1 Position description and specification Position: Business Analyst Future Focus project Group: Infrastructure Services Classification: Band 8 Organisational context Barwon Water s mission is to provide water and sewerage services through efficiency, innovation and leadership. Position environment Reporting lines This position reports to Project Manger, Future Focus Project Key internal relationships Project Governance Team Development Services Team (specifically leadership team) ICT Asset Planning Infrastructure Operations
2 Infrastructure Systems Infrastructure Delivery Finance Customer Support Risk & Resilience Corporate Strategy & Regulation Corporate Support Services Ryrie HQ Change Project Key external relationships Project consultant advisor Specialised legal consultants Financial accountability Nil Key accountabilities Scope, design and deliver Future Focus implementation related work Support project delivery through scoping, analysis and design and delivery of project work packages, including: package objectives, resourcing needs, budget analysis, and project communications strategy requirements Undertake needs analysis, design and mapping of business processes Assist in implementing new workflow processes and tools Collect and analyse data where required Undertake review and recommend options to optimise workflow design. Undertake monitoring and evaluation of Development Services performance pre and post work package implementation to gauge benefits Troubleshoot design and implementation issues and solve problems as required Provide support during implementation including testing, validation and training Integration plan and procedures prepared Periodic reporting completed Processes and workflow tools implemented timeframes
3 Support the delivery of project activities to cost, time and quality objectives Provide regular updates to, and seek guidance from, the Project Manager Provide project management assistance to the Project Manager Liaise with key staff and consultants where required to complete tasks Prepare project related documentation, reports, analysis where required to support the implementation plan Contribute to forecasting, monitoring and reporting on project progress including Development Services performance metrics Manage timeframes to ensure task delivery Manage project administrative work where required Reports and updates provided. Meetings scheduled and outcomes recorded Documents produced. Collaborate with ICT department to source and deliver ICT solutions to support project implementation Liaise with key ICT employees where required to achieve outcomes Review, evaluate and provide advice on ICT options Collaborate and assist ICT and Development Services on Trailing and testing ICT solutions and to assess their capability for use Build workflow tools using ECM, MS Excel, MS Word or other software where required. Assist in defining business and functional requirements for ICT tool selection Reports and updates provided Meetings occurred Documents produced Training completed ICT tools implemented Provide administrative support on project governance activities Provide reporting support to the Project Governance Team (monthly and additional as required) Complete project progress reports including identification of project risks and mitigation plans Collect, analyse and report on key performance metrics for project success measurement Contribute to content for Board reports Meeting papers and records produced Monthly project progress reports completed Contribution to Board reports Governance team feedback
4 Coordinate with key internal and external stakeholders to ensure project deliverables are completed Liaise with internal and external stakeholders where required to complete project implementation tasks Undertake site visits of other organisations where required to gain an understanding of leading practices and technological solutions being deployed across industry, particularly within the water sector Work with the Development Services department to complete engagement activities consistent with the project engagement strategy/plan Schedule meetings and participate in workshops where required to engage with stakeholders and ensure optimal design and implementation of new workflow, ICT systems. Provide assistance to the change management program Contribute to optimising health, safety, environmental and quality performance at Barwon Water Perform tasks in accordance with procedures, plans and other documented instructions Report hazards and incidents Monitor workplace to identify hazards and take appropriate action to rectify Promote Barwon Water s high standards in relation to health, safety, environment and quality Participate in workplace audits and inspections and report any opportunity for improvement Engagement activities undertaken External site visits undertaken and learnings documented/considered Key meetings and workshops successfully completed Key stakeholder feedback Incident reporting Near miss reporting Hazard identifications Number of injuries Health, safety, environment, quality and risk audit results It is not the intention of this position description to limit the scope or accountabilities of the position but to highlight the most important aspects of your position. 6 Success profile Qualifications and experience A relevant Business, Commerce, Engineering or Science related qualification Experience and demonstrated competence in business analysis, business process re-engineering, and the implementation of ICT solutions. Experience within Barwon Water s asset planning, asset creation, development services and/or operations areas are highly desired. Knowledge and skills High level written and oral communication skills Strong interpersonal skills. Project management skills and experience. Well developed writing skills and a strong ability to research and draft documents Well developed skills in system/ procedure design and documentation including to an auditable standard.
