4 Welcome We ve divided the TreasuryPro User Guide chapters into separate PDFs to make them easier to download and use. This chapter covers the Commercial Loan service module. It is intended for all users who submit, manage or report on commercial loan transactions in TreasuryPro. What s New in the Commercial Loan Service This chapter explains the following upgrades to the TreasuryPro Commercial Loan service for version 3.8: Loan invoice payments, paydown payments and advance requests can be scheduled to occur automatically at defined intervals. (For steps to create a scheduled loan template, see the topic for the desired type of transaction: 7.2 Pay a Loan Invoice, 7.3 Pay Down Principal, or 7.4 Request an Advance.) Onetime payments and advance requests can now be future-dated, if desired. Navigating This PDF To find the information you need: The PDF s Find box lets you search the guide by topic or phrase. 6 7 Commercial Loan The Commercial Loan tab displays only if your company has a commercial loan account with Umpqua Bank. This TreasuryPro service enables you to submit a loan payment, pay down principal and/or request an advance online, as well as track and report on your loan account(s). 7 7.1 View Loan Balances Figure 1. Home page On the TreasuryPro home page, balance information for your company s loan accounts is displayed separately from deposit account balances. 8 7.2 Pay a Loan Invoice Figure 2. Commercial Loan: Loan Invoice Payment page The Make Payment tab enables you to submit a onetime payment on a loan or set up a recurring (scheduled) payment Make a onetime or recurring loan payment 1. In the Commercial Loan service, click the Make Payment tab. The Commercial Loan: Loan Invoice Payment page (Figure 2) opens. 2. Loan Account Number. (required) From the drop-down menu, choose the account you want to make a payment to. The page refreshes to show the due date and amount of the next payment. 3. Note Number. (inactive) Auto-fills with the account you selected in Step Due Date. (inactive) Auto-fills with the date of the next payment due for this loan. 5. Amount Billed Unpaid. (inactive) Auto-fills with the amount of the next payment due for this loan. 6. Debit Account Financial Institution. (inactive) Auto-fills with Umpqua Bank. 7. Debit Account. 9 8. Payment Effective Date. (required) Auto-fills with today s date. To set the payment to process in the future, click the Browse Date icon to choose the desired date. Note: Payments submitted after the 7 pm cutoff time (19:00 PT) or on a non-banking day will not post until the next banking day. 9. Payment Amount. (required) Enter the amount to pay on this loan. 10. To set up a template to make this payment recurring (scheduled), continue with the next step. To make a onetime payment, skip to Step 18. SCHEDULE TEMPLATE 11. Make a Scheduled Transfer. (optional) Check this box to define a schedule template to make this payment recurring. The screen refreshes to display the Schedule Template section, and the Payment Effective Date field goes away. 12. Frequency. (required) From the drop-down menu, choose how often you want the payment to be made. The options are: daily, weekly, biweekly, semimonthly, monthly, four weekly, quarterly and yearly. 13. Generate Date. (required, if active) If you choose an option other than daily or yearly, this field displays to the right of the Frequency field so you can specify the day or date the payments should process (the effective date). For daily or yearly payments, this field is absent. 14. Begin Date. (required) Click the Browse Date icon to select the effective date of the first scheduled payment. 15. End Date. (optional) If desired, click the Browse Date icon to select the effective date of the final scheduled payment. If this field is left blank, the payment will occur indefinitely. 16. Except On. (inactive) Both checkboxes are checked by default. Loan payments can t be processed on bank holidays or weekends. 17. Substitute Day. (required) In the event a scheduled payment s effective date falls on a non-business day, the payment will be processed the next business day by default. 10 18. Click... Cancel to back out without submitting the payment. Submit to make the payment. The Add Loan Invoice Payment - Verification page opens. Figure 3. When you re finished, click Submit and the verification page reopens. Submit to submit the payment to Umpqua Bank for processing. The confirmation page opens, showing the payment s tracking number and status. Figure 4. The complete payment history is shown in the Transaction Grid. If you created a scheduled payment, the button opens the Transaction Summary tab. The template is listed with Pending status in the Template Grid. (For details, see section 7.7 Transaction Summary, on pg. 22.) 7.3 Pay Down Principal Figure 5. Commercial Loan: Paydown page The Principal Paydown tab enables you to submit a onetime payment to pay down principal on a loan or to set up a recurring (scheduled) paydown payment Make a onetime or recurring paydown payment 1. In the Commercial Loan service, click the Principal Paydown tab. The Commercial Loan: Paydown page (Figure 5) opens. 2. Loan Account Number. From the drop-down menu, choose the account you want to pay down. The page refreshes to show the outstanding principal and maturity date of the selected account. 12 3. Note Number. (inactive) Auto-fills with the account you selected in Step Outstanding Principal. (inactive) Auto-fills with the outstanding balance on this loan account. 5. Note Maturity. (inactive) Auto-fills with the date the loan is to be paid in full. 6. Debit Account Financial Institution. (inactive) Auto-fills with Umpqua Bank. 7. Debit Account. From the Account drop-down menu, choose the account you want to draw this payment from. (Only non-loan accounts are available.) 8. Payment Effective Date. Auto-fills with today s date. 15 7.4 Request an Advance Figure 8. Commercial Loan: Advance page The Request Advance tab enables you to request a onetime advance from a line of credit account or set up a recurring (scheduled) advance request, subject to available funds per your loan agreement Request a onetime or recurring advance 1. In the Commercial Loan service module, click the Request Advance tab. The Commercial Loan: Advance page (Figure 8) opens. 2. Loan Account Number. From the drop-down menu, choose the line of credit account to you want to draw an advance from. (Only lines of credit are available.) The page refreshes to show the account s reported available balance. 3. Note Number. (inactive) Auto-fills with the account you selected in Step Reported Available. (inactive) The current balance available on the account. 5. As Of. (inactive) Auto-fills with today s date. The reported balance is generally current as of the close of business, typically 5 pm (17:00 PT), on the previous banking day. 6. Credit Financial Institution. (inactive) Auto-fills with Umpqua Bank. 7. Credit Account. (required) From the drop-down menu, choose the account you want the advance to be credited to. (Only non-loan accounts are available.) 16 8. Value Date. Auto-fills with today s date. To set the request to process in the future, click the Browse Date icon to choose the desired date. Note: Requests submitted after the 7 pm cutoff time (19:00 PT) or on a non-banking day will not be processed until the next banking day. 9. Amount. Commercial Loan: Summary-Intraday page The Summary - Intraday page lists all your company s loan and line of credit account(s), and shows the outstanding principal, interest rate, interest paid this year and other information. Only current-day information is available on this page, but if you highlight an account and view detail (for steps, see pg. 19) you can see activity since the origination of the loan. Note: Current-day loan activity is memo posted, so this summary data is current as of close of business, typically 5 pm (17:00 PT), on the previous banking day. To make an invoice or paydown payment, or request an advance (line of credit only), highlight the account, right-click and select the desired action from the pop-up menu. Click the Export button to save the grid data as a.csv,.tsv or BAI2 file View details of a loan account 1. Click the Commercial Loan tab, which opens the Summary - Intraday page (Figure 11). 2. Double-click on the account you want to view. (Alternatively, click to highlight the account, right-click and choose View Transaction Detail from the pop-up menu. The top portion of the screen shows information about the account; the bottom portion shows the date, amount and description of transactions going back to the origination date. 20 4. To view details of another loan account, select the account from the Account Information drop-down menu at the top of the page. 5. Click... Pay Invoice to open the Loan Invoice Payment page with the current account pre-selected. Paydown to open the Paydown page with the current account pre-selected. Advance (shows for a line of credit only) to open the Advance page with the current account pre-selected. Report to capture the account detail information as a PDF file. Export to capture the account detail information as a.tsv or.csv file. Close to return to the Summary - Intraday page. 7.6 Invoice Summary Figure 13. Click to highlight the desired account, right-click and choose Pay Invoice from the pop-up menu. The Loan Invoice Payment page (Figure 2) opens with the account number, invoice due date and amount to be paid pre-filled for the selected account. 22 7.7 Transaction Summary Figure 14. Commercial Loan: Summary - Transactions page The Commercial Loan: Summary - Transactions page consists of two grids: the lower, Transaction Grid, and the upper, Template Grid. Transaction Grid The lower grid shows loan payments and advance requests submitted via TreasuryPro during the past 90 days. Past transactions have the status Processed. If there are active scheduled loan templates (listed in the upper grid), then the lower grid also shows the next scheduled transaction, with Pending status. As each scheduled transaction processes, its status changes to Processed and the next pending transaction is listed. Pending transactions can be modified or deleted. If no pending transactions are listed, it indicates a template has become inactive. Note: Modifying or deleting a transaction affects that transaction only; it does not affect the schedule template. You must modify or delete a template to change or stop future transactions. Template Grid Once a scheduled loan template is created, it displays in the upper grid with Pending status. Even if the template becomes inactive (reaches its End Date) and no more transactions are being processed, it remains in the Template Grid with Pending status. 23 easily restart the schedule, if desired, by modifying the template. You can modify or delete a schedule template at any time. Tip: Don t worry that a template is active because its status is Pending; if the End Date has been reached and no Pending transactions are listed in the Transaction Grid, the template is inactive. For steps to create a scheduled loan template, see the section in this chapter on the desired type of transaction: 7.2 Pay a Loan Invoice, 7.3 Pay Down Principal or 7.4 Request an Advance. Tips: Data View If Template Grid Is Empty... your company has no saved scheduled loan templates. Filter or Customize Grids. Use the quick filters at the top of the page to change the display filter settings affect both grids. To make broader changes to both grids, click the Environment Settings icon. (For more about filters and the Environment Settings tool, see the TreasuryPro User Guide Chapter 1: Using TreasuryPro.) Data Capture Report. Click the Report button to save the grid data as a PDF file. If desired, you can filter the grid first for example, you can focus on a date range or one account. The report includes both transactions and templates, but does not differentiate between the two. Export. Click the Export button to save the grid data as a.csv or.tsv file. In the Commercial Loan service module, click the Transaction Summary tab. The Commercial Loan: Summary - Transactions page (Figure 14) opens. 2. In the lower grid (Transaction Grid), click to highlight the desired transaction, rightclick and choose Modify from the pop-up menu. Only this transaction is modified; other transactions will process as defined by the schedule template. Cancel to back out without modifying the transaction. 4. If you click Submit, you return to the Transaction Summary page. The change to the transaction is reflected in the Transaction Grid Delete a pending transaction 1. In the Commercial Loan service module, click the Transaction Summary tab. The Commercial Loan: Summary - Transactions page (Figure 14) opens. 2. In the lower grid (Transaction Grid), click to highlight the desired transaction, rightclick and choose Delete from the pop-up menu. (Alternatively, click to highlight the row and click the Delete Highlighted Row icon.) A warning message displays. 3. Click... OK to delete the selected payment/advance request. 26 Cancel to back out without deleting the transaction. 4. If you click OK, you remain on the Transaction Summary page; a message in red displays at the upper right: Commercial Loan Transaction Deleted (104251) View details of a schedule template 1. In the Commercial Loan service module, click the Transaction Summary tab. The Commercial Loan: Summary - Transactions page (Figure 14) opens. 2. In the upper grid (Template Grid), click to highlight the desired template, right-click and choose View Detail from the pop-up menu. (Alternatively, highlight the row and click the View Highlighted Row icon.) The [Type] View page opens. Figure 17. 27 7.7.5 Modify a schedule template 1. In the Commercial Loan service module, click the Transaction Summary tab. The Commercial Loan: Summary - Transactions page (Figure 14) opens. 2. In the upper grid (Template Grid), click to highlight the desired template, right-click and choose Modify from the pop-up menu. (Alternatively, click to highlight the row and click the Modify Highlighted Row icon.) The [Type] Modify page opens. Figure 18. Commercial Loan: Modify page for advance request scheduled template To restart a template that has expired (become inactive), you ll need to set a new Begin Date and, optionally, an End Date. 3. Make the desired change(s) and click... Submit to modify the template. Future transactions will reflect the change(s). Cancel to back out without modifying the template. 4. 28 7.7.6 Delete a schedule template 1. In the Commercial Loan service module, click the Transaction Summary tab. The Commercial Loan: Summary - Transactions page (Figure 14) opens. 2. In the upper grid (Template Grid), click to highlight the desired template, right-click and choose Delete from the pop-up menu. (Alternatively, click to highlight the row and click the Delete Highlighted Row icon.) A warning message displays. 3. Click... OK to delete the template and discontinue recurring transactions. Cancel to back out without deleting the template. 4. If you click OK, you remain on the Transaction Summary page; the template is no longer listed in the upper grid. If the template was active, no pending payment based on it is now shown in the lower grid. 7.8 Reports Figure 19. Commercial Loan: Report Summary page The Report Summary lists shared report templates created by users at your company. On this page you can set up a custom Commercial Loan report and save it for reuse; modify report templates you created; create a new template using a model; or delete a template. Use the Account Number, Note Date, Maturity Date, etc., filters to define the range of information included in the report. To generate as a tab-separated values (.tsv) or comma-separated values (.csv) file. Click to highlight the template you want to use to generate a report and click the Export button at the bottom of the page. In the Export dialog box, choose.tsv or.csv and click OK. The File Download box dialog opens..tsv (no preview option available): To save: Click Save. The Save As dialog box opens. Navigate to the desired folder and click Save. To back out without saving the file: Click Cancel..csv: To preview: Click Open. The file opens in a program such as Microsoft Excel. To save: Click Save. The Save As dialog box opens. Navigate to the desired folder and click Save. To back out without saving the file: Click Cancel. 4. If you need to change the report, you can: Modify the template. If you created this template, you can modify it (see Section Modify a report template below). If you don t have permission to modify the report, you can use it as a model to create a new report (see Section Model a report template, on pg. 32). Create a new template. Otherwise, you can use the template as a model to create a similar report (see Section Model a report template, on pg. 32). 1. In the Commercial Loan service, click the Reports tab. The Commercial Loan: Report Summary page (Figure 19) opens. 2. Click to highlight a template that you want to modify, right-click and choose Modify from the pop-up menu. (Alternatively, highlight the template and click the Modify Highlighted Row icon.) The Commercial Loan: Modify Report page opens. 3. Make the desired changes and click... Preview to see the result of your changes. The report opens in a separate PDF window. To modify, close the PDF window and make the desired changes. Save to save the changes to the template. Cancel to return to the Commercial Loan: Report Summary page without saving the changes Model a report template 1. In the Commercial Loan service, click the Reports tab. The Commercial Loan: Report Summary page (Figure 19) opens. 2. Click to highlight a report similar to the one you want to create, right-click and choose Model from the pop-up menu.
