8 School and Preschool Website Hosting

9 Will my school still have a website? YES all DECD schools and preschools will still have the ability to have their own school or preschool website YES it can still be No, you do not need to host your school website on this new infrastructure

10 How is this being delivered? 4 x new servers New dedicated hosting environment Built on Windows Server technology Websites available from anywhere Still restricted to publishing from within educonnect (security reasons) Larger space allocations

11 What is different? There are four web servers A school website is assigned to one of the four Schools will need to know which of the four they are on Schools are allocated and enforced space allocations The username will no longer be web master.<schoolname>

12 Space Allocations web space will be allocated based on enrolments students: students: > 600 students: 200MB 500MB 1GB

13 Publishing Websites New Server name (there are now four) ftp«x».schools.sa.edu.au ftp1.schools.sa.edu.au or ftp2.schools.sa.edu.au etc New username is «schooldomain».ftp«x» woodvillehs.ftp1 Notice the server name is in the username

14 What do I need to do? To move your website Nothing it will be managed centrally Schools and preschools will be notified prior to their site moving and again after Once it is moved Change the server connection details for the people who publish your school or preschool website

15 Future Capabilities The new servers support dynamic content (Active Server Pages) Not being enabled initially, want to ensure the service works well then build upon it

21 What is a Global Address List? An automatically created and maintained Address Book Includes both individuals and groups (Distribution Lists)

22 What did we want? A Global Address List that was unique to each school to only show staff and students within that school.

23 What can we do? A Global Address List that is Schools and Preschools wide (DECD wide) All staff will be visible to all staff and students All students will be hidden from staff and students When and if Microsoft allows the necessary functionality in the future we will then restrict access down to a school level as originally intended.

28 Who will get an address? Staff employed by a school or preschool will be automatically provisioned with a username and address Students from year 3 and above will be automatically provisioned a username and account. Schools can apply on an individual basis if they wish to have addresses for students in year levels R 2 and will be subject to user licence availability. Preschool children will not be issued with an address or a username. The intention is to use Distribution Lists for these generic functions

29 Distribution Lists Currently schools use a number of generic addresses such as principa@<schoolname>.sa.edu.au and info@<schoolname>.sa.edu.au. These addresses will be replaced with distribution lists. 30 Managing a DL Any staff member with a leadership role for a school or preschool will be automatically added to the distribution list as the owner and a member. A leadership role will include anyone who is identified as part of the site leadership team (principal, deputy principal, senior leader, preschool director). These staff can, in turn, can add other members to the distribution list if required. Note: An interface will also be provided to allow an authorised user to add the leadership role to a staff member or remove it as required.

32 What is a Password Policy? A password policy outlines the administrative controls around a password Includes such things as how frequently it needs to be changed and how complex it must be Complexity can be length, kinds of characters and if it has been used before

33 What is changing and why? Yes, we will now be enforcing password policies Yes, they will be different depending on who you are and what you can access Why? Because we will now all have one account for access to most DECD resources

34 IDM the good and the bad One Password to access it all Staff will have access via the LearnLink portal to: their staff and student personal information and their own personal information via the Employee Information Kiosk (EIK). other DECD secure data These policies aren t just to protect you, but others as well.

35 How many password policies 1 x Password Policy for Staff Staff accounts will have access to confidential information about themselves and others 4 x Password policies for students based on age We ve tried to capture that at different ages different levels of complexity are appropriate

36 How are they being set? Passwords policies have been endorsed by the LearnLink Project Board This was be based on feedback and consultation with schools and preschools Polices have been reviewed by the User Reference Group
