1 ETRANSCRIBE Manual Ver. 2.0 for MAs ETRANSCRIBE SYMBOLIC TRACKING SYSTEM E-transcribe Symbolic Tracking System helps users, i.e., MAs and Physicians to keep a track of their Login Activity. Below listed is the list of the Symbols that E-transcribe Uses, 1) Transcript Printed 2) New Transcript 3) Transcript Downloaded Q: What are the benefits of Symbolic Tracking System and how it works? A: The symbolic tracking system is specifically designed to, 1) Avoid Duplicate Printing 2) Separate the New Documents that needs an Attention of the USER 3) Avoid Duplicate Copies of Transcribe Reports (if user wishes to keep a copy of transcribe files on a Local Drive) How it works: When user execute any commands like, printing/ batch printing, download/batch download, after printing/downloading file, the file will have the Symbol assigned to the respective command. The new transcript symbol helps user to track down the new transcribes files that has come over and needs user attention. Note: User has to refresh the page to get the latest updates on the document. Also, symbolic tracking system is LOGIN BASED system.

3 Effective way of working with E-transcribe: After having almost 30+ web seminars, we have collected the information about typical work flow from the MAs. Based on that feedback, we have taken some screenshots to explain, how E-transcribe can help you the most and keep you updated!!! In Brief process flow: Step 1: Step 2: Step 3: Step 4: Physician Submits the Dictations to Mediscribes. MAs logs on E-transcribe Website to search for the transcribe reports for the respective dictations based on TAT MAs print out the document For Review or Physician E-sings the document and MAs prints out the Documents. MAs to do day to day, check and balance for the # of dictations sent by the Physician and Transcribe files submitted by Mediscribes Suggested Work Flow by Mediscribes: Step 1: Step2: Step 3: Logon to E-transcribe web and make a search for the date of dictation, you can either make a search For the respective date or you can search by the date range If the transcribe files has submitted by Mediscribes, you can simply Check Mark and click on batch print to print out all the new transcripts, or if the process is to print out the Signed Documents, then make a search for the Signed Documents and prints it out To do day to day check and balance, click on File Status and list out all the status of respective date of dictation...

7 Explanation of File Status: For Review: - The Transcribe File has submitted by the Mediscribes and it is ready for your review Updated: - The Transcribe file has been updated by the MAs/Provider/Mediscribes Dictation Sent for transcription: - The Dictation has sent to Mediscribes for Transcription and Transcribe file has not yet submitted for the respective dictation Signed: - The Transcribe Document has been Electronically Signed by the Physician Doc. Singed & Updated: - User has made the changes in transcribe document and signed electronically FAQs: 1) A: Can I list out only transcribe reports by dates without setting up the search criteria every time? Yes, you can. Simply click on Transcript and it will list out all the Transcribe Reports submitted by Mediscribes. You simply check mark and print it out from there. However, MAs wouldn t be able to edit the document from there. Edit Document from Transcript Section will only work for Physician Login. Please refer to below screenshot, Click on Transcript

8 2) A: I process transcribe documents of multiple physicians, Can I list out transcribe reports of respective Physician? Can I search for the patient of respective physician? Yes, you can. Set search criteria as a Doctor and Make a search for the respective physician, i.e., date of dictation, patient; MRN, etc please refer to below screenshot Select a Physician Name and a Query to make a search by physician wise

9 3) A: How can I list out all the files and review it one after another, without going to the search screen? Once you make a search by Date of Dictation, open the first file in Edit Mode and after reviewing the first file, just click on Move to Next Transcript and review all the transcribe documents, one after another from the same window. Click on Move to Next Transcript to review next document
