2 HCSIS Prject Update HCSIS Release Updates EIM Release G Live EIM Release will be implemented n January 21, Several enhancements will be made t the system fr this release which will impact bth OLTL and BAS users. Highlights f the release include: Mdified clumns n the Detail Summary Panel n the My Dashbard screen Ability fr prgram ffice users t mdify cmplaint details after cmplaint creatin Ability fr prgram ffice users t enter cmplaints fr entities ther than prviders r state agencies (such as cnsumer emplyers) Ability fr prgram ffice users t search fr cmplaints by individuals HCSIS Release G Live HCSIS Release will be implemented n January 21, Details can be fund in the HCSIS 6.14 Release Cmmunicatin that will be available LMS ne week prir t release g-live. HCSIS Reminders Reminder fr ODP Users Subject: Claims Prcessing Issue fr Supprts Crdinatin (SC) Waiver Claims A number f SC waiver claims prcessed during the Nvember 4, 2011 and Nvember 19, 2011 cycles were denied r partially paid due t insufficient units n the first date/unit segment n the ISP. ODP will be adjusting the SC units n bth date/unit segments n the ISP in HCSIS and reprcessing the Nvember 2011 SC waiver claims denials thrugh an autmated prcess. We anticipate the reprcessing f the Nvember 4, 2011 and Nvember 19, 2011 denied SC waiver claims t be included in the January 4, 2012 SC waiver claim submissin file. A remediatin strategy t address the SC waiver claim issues fr the December 4, 2011 and December 19, 2011 claims prcessing is under discussin and will be cmmunicated at a later date. Additinal Infrmatin Fr details regarding the anticipated timeline fr the claims reprcessing refer t the ODP Cmmunicatin Number: Mem issued n 12/16/2011 r cntact the ODP Claims Reslutin grup: [email protected]. 4 HCSIS Prject Update Reminder fr ODP and BAS Users Subject: Billing with 5010 Diagnsis Cdes Required 5010 Diagnsis Cdes All ODP direct service prviders wh submit electrnic claims fr services rendered t individuals wh participate in the Cnslidated, P/FDS, and base prgrams are required t submit claims using an ICD-9 diagnsis cde fr the perid January 1, 2012 thrugh September 30, The absence f a valid ICD-9 diagnsis cde n an electrnic claim transactin during this perid will result in a claim denial. See the cmpanin guides fr prgramming and certificatin activities with PROMISe t supprt the v5010 transactin set: Valid ICD-9 Diagnsis Cdes fr ODP-ID T determine which diagnsis cde t enter n an electrnic claim, prviders shuld review their Service Authrizatin Ntices. There are six (6) valid ICD-9 diagnsis cdes used by ODP. The billing entity shuld ensure they enter the ICD-9 cde n the electrnic claim using the exact number f digits listed in the ICD-9 Cdes clumn belw. Any alteratin will cause a claim denial. 5 HCSIS Prject Update Message frm the HCSIS Help Desk Dcument Timelines The help desk is currently reaching ut t users wh reprted that they were receiving an Errr Message accessing the Dcument Timelines. The underlying cause has been reslved via a data fix. If yu receive an r vice message frm a Help Desk staff member, please cmplete the steps described and return the call r reply t the t infrm the Help Desk if the task was cmpleted successfully. Identity Manager The Help Desk receives many requests related t Identity Manager. Many f the requests can be fulfilled by sending an t the Help Desk with details f what is needed. Belw are answers t sme f the mst frequent requests. An additinal BP Admin frm is needed. Send an with the request t the HCSIS Help Desk [email protected]. Include yur cntact infrmatin and a frm will be sent via return . The BP Admin needs t have their passwrd reset. The Help Desk will reset the passwrd after cnfirming the BP Admin security infrmatin. A new staff member needs t have a HCSIS ID created. Prvide the Help Desk with the name f the emplyee, address, telephne number and the scpes and rles which shuld be n the new user accunt. Include any special needs such as MCI Clearance. If the new ID shuld match the same scpes and rles f an existing emplyee, yu may find it helpful t reference the existing ID when requesting the new ne. Upn verificatin, the Help Desk will create the user ID, granting access t the LMS training system and the lg n credentials directly t the user. The BP Admin reset a user passwrd and the user has nt received the temprary passwrd. Ask the user t check their spam r junk fr the temprary passwrd. Cnfirm that the user address assciated with the user accunt is crrect. Changes were made t a user ID and the new rles/scpes are nt available. With the exceptin f changes t OCYF and EIM ID's which take effect shrtly after the changes are made, user accunt changes will be available after the 6 PM batch prcess runs t synch the updated ID's. Nte: Fr additinal infrmatin n using Identity Manager please refer t the BP Admin Identity Manager Training Captivate which is psted n the LMS. 5
