2 TALKSWITCH QUICK CONFIGURING MUSIC ON HOLD CT.TS GUIDE? CONFIGURING MUSIC ON HOLD What is Music on Hold? TalkSwitch s Music on Hold feature lets you provide music, or any type of recorded message, for callers to listen to when they are waiting when their call is routed or transferred. Callers tend to react more positively to transfers or waits if they have music to listen to. Alternatively, companies can choose to play recorded messages to advertise or provide information regarding their business. Use your recording to fit the unique needs of your business! DECIDE ON YOUR MUSIC ON HOLD AUDIO SOURCE There are two ways to add Music on Hold to your system: via an external audio source, or via an internal file. A) An external audio source, such as a CD player, tape player, or PC media player, can be connected to TalkSwitch. Advantages: Variety and length of music is virtually unlimited Disadvantages: Requires extra, dedicated equipment to be connected and running constantly. Need separate sources for each TalkSwitch unit. B) An internal digital audio file (music or recording) can be loaded into TalkSwitch memory. Advantages: No additional equipment required. Same file is used for all units in a TalkSwitch network; this is not only convenient, but also provides seamless music for calls transferred across the network. Disadvantages: Length of recording is limited by your TalkSwitch memory capacity (NOTE: can be expanded by adding one or more TalkSwitch memory cards). If you choose to use an internal file as your Music on Hold source, proceed to Step

3 CONNECT AN EXTERNAL AUDIO SOURCE Connect your external audio source to TalkSwitch using an 1/8 mono cable (see below). Each unit in a TalkSwitch network will need to have a connection to the output of the audio source, if you want Music on Hold for the extensions associated with the unit. There are two solutions: use an 1/8 audio splitter* to put the same music source into all units (*can be purchased from most audio electronics stores). use separate audio sources for each unit. In this situation the music on hold will change when the call is transferred from one unit to another across the LAN. Once the audio source(s) is connected to TalkSwitch, turn the source on. CONFIGURE TALKSWITCH WITH EXTERNAL AUDIO SOURCE(S) To configure TalkSwitch to play the Music on Hold for callers, follow these steps: Step A Connect TalkSwitch to your computer, then open your TalkSwitch software. For complete details, refer to the TalkSwitch User Guide. Step B Choose System Information -> On-Hold/Ringback. See Arrows 1 and 2 below. Step C In Transfer Settings select Music. Step D In On-Hold Settings select Play music whose source is connected to the MUSIC jack. 1 D 2 C 2

4 SAVE TALKSWITCH SETTINGS Settings must be saved to TalkSwitch in order for them to take effect. Choose File, then Save to TalkSwitch. A progress bar will show the data exchange to the TalkSwitch system and should take only a few seconds to complete. Your TalkSwitch is now equipped to play Music on Hold for your callers. CONFIGURE TALKSWITCH WITH AN INTERNAL AUDIO SOURCE (FILE) If you choose to use an internal file as your Music on Hold source, follow these steps: Step A Connect TalkSwitch to your computer, then open your TalkSwitch software. For complete details refer to the TalkSwitch User Guide. Step B Choose System Information -> On-Hold/Ringback. See Arrows 1 and 2 below. Step C In Transfer Settings select Music. Step D In On-Hold Settings select Play music from file loaded on TalkSwitch. 1 D 2 C Step E In On-Hold Settings select the Load wav file button. An information box will appear, stating the required format for the digital audio file (8-kHz, 8-bit, mono, u-law,.wav). If your desired digital audio file conforms to the required format, choose Yes; otherwise choose No to exit. 3

5 Step F If you chose Yes, a Load Audio File window will be presented. Browse to the location of the desired digital audio file, select the file, then click on Open (see below). Step G TalkSwitch offers the ability to adjust the volume of internal Music on Hold playback. To set the volume to suit your preferences, choose System Information -> On-Hold/ Ringback. In On-Hold Settings use the pull-down menu for Playback volume for music file to increase or decrease the sound level of your file playback. See below.
