3 Summary The OneNet Control Panel provides you with the ability to manage all your hosted OneNet services from a single user friendly interface. Such capabilities include being able to create and manage users, mailboxes, distribution lists and much more. OneNet Limited Distribution Page 3 of 19

4 Logging into Control Panel 1. You can login to OneNet s Control Panel by merely browsing to (For compatibility reasons, we recommend using Internet Explorer). 2. Login to Control Panel using your Username and Password (Provided by OneNet). OneNet Limited Distribution Page 4 of 19

7 Creating a new user (applies to non Hosted Exchange Clients) Users are only created if no mailbox is required for them (E.g. if the user was only interested in Hosted SharePoint or Hosted CRM). 1. Click Users on the left hand side of the page. Then click Create New User 2. Complete user login information and address (this does NOT create a mailbox for the user). After entering the relevant details, click the Create User button. Note: Password should be at least 6 characters and must contain at least three of the following four: - Upper Case (A, B,,Z) - Lower Case (a, b,,z) - Numeral (0, 1,,9) - Special Character %) OneNet Limited Distribution Page 7 of 19

8 Removing a user 1) Click Users on the left hand side of the page. Once you have found the user you want to remove, click on the to remove the user. Note: Browsing to Mailboxes and then clicking the the user, but rather the mailbox itself. for a selected user will NOT remove OneNet Limited Distribution Page 8 of 19

9 Creating a new mailbox (applies to Hosted Exchange Clients) Mailboxes are used to receive and send electronic messages. Each mailbox is a separate Exchange account which may be a person, room or inventory unit. 1. Click Mailboxes on the left hand side of the page. 10 2. Complete user login information and address. You can also select if you wish to create a room or resource mailbox at this screen. After entering the relevant details, click the Create Mailbox button. 11 3. Once the mailbox has been created, click on the mailbox and complete the contact information in full. 4. By clicking on the Addresses tab, the company administrator can add additional aliases and set the primary address (this is the reply to address) which also acts as the login username. This is also commonly referred to as the User Principal Name (UPN). OneNet Limited Distribution Page 11 of 19

12 5. The Mail Flow Settings tab allows for more advanced user options, such as mail forwarding, whitelisting, blacklisting and maximum size limits. Forwarding address: Allows s to be automatically forwarded to another user s mailbox (internal) or contact (external). Send on behalf of: Grants another user permission to send mail on behalf of another user. Accept/Reject messages from: Provides control over which specific addresses the mailbox can receive messages from. OneNet Limited Distribution Page 12 of 19

13 6. The Permissions tab allows for the management of permissions assigned to a user s mailbox. When you grant Full Access permission to a user, that user can open this mailbox and access all of its content. When you grant Send As permission to a user, that user can send messages as this mailbox. OneNet Limited Distribution Page 13 of 19

14 Creating a new Contact A contact is visible to all users in the exchange organisation. It contains information about a person or business, such as telephone numbers or addresses. 1. Click Contacts on the left hand side of the page. Then click Create New Contact. 2. Enter the Display Name and address of the new shared Contact. The contact will then be visible to all users in the Global Address List (GAL). 3. Once the contact has been created, you can then edit the General and Mail Flow Settings properties of the contact. 15 Creating a new Distribution List Distribution lists provide a convenient means of delivering to multiple users within the organisation. Each distribution list can have any number of addresses. These addresses will be used for receiving incoming messages and distributing them to all distribution list members. 1. Click Distribution Lists from the left hand side of the page. Then click Create New Distribution List. 2. Enter the Display Name, Address and the person who will manage the Distribution List (i.e. be able to add and remove members). 3. Once the Distribution List has been created, you can then add existing users or contacts to the list. Similar to that of Mailboxes, you can also assign additional addresses (aliases) and configure the mail flow settings. OneNet Limited Distribution Page 15 of 19

17 Creating a new Public Folder Public folders provide a means for effectively collecting, organizing and sharing company information with other people in the organization. 1. Click Public Folders from the left hand side of the page. Then click Create New Public Folder. 2. Select the location (Parent folder) and provide a name for the public folder. You can also select Mail Enabled Public Folder which will provide users with the ability to send messages to the folder. OneNet Limited Distribution Page 17 of 19

18 Storage Usage The Storage Usable tab allows administrators to check the amount of storage space used or available in the exchange mailbox, for all users in the organization. For optimal performance, OneNet generally recommends keeping the total mailbox size for any user to less than 5GB (5120MB). 1. Navigate to Storage Usage from the left hand side of the page. 2. Click on the 0 to view the storage usage breakdown of all the mailboxes in the organization. Total disk space usage is calculated on timely basis (usually once a day). You can however recalculate this manually by clicking on the Recalculate Disk Space button (shown in step 1). OneNet Limited Distribution Page 18 of 19

19 Download Outlook Client A single user license of Microsoft Outlook 2010, Microsoft Outlook 2013 and Microsoft Outlook 2011 (For Mac OSX) may be included with every Hosted Exchange mailbox (Check with your Account Manager). To download a copy, click Download Outlook Client from the Microsoft Exchange Menu. The license keys are provided under the download link. Please note: The license for these products are only valid for the period in which you are subscribed to Hosted Exchange. Using this software outside this period is illegal. In line with OneNet s aim to continually deliver the latest technology infrastructure and services we are currently in the planning and testing stages of upgrading to Microsoft s latest platform Microsoft Exchange The upgrade process should be seamless for most users. However, Microsoft Exchange 2013 no longer supports Microsoft Outlook If your clients are currently running Outlook 2003 we suggest you speak with them about options to upgrade to a newer version of Outlook. At a minimum the requirements for Exchange 2013 are: - Outlook Outlook 2010 SP1 with November 2012 Cumulative Update (available from - Outlook 2007 SP3 with November 2012 Cumulative Update (available from OneNet Limited Distribution Page 19 of 19
