4 Introduction to the epay Function As a cardholder, you can eliminate the hassle of making manual payments on your card balance. Using Access Online s epay function, you can easily, quickly and securely make electronic payments without leaving the Access Online system. You simply set up which accounts you want to pay from (called echeck accounts), access your balance information, and then specify payment information. Features of the epay Function You can select how much to pay. You can select from the following options: Pay the total amount due (including any previous balance plus the current amount due) Pay only the current amount due Pay a specific amount (e.g., pay $ on a balance of $765.43) You can set up recurring payments. You can set up a recurring payment for the exact due date or on a date that is between one and 15 days before the due date (e.g., seven days before the due date). Refer to Set Up a Recurring Payment on page 26 for detailed steps. You can set up and use multiple bank accounts. You can set up multiple checking and savings accounts (consumer or business) and select from those accounts to make your payments. You can make part of a payment with one account and then use another account to make the other portion of the payment. For example, you can select to use your checking account to pay $500 of a $600 balance and your savings account to pay the remaining $100. For detailed steps on setting up your accounts, refer to Set Up Your echeck Accounts on page 10. You get notification of payments and issues. The system sends you an notification when the system makes a payment (e.g., when the system makes an automatic, recurring payment). The system also sends you an regarding any problems with your payment (e.g., a non-sufficient funds notice, a closed account notice). You can easily track your payments. You can quickly access a table of your payment history that displays the payment confirmation number, a description of the payment, the payment date, the payment amount, the account number you used to make the payment, and the status of the payment. You can be confident you payment is secure. The function uses complete security and data privacy functions to ensure that your personal, account and payment information is secure and private. You can enjoy the convenience of the function. The epay function is available 24 hours a day, 365 days a year using your Access Online user ID and password. You do not need to keep track of another user ID and password or navigate to a separate site U.S. Bancorp Cardholder and Program Administrator 4
5 You can be sure the system processes your payments quickly. If you make a payment request before 5 p.m. central time, then the system credits your payment to your account in two business days. If you make a payment request after 5 p.m. central time, then the system credits your payment to your account in three business days. For example, if you make a payment request at 3:30 p.m. central time on Monday, the system credits the payment on Wednesday. If you make a payment request at 7:30 p.m. central time on Monday, the system credits your account on Thursday. Allowed Payment Types The epay function lets you make automated clearing house (ACH) payments on your individually billed corporate card. The ACH system is a secure payment transfer system that connects all United States financial institutions. The ACH system is the central clearing facility for all electronic fund transfer transactions in the country. You can make these payments (referred to as echecks in the system) quickly, easily, and securely. Tip! You cannot use another credit card (e.g., your personal Visa card) to make a payment. You must use the echeck option. Tasks in This User Guide In this user guide, you will learn how to: Access the epay function in Access Online (see Access the epay Function on page 6). Set up and modify your echeck accounts so that they are ready to use when you need to make a payment (see Set Up Your echeck Accounts on page 10). Make a single payment (see Make a Single Payment on page 20). Set up recurring payments (see Set Up a Recurring Payment on page 26). View pending payments (see Viewing Pending Payments on page 35). 6 Access the epay Function You can easily access the epay function within Access Online. 1 To access the epay function: 1. Select the Account Information high-level task. The Account Information screen displays Click the Cardholder Statement link. The Account Information: Cardholder Account Statement screen displays. Tip! If you use more than one corporate account, you may need to search and select the account you want to make an electronic payment for. Also, keep in mind that even if you are a Program Administrator with access to many accounts, you are only making payments on your own corporate account. You are not making payments on the corporate accounts for the cardholders in your program U.S. Bancorp Cardholder and Program Administrator 6
7 3 3. Click the Pay Electronically button. A Security Alert message displays Click the Yes button. The U.S. Bank Access Online: E-Payment screen displays. Tip! Security Alert messages may display occasionally as your work in the epay system. Simply review the message and select to continue working U.S. Bancorp Cardholder and Program Administrator 7
8 5a Learn More: From this screen, you can immediately select to make a single payment or set up a recurring payment. 5. To log out: a. Click the Exit button. The Log out Confirmation screen displays. 5b b. Click the Yes button. You return to the Account Information: Cardholder Account Statement screen U.S. Bancorp Cardholder and Program Administrator 8
9 Learn More: Once you are working in the epay function, the menus display sometimes at left and sometimes in the center of the screen. The display depends on the previous task you completed. Both menus function the same. For example, if you are reviewing your account list, then the menu displays at the left. If you just completed a task and are not performing a task in the center of the screen, then the menu displays in the center of the screen U.S. Bancorp Cardholder and Program Administrator 9
10 Set Up Your echeck Accounts The first step in using the epay system is to set up the echeck accounts that you want to use to make payments. If you do not set up your accounts before you make a payment, then you can set them up during the payment process; however, the payment process is easier when you already have your accounts set up and ready to select. 1 2 To set up an echeck account: 1. Select either the Single Payment radio button or the Recurring Payment radio button. 2. Click the Continue button. 11 3 3. Select the Manage Accounts menu button. The Account List screen displays U.S. Bancorp Cardholder and Program Administrator 11
12 4 Tip! If you already have accounts set up, then they display in the Account List table. If you do not have accounts set up yet, then the table displays but is blank. 4. Click the Add echeck Account button. The Add New echeck Account screen displays U.S. Bancorp Cardholder and Program Administrator 12
13 Click the Question Mark icon for more information on how to find the routing transit number Type a nickname for the account (e.g., USBank Checking, Acct 5) in the Account Nickname field. You select this nickname from a drop-down when you actually make a payment. 6. Type the account s routing transit number in the Routing Transit Number field. 7. Type the 16-digit account number in the Account Number field. 8. Re-type the account number in the Re-Enter Account Number field. 9. Specify the account type: a. Select the Checking radio button if the account is a checking account. Or b. Select the Savings radio button if the account is a savings account. 10. Specify the account category: a. Select the Consumer radio button if the account is a consumer account. Or b. Select the Business radio button if the account is a business account U.S. Bancorp Cardholder and Program Administrator 13
14 Tip! If you do not know where to find the account s routing transit number, then click the Question Mark button. The Routing Transit Number Help screen displays with the lower portion of a sample check that shows you where to look on your own checks to find the routing transit number U.S. Bancorp Cardholder and Program Administrator 14
15 When you are done, click the Submit button. The Account List screen updates with your new account. Tip! If you make a mistake in completing the account information fields, then Access Online displays an error message to let you know which field you need to correct. 16 Tip! As you work in the epay function, Access Online does not track your time as time spent in Access Online, so you may get a message telling you that your session is about to expire. Simply click the Continue Session button to keep your Access Online session open U.S. Bancorp Cardholder and Program Administrator 16
17 Modify an echeck Account Once you have an echeck account set up, you can modify the account at any time To modify an account: 1. Select the Manage Accounts menu button. The Account List screen displays. 2. Select the account s radio button in the Account Nickname column. 3. Click the Edit Account button. The Edit echeck Account screen displays U.S. Bancorp Cardholder and Program Administrator 17
18 4 6a 5 6b 6c 6d 6e 6f 4. Type a new nickname in the Account Nickname field, if desired. 5. Type a new routing transit number in the Routing Transit Number field, if desired. 6. Specify which account number to use: a. To keep the same account number, select the Use my current Bank Account Number radio button. Or b. To use a different account number, select the Use the Bank Account Number entered below radio button. c. Type the account number in the Account Number field. d. Re-type the account number in the Re-Enter Account Number field. e. Select an Account Type radio button (i.e., Checking or Savings). f. Select an Account Category radio button (i.e., Consumer or Business) U.S. Bancorp Cardholder and Program Administrator 18

20 Make a Single Payment Making a single payment is quick, simple and secure. Tip! You cannot pay more than the amount due, including any previous balance and the current balance. For example, you cannot pay $ on a combined previous and current balance of $ To make a single payment: 1. Click the Make Payment menu button, if needed. 21 Select the Single Payment radio button. 3. Click the Continue button. The Make a Payment Access Online Epayments screen updates with information about your amount due, due dates, and a field to specify a payment amount U.S. Bancorp Cardholder and Program Administrator 21
22 Type the payment amount in the Payment Amount field. 5. Select the account nickname from the Please select an account drop-down list. Tip! If you want to pay from multiple accounts, then specify only the portion you want to pay from this account in the Payment Amount field, select the account and click Continue. Then, repeat these steps to pay another portion with a different account. 6. Click the Continue button. The Verify Payment Access Online Epayments screen displays U.S. Bancorp Cardholder and Program Administrator 22
23 Use your browser to print a copy of the authorization for your records. 7. Review the payment information. 8. Review or type your address in the Send an confirmation field. 9. Review the terms and conditions. 10. Select the I accept the Terms and Conditions check box. 11. Click the Confirm button. 24 Review the payment information. 13. Click the Continue to Main Menu button. The system processes your payment. You can view your pending payments (see Viewing Pending Payments on page 35) and payment history (see Viewing Payment History on page 36) U.S. Bancorp Cardholder and Program Administrator 24
25 Tip! If you make a mistake, an error message displays. Review the error message, adjust your payment information, and continue. For example, you cannot make a payment of $0.00, nor can you pay more than the amount due. Tip! Once you select to make a payment, Access Online automatically sends you an message with the payment information U.S. Bancorp Cardholder and Program Administrator 25
26 Set Up a Recurring Payment You can easily set up automatic, recurring payments. When you set up recurring payments, you must select to pay the full amount with each recurring payment. You cannot select to pay only a portion of the full amount due. 1 To set up a recurring payment: 1. Select the Recurring Payments button. The Make a Payment Access Online Epayments screen displays. Tip! You can also select to set up a recurring payment from the Make a Payment Access Online Epayments screen. Simply select the Recurring Payment radio button and then click the Continue button U.S. Bancorp Cardholder and Program Administrator 26
27 Select payment frequency from the Always pay FULL AMOUNT DUE to be paid dropdown list: a. Select the On Due Date to pay exactly on the monthly due date. Or b. Select the number of days before the due date (e.g., 7 days before, 12 days before). 3. Select the account to use for the recurring payment from the Please select an account drop-down list U.S. Bancorp Cardholder and Program Administrator 27
28 Tip! Because you must pay the full amount due with a recurring payment, you must use only one account. You cannot divide the payment between two or more accounts When you are done, click the Continue button U.S. Bancorp Cardholder and Program Administrator 28

To schedule the recurring payment for a specific number of payments, select the top Continue for radio button and type the number of payments in the Payments field. Or b. To schedule the recurring payment until a specific date, select the middle Continue Until radio button and type a date in YYYY-MM-DD format in the corresponding date field (e.g., ). Or c. To schedule the recurring payment until you cancel the recurring payment, select the Continue Until Cancelled radio button U.S. Bancorp Cardholder and Program Administrator 29

Click the View Payment button to view the payment. 3. Click the Edit Payment button and repeat the steps in Set Up a Recurring Payment on page 26 to change and save the payment information. 4.
