1 Introduction to the Agency Portal This document will guide you through Loudoun Mutual s Agency Portal, the replacement system for Web Inquiry. The old buttons for First Notice of Loss, Pay Premium by Credit Card, Initiate a Sweep, and Report a Claim have been removed; all of those forms are now within the Agency Portal. DO NOT use your browser s Back button when you are using the Agency Portal. Use the links and buttons within the Portal to navigate this site. Clicking Back may log you out of the Portal.
2 Search The Search module replaces Web Inquiry. It shows policy details and billing information. Search by policy number, name, or claim number Click an insured s name or policy number to view an Account Inquiry showing a summary of all of the insured s current and past policies, claims, and communication 1 Claims Tab: shows claim notes, payments, and adjuster information 2 Policy Information: view policy transactions and declaration pages as PDFs 3 Quick Links: submit a claim or make a payment from within the Account Inquiry 4 Billing Activity: view installments and billing documents as PDFs
3 Submit New Claim This module combines the old First Notice of Loss and Submit a Claim buttons; the form has three sections: Policyholder Contact Information, Loss Summary, and First Notice of Loss Submission. 1 View the current declarations page from within the claim 2 Contact information for the insured is shown to the right of the form 3 Select the location from the policy instead of entering it manually 4 Choose who should receive an notification confirming claim submission
4 Document Search Search for PDFs of documents; this is similar to Web Inquiry, but is searchable by date range (policy number or name is not required when searching by date processed). 1 Refine the results using the Filter by Type options to the left of the search 2 Search documents by policy number, name, date processed, or view all new documents 3 View the document in your browser or download before viewing using the buttons below results 4 Download all selected documents using the Download All button
5 Agency Sweep If your agency has set up an account for sweeps, you can use this module to sweep your account for payments instead of submitting a request for us to perform the sweep. You can add multiple payments for multiple policies and post them all in one sweep. The payment amount must fall between the minimum due and the current balance Edit or remove added payments using the Edit (pencil) and delete (x) buttons:
6 Make a Payment Submit a payment with a credit/debit card or an E-Check. The payment amount must fall between the minimum due and the current balance 1 Click Advanced Search to search by name and select policy from a list 2 Click on the min. due link or the total link to quickly populate the payment amount
7 Report Center View, save, and print the reports shown below in your browser: Due for cancellation Agency Production Report (updated daily) Payment List report NOTE: the Outstanding quotes feature is not used by Loudoun Mutual at this time
8 Claim Activity View all claim activity: creation of new claims, updates to existing claims, claim status, claim details, and claim payments. The Claim Activity report displays in your web browser and is very user-friendly. Sort the data by clicking on any of the column names. View claim details (adjuster and status history) by clicking on the icon in the details column.
9 Notifications Alter notification settings by clicking Account at the top of the page and selecting Subscribe to notifications.
