1 Migrate Archived Outlook Items Outlook includes archiving functionality that is used to free up space on the mail server by moving older items from the mail server to PST files stored on your computer s local drive or a network location. Older items can be archived automatically depending on your Outlook profile settings, so it s possible there are PST files on your computer. The Gmail migration process does not automatically migrate PST files, so you will need to run a process if you have any PST files you want to migrate to your Gmail account. Part of this process should include considering whether or not to migrate the archived mail. Generally speaking, mail that has already been moved to archive status is older and not typically being accessed and may no longer be of value. Also, although Gmail is now your primary application, you can still open Outlook and use it to access archived items as long as the items are stored on your computer s drive or on your network drive. Alternately, Gmail offers plenty of storage, but you do need to perform the steps below in order to migrate your archived mail. If you want to migrate archived items to Gmail and you know the location of the appropriate PST file(s), proceed to the step 1 below. If you don t know whether you have any items archived in PST files, use the following link for more details on finding and viewing archived items: PST Files Detail If you ve found pst files that you want to migrate, use the following steps: 1. Download the Google Apps Migration for Microsoft Outlook application from this link Google Migration Tool and select the Download Migration Tool button. Your browser may display security warnings but it s okay to continue the download. When the tool starts to run you ll see the following screen:

2 2. Enter your address 3. Select Yes, I have a password: and enter your password (The Remember me setting doesn t do anything) 4. Choose Continue to get to the next screen 5. Leave the Use my most recent migration settings box blank 6. Select the box showing your user ID to show the options available 7. Choose From PST File(s) 8. A file selection window will appear that shows PST files navigate to the file you want to migrate to your Gmail account 9. Choose it and select Open 10. If this is the first time this PST file is being migrated, choose the Migrate all data option. (The Migrate only new data option can be used to restart a failed migration it s designed to ignore items already migrated) 11. Next

3 12. Choose whether or not to migrate archived Calendar and Contact entries and specific portions of . Selecting messages will copy all mail messages stored within the selected PST file other than items that were stored in the Junk mail and Deleted items folders. You have the option to choose to migrate Junk and Deleted items. The last two options allow you to exclude or include mail based on a date. 13. Select the Migrate button The Migration Status window will show the progress of the items being migrated and the name and path of the Migration log file. Normally the log file does not need to be viewed but if the migration fails you can check the log file to see if any errors are reported. You can also review the file to see if any individual items didn t migrate such as a message that may have been too large. If you have more than one archive file to migrate, after the first migration is complete use the Windows Start button to navigate to Google Apps Migration for Microsoft Outlook and run the program again for a different file.

4 Locating PST Files The best way to determine if there are any PST files on a local drive (usually the C: drive) or your allocated space on the U: drive is to use Windows Explorer to search. In the left pane, highlight the drive you want to search and then enter *.pst in the upper right search field. If the search shows there are PST file(s) and you want to decide whether to migrate the contents, you can view the items archived in a PST file by accessing the file through the folders pane of Outlook. The applicable PST file may already show in the pane, if not, it can be added. For example, in the following image Archive Folders exists below the standard folders. Click on the + to expand it in order to look at the individual folders and items. Once the folder is expanded you can view individual messages to decide if you want to migrate the items. If the Windows Explorer search returned results showing PST files exist but the folder is not listed in Outlook, it can be added. From within Outlook select File > Open >

5 Outlook Data File navigate to the PST file that you want to open, select it and choose OK. The file will now appear as a folder in Outlook. If you have PST files to migrate, return to the original document and follow the steps.
