4 Why is WiFi needed? E-communication is now part of our everyday lives and an essential part of our businesses. We expect 24:7 connectivity and the ability to access information to carry on our normal business activities, wherever we are and whatever we are doing. Those associated with event organisation need to communicate with other people at the event, such as central scorers and grounds staff, as well as the outside world through their s, website and social media. At the event people have traditionally tended to rely on either mobile/smart phones or two-way radios. The problem with these traditional methods is that mobile/smart phones rely on 3G signal which becomes overloaded and unreliable at events. Two-way radios are not very private or discreet and have limited range and battery capacity. To overcome this, we offer two options. WiFi Intranet: o anyone within the allocated site area will be able to communicate directly with another person or access information held electronically within that area. o provides quick, robust and reliable 24:7 connectivity o designed not to be overloaded so can be used by as many people as there are at an event o will handle all the internal communication required by the event organisers and their staff. Wifi Internet: o for anyone that needs to communicate with the outside world the intranet needs to connect to the Internet. o we can connect using either dedicated BT lines if available or if not via satellite dishes, cutting out the reliance on 3G completely The core infrastructure The main work in setting up any e-communication system is in designing and building the core infrastructure: the Intranet. For outdoor events, this needs to be considered carefully. Hardware, such as satellite dishes, WiFi masts, antennae and any cabling need to: o be both weatherproof and resilient o be able to be deployed on sites with limited structural facilities and mass visitor footfall o be flexible to meet all event requirements regardless of size and topography Page 4
5 o have control units that are self contained and able to be set up in temporary event offices with minimal space and power requirements Network systems need to be provided based on current IT protocol with sufficient bandwidth to handle specified uses and types of multimedia Security systems need to be put in to keep hackers from accessing event and client information The solution needs to be able to support the client s software Diagram showing the core infrastructure, the Intranet, possible stakeholders and Internet connection via satellite and/or BT telephone lines for one type of event that ACP IT Solutions provides solutions for. 6 The infrastructure is the building block. Other services such as WiFi PDQs, gate entry systems, VOIP and CCTV can then be added on, as required by the client, providing significant added value not just to event organisers but to other stakeholders. Stakeholders and add-ons available Page 6
7 We can provide both temporary and/or permanent solutions to meet event organisers requirements. Whole Event WiFi Temporary solutions The preferred solution will be determined by event requirements, the topography and existing structures of the site, any restrictions on temporary site excavations for the cabling as well as connectivity requirements in terms of services and numbers of users. We always undertake a site visit to inspect the area and to discuss the various options. These include satellite and antennae masts positioned at key points throughout the site. Whole Event WiFi Permanent solutions We can also offer permenent fibre optic cable solutions. Cables are laid throughout the site area with access points as required. Antenae masts can then be positioned in key areas during the event providing fast, robust connectivity. Clients can also opt for T1 lines which will manage heavy-traffic data network and provide high bandwidth for high speeds for Internet links. Both the temporary and permanent whole event solutions will provide: Intranet only: Printing, in-site telecommunication, back-ups etc Multiple offices across the site linked together. This can be useful for Scorers, Central Organisers Office and Sponsors Standard office functionality at temporary event site Ability to allocate different networks for specified user groups to prioritise connectivity and any accessibility limits Full pre-event and 24:7 on-site support and post event review meeting Page 7

9 The ability to complete credit and debit card transactions between customers and banks has become a vital facility for organisers, traders and other stakeholders. The traditional method of manual transactions using mechanical card swipes is no longer a viable option. They take longer to complete, create additional paperwork and do not deliver payments directly to the bank. They are also insecure, open to fraud and may put users in contravention of the banks strict rules on PCI compliance. Traditional Payment Card Terminals A lot of people use digital payment card terminals known as GPRS enabled or Wireless PDQs. These devices connect to the bank via the 3G mobile/smart phone network. The problem with these is that they are dependent on the availability of a strong connection to the mobile telephone networks. During events, the 3G may be unavailable or signal strength is unable to cope with the concentrated demand and users will lose signal and not be able to process payments. As well as the inevitable long queues, fraudulent transactions could occur. Wi-Fi Enabled PDQs To overcome this, we can provide a dedicated Wi-Fi internet facility to enable users to complete card transactions throughout the whole site area, including entry gates, using wireless internet. Provided they have a Wi-Fi enabled chip and pin terminal they will be able to conduct fast, secure and reliable card transactions via a Wi-Fi Internet service. This will ensure they have full connectivity throughout the Event. What we can provide: Full pre-event support where we contact each user to check whether their machine is WiFi compliant and to offer advice and alternative options to suit their requirements Full access to our on-line PDQ compatibility checklist Secure, compliant and full data connection Full on site support User group specific dedicated WiFi service Page 9
10 Most outdoor events are held on large sites with entry gates being a substantial distance from the central area. Historically, these have had no Internet connectivity so non advance booking admission and parking could be purchased only by cash. This invariably leads to long queues and security issues. Tickets can also be passed to other people outside of the event for multiple use leading to lost income. Our solutions can provide full connectivity at the entry gates. This would not only enable card payments to be processed, with appropriate software, it would also allow ticket scanners to be used for down-loadable e-tickets. Visitors would be able to book and print off a bar code ticket on-line which could then be scanned on entry. Benefits would include: Faster entry control leading to less queues Better control of visitor admissions so entry on ticket day only Prevent duplicate use of tickets Reduce security issues during the event. Permanent solutions can be installed for all year round security Organisers being able to monitor: o how many visitors use each entry gate so that people can be re-directed to a quieter entry point o peak times for staffing levels o how frequent people attend Page 10
11 Telephone networks can be intermittent and unreliable at events. With Intranet, VOIP guarantees full connectivity throughout the whole site area, meaning you can keep in touch with who you want, when you want and where you want. VOIP will also provide: Free internal communication to anyone on the site network Call management such as caller-id, call waiting, call forwarding and broadcast messaging Unique and easy to remember extension numbers allocated to each on-site handset Simpler infrastructure - VoIP enables you to add telephones and increase call capacity without additional cabling. Really useful for outdoor events Scalability - VoIP systems provide greater flexibility as you can run a number of 'virtual users' through each network socket. Improve productivity - users can attach any documents held within the site network to voice messages or participate in on-site virtual meetings using shared data and videoconferencing. Smart phone linking providing around site communication Voic provision and voic to onsite notifications With Internet connectivity, this would also provide: Free external communication to anyone on the network Cheaper distance and international calls for the price of a local call. 12 With the value of equipment, stock and cash turnover at events, security is a key issue. By using CCTV users can: Reduce the risk of theft Deter unruly behaviour and threats to staff View live and recorded video images remotely from a variety of devices, including laptop computers, i/smart Phones, ipads and Android devices when on-site via the Intranet, when off-site, via the Internet Control CCTV remotely via web browser or mobile phone Have out of hours security through motion detection and alerts via Our rapidly deployable solutions are suitable for both indoor and outdoor events and can operate over satellite and WiFi networks and broadband technologies. 13 Social Media is fast becoming a key way to promote events and keep in touch. People can opt to follow sites to keep abreast of new information. Most major events have recognised this and have social media links from their home page to various social media sites including Twitter, Facebook and YouTube. At the event, people will want to use it for: Event organisers updating visitors and followers on event information such as scores, competitor entries Competitors liaising with friends and fellow competitors and sponsors Sponsors establishing their brand and establishing new business contacts Traders and hospitality promoting interest in their stands and products and advertising where they are onsite to encourage people to visit Social media is important to many different users. But it requires Internet connectivity and high broadband capacity. We can design a solution that will provide sufficient connectivity for everyone onsite to connect or restrict access for social media to specific user groups only. Page 13

For example should a zone have a period of high bandwidth usage due to a VIP appearance, it is possible to reallocate bandwidth from a quieter zone o Our services are bespoke and tailored to each client s requirements.
