3 Introduction Congratulations! You have just subscribed to the new Microsoft Exchange Online Services from Bell, which incorporate messaging and collaboration services designed to help your company communicate more effectively. This welcome kit is a guide to the next steps and procedures that are required to get your new services up and running. In this document, we describe what communications you can expect to receive, when you should receive them, their purposes, and how to use the information they contain to install and configure your services. We have also included links to useful documentation from Microsoft that will assist you in your role as Administrator. Installing Microsoft Online Services from Bell The following sections will guide you through the installation process. Please read them carefully. 1. Receive first welcome letter Shortly after purchasing Microsoft Online Services from Bell, you will receive the first of two welcome letters via or by regular mail if is not an option. This letter provides you with the credentials required to log in to your Bell Business Portal so that you can sign the Terms and Conditions. Once you have completed this step, you will receive a second welcome letter within 72 hours, unless you have chosen a later due date at time of purchase. 2. Sign Terms and Conditions Using the information from the first welcome letter, log in to the Bell Business Portal at Remember to at the end of your Bell Business Portal user name when logging in, e.g., username@ecare. 3
4 When you have logged in: 1. From the menu on the left, select Services 2. Select Microsoft Online Services From Bell 3. Select Accept When you accept the Terms and Conditions, the following acceptance message will be displayed, with a link to a printable version: Terms and Conditions have been accepted. Once your order completes processing usually within 72 hours another will be sent. This will contain your user name, password, and web link to access Microsoft Online Services from Bell. For your records, a printable copy of your Terms and Conditions can be accessed here. Figure 1: Terms and Conditions acceptance message After you accept the Terms and conditions, provisioning of the product continues and you are enabled to create additional users and to view the activity log. 3. Receive second welcome letter The second welcome letter will contain the administrative credentials you need to set up and support Microsoft Online Services from Bell. Fields in second welcome letter The table below describes the fields in the second welcome letter: Field Service description: Description Description of the service you have purchased, e.g., Lite or Standard. This information will help you choose the correct IVR options when calling Bell for support, billing or sales requests. Order #: Microsoft Customer ID: You will need this identification number to access Help Desk and billing support. You will need this ID if Microsoft support is required to troubleshoot. 4
5 Contact language: Customer / Company Name: Company administrator: Your preferred language for communications and invoicing. Your company name. Name of the person who will contact Bell and represent your company. Small Business Market: (Lite Service): This name is used for security purposes when you call for technical support. Medium/Large Market (Standard Service): Name provided must match in order to receive technical support. Bell Business ID: You need this ID to access the Bell Business Portal to sign your contract and start the initial setup of your service. You will also use this ID to access the Domain Name Server ( DNS) Administration Tool to modify your DNS entries, if required in future. Bell Admin Password: Microsoft Administrator ID: Microsoft Administrator Password: Password for Bell Business ID. Microsoft Online Services Customer Portal ID for Administrator. This ID is used to access the administration centre where you can manage all aspects of your Microsoft Online Services from Bell. Password for Microsoft Admin ID. You are now ready to configure your service and start using it. 5
6 Configuring Microsoft Online Services from Bell Configuring Microsoft Online Services from Bell includes the following steps: 1. Creating users and assigning licenses Individual Users: Multiple Users: 2. Configuring desktop computers: First, decide whether will be created, sent and read on a mail client (such as Outlook 2010) or in a browser (such as Internet Explorer 8). If you plan on using desktop applications such as Outlook 2010, MS Word, or MS Excel, select the appropriate link below and then follow the steps to set up all office desktop applications. Set up all MS Office applications: Set up Outlook only: 3. Configuring SharePoint Online As the global administrator of your MS Online services, you are also automatically an administrator on your SharePoint Online team site. However, new user accounts that you create in the portal are not automatically added to your SharePoint site s user list. You will need to manually add users to the SharePoint site so that you can control access to the team site. You can also set user account permissions that are specific to the SharePoint Online site. For more information about planning your SharePoint Online sites, see SharePoint Online planning guide for Office 365 for enterprises. Before you begin adding users to your SharePoint Online site, review Roadmap: Grant permissions for a site. 4. Configuring Lync Online For setup information, click the link below: Set up Microsoft Lync Online. 6
7 5. Adding custom domain names Custom Domain Names Once you have completed steps 1 through 4 above, your Microsoft Online Services become available for personalization. The standard service offered by Bell includes the generic domain bell365.ca. At the time of purchase, you may have provided a different domain to use with this service, or elected to purchase a domain from Bell. In most cases, the domain selected at the time of ordering should be available in the drop-down list in the User section of the Microsoft Online Services Portal so that you can personalize your services against this domain. If your selected domain is not available in the drop-down list, please try again later. It may take up to 72 hours before the domain is fully provisioned for use. To confirm that your service is ready to be configured, follow these steps: 1. Under the Admin tab, click Users New 2. Click the User name drop-down list. If the domain you chose when you purchased the service is located within the list, your service is ready to be configured and used by your company: a. Standard Domain: <companyname>.bell365.ca b. Custom Domain: <companyname>.<net/com/ca/etc> Adding a domain to MSOS If a domain name was not part of the initial order, you have two options: 1. Contact Bell to buy or transfer the domain on your behalf. Note that there is a one-time fee of $30 for this service. Thereafter, renewing the domain is the responsibility of your organization. 2. Add the domain by following the Microsoft online instructions noted below. Note that if you select this option, Bell support is limited to providing the online help instructions noted below. 8 Adding a domain: Once your services are configured and your end users are given credentials your overall setup is complete. End-user administration Because you have administrator privileges for your company s Microsoft Online Services from Bell, you can manage all end-user features via the Microsoft Office 365 Portal. Bell Business Portal is where you accept the terms and conditions associated with Microsoft Online Services from Bell. Microsoft Office 365 Portal provides a gateway for you to make end user changes to meet your company s requirements as they evolve. Password changes If an end user cannot access the service, he or she is to contact you, their company Administrator, to unlock or reset the password to log back in. You can do this via the office 365 Portal at Once you have reset/changed the password, it will take about 2 minutes for the password reset to become fully active. The user can then log back in successfully. Adding and removing licenses To purchase additional licenses or to cancel existing licenses, please call our customer service number, 310-BELL. Bell Support Please note that end users in your organization must request assistance from you, their designated Administrator. As the designated Administrator, you are the person calling for support. For support, call the Bell help desk at 310-BELL. 8
9 Other considerations SLA The Service Level Agreement for Microsoft Online Services from Bell can be obtained from Service descriptions Service descriptions are available from Bell Professional Services (PS) options Pre-migration assessment: PS engagement to understand your existing systems and technology. Deliverables include a detailed report identifying issues, potential points of failure and risks within existing environment and a plan and recommendations on how to migrate to MS Online Services including network requirements Migration: PS engagement to help you with migration planning, integration to MS Online Services, and provisioning. Deliverables include requirements, design, transfer preparations, testing and validation, migration schedule, and pilot migration.
