1 Job Title School/Department Job Holder Responsible to Job Description Communications Assistant (Student Recruitment) Communications Department Vacancy Communications Manager Date September Job Purpose To assist the members of the communication team with the promotion of the Conservatoires undergraduate/postgraduate degree programmes, Short Courses, summer schools, Junior Conservatoires and Transitions 20/40. You will assist with the day to day marketing activities as well as contributing to key marketing campaigns for the delivery of our learning and teaching. This includes website updates, social media activities, online listings, newsletters and other communications. Duties and Responsibilities You will be required to undertake the duties and responsibilities detailed below: Review, update and maintain the Conservatoire website including copyediting, proofreading, image sourcing and other duties which assist with user engagement. Assist with all print collateral and distribution across the Communications Team, including creating briefs, proofreading, image sourcing and liaising with external design agencies as required. Create marketing materials and manage small design jobs in-house using Adobe Indesign and Photoshop. Assist in building and maintaining the reputation of the Conservatoire through visual identity, design and language 2

3 Assist in the placement and production of student-recruitment based advertising for all programmes and the Conservatoire as a whole. Research, review and create content on external websites relating to the Conservatoire, including course listings and blog content. Assist in the development of regular e-communications plan to keep in touch with potential applicants, students, their families and their advisors/influencers. Assist the Communications Team with creating engaging social media and contribute with the development of social media and digital campaigns. Review and benchmark competitor information for the Conservatoire across all courses, including short courses and the Junior Conservatoire. Maintain and review the Conservatoire s database of networks and contacts using Raiser s Edge and Evocos. Assist the Conservatoire photographer with image sourcing and managing the photography database. Assist with marketing and recruitment events as appropriate, including Open Days. Participate in the Conservatoires Goals Setting and Career Review process Undertake any other reasonable duties on behalf of the Communications Team General Responsibilities (all staff) (a) Health and Safety To take care of your own health and safety at work and that of other persons who may be affected by your work activities. To apply at all times best practice in health and safety. You must safeguard the health and safety of all persons affected by the work activities you supervise at any premises you have control over. To work in the safe manner in which you have been trained and instructed and to advise your line manager of any health and safety issues you become aware of. To familiarise yourself with the detail of the Conservatoire s Policies and procedures and to ensure adherence. 3

4 (b) Use of equipment and other appliances To take fullest care in handling, operation and safeguarding of any equipment, vehicles or appliance, used or issued by the Conservatoire or provided or issued by a third party for individual or collective use in the performance of your duties. (c) Dignity at Work and Study To uphold the Conservatoire s Dignity at Work and Study policy and practices and to treat all colleagues, students and contacts with respect and in accordance with the values of the Conservatoire. To promote and deliver excellence in services that value all staff and students. (d) Personal Development To continuously enhance best practice in your area, undertaking training and Continuous Professional Development as appropriate. (e) Information Technology To implement security measures to protect against unauthorised access to, alteration or disclosure of information held on computer and to ensure adherence to the principles of the Data Protection Act and appropriate IT policies and procedures. To undertake any training in the operation of new technologies and associated systems as required. f) Values To promote and adhere to the Conservatoire Values. 3. Scope of the Job Financial: Under the supervision of the Communications Manager and Communications Officers, you may be required to update the student recruitment communication budget. Staff: There are no staff members reporting to this post. Others: You will be required to communicate effectively with colleagues within the conservatoire as well as with current and future students, their families and key influencers. 4. Context 4

5 Operating Environment: Internally, the Conservatoire is an intense, student-centred environment in which students are regarded as professionals in training. Performance is the Conservatoire environment. Framework and Boundaries: As a member of the Communications staff team, you will be required to work within the Conservatoire Strategic Plan, the Conservatoire Regulations, Health and Safety Regulations, Policies and procedures and Quality Assurance processes required by the Conservatoire as well as the appropriate departmental policies. You will be expected to actively engage in health and safety and to be responsible for your own health and safety in the course of your work. Organisation: A copy of the organisation structure overview is attached. 5. Relationships Line Manager: Communications Manager with day to day supervision from the Communications Officers Staff Management: None Other Contacts: a) Within the Conservatoire: Close collaboration with your line manager, other colleagues and staff within the Department/Schools and more broadly across the Conservatoire. b) Outside the Conservatoire: Designers, printers, marketing material suppliers Applicants, their families, HIEs 6. Knowledge and Experience Qualifications: Essential: Marketing (or relevant) degree or appropriate level of education Experience: Essential: 5

6 Knowledge of CMS, preferably Wordpress Knowledge of Raiser s Edge Excellent oral, written and electronic communication skills Desirable: Student recruitment/education marketing experience Adobe Indesign and Photoshop experience Knowledge and Skills: Essential: Meticulous attention to detail Can follow tasks to completion in a busy, complex working environment Ability to work in a front-facing role while being thoroughly organised behind the scenes Flexibility and adaptability Ability to work as part of a team as well as self-start and manage own projects Desirable: Good interpersonal skills Able to deal with people at variety of levels An understanding of setting up and maintaining filing systems A pleasant telephone and manner Ability to produce accurate work to tight deadlines An interest in the arts and arts education particularly 7.
