trustee Treasurer/Chair of Finance by preparing financial documents and other information as required for trustee, finance and campsite committee meetings. Assist with the design and implement of internal controls to comply with the requirements of the charities risk register. To co-ordinate and construct the annual budget; if required undertake a forecast. Challenge budget holders, interrogate data, report and offer advice on results. Prepare timely and accurate monthly management accounts complete with analysis both qualitative and quantitative. Ensure the financial reporting statements are complete and accurate; reflecting a true and fair picture of the charities position. Including monthly accruals, prepayments and payroll journals. Preparation of consolidated year end accounts for inclusion into the Annual Report and for review by external auditors. Maintenance and reporting of the charities reserves in line with the charity SORP. Work with the Estate Manager and campsites to manage and support the integration of the accounts of the three campsites and three Friends of the campsites financial statements. Working towards quarterly consolidation. Manage small stock holding records and advice/support Estate Manager with stockholdings held at the campsites. Work with staff undertaking large scale events such as international trips to support their financial record keeping. Supervision of the Book-keeper and all aspects of book-keeping.
5 Attendance at occasional evening meetings. These will be advised in advance. Building and maintaining a good working relationship with external stakeholders including but not limited to payroll companies, accountants, auditors and bank managers. To business partner internal stakeholders, providing support and guidance. Stakeholders comprise office based staff, trustees and volunteers. Any other duties which may be reasonably required. Role Specifications Specification: Qualifications Scope: CIMA, ACCA, ACA or other similar qualification. Part qualified and qualified by experience may be considered. Experience Budgeting/forecasting Management accounting Financial reporting Business partnering experience Staff supervision Worked within a charity environment Desirable Desirable Skills and knowledge Advanced excel skills Excellent communication Ability to work on own initiative Ability to organise own time/workload and achieve deadlines Ability to work in a small office environment Willingness to be flexible with working pattern
6 Role Dimensions Reports to Reports Working Hours Location Region Manager Administrator (Finance) Part time - 10 hours per week Days to be agreed Girlguiding LaSER Region Office This job may require some out of hours working including evenings to meet LaSER s business needs and where deemed necessary. Time off in lieu will be given. Occasional travel to campsites may be required for which travel expenses will be paid.
7 Terms & Conditions Contract Type This is a fixed term contract for 12 months on a part-time basis of 10 hours per week. Location The position will be based at Girlguiding London and South East England Headquarters, 3 Jaggard Way, London SW12 8SG. The post may include travel around the UK and will include some evening and weekend work. Salary/Rate The salary for this role is 32,000-35,000 per annum (pro rata) dependent upon experience. Working Hours The core hours are 10 hours per week. This will include some evenings and weekends. You will be required to work at times other than and in addition to your normal hours of work. Specific working patterns will be negotiable. Probationary Period The post will be subject to a probationary period of three months. Medical and Criminal Records Check This post may involve substantial access to young people and it is a requirement under The Rehabilitation of Offenders Act 1974 (Exceptions) Order 1975 that you submit a criminal record disclosure check. Upon successful appointment, you will be required to complete a medical questionnaire and criminal records check. Employment is subject to satisfactory receipt of a medical and criminal records disclosure check. Holidays 25 days paid holiday per annum plus bank holidays. Holidays and bank holiday allowance will be pro-rata for part-time and fixed-term employees. Notice Period The notice period required by both parties, following a minimum 3 month probationary period, is one calendar month.
