2 What is Box at UC? Box is UC's preferred cloud-based file storage platform that has been licensed to enable faculty/staff/students to securely store, share, manage, and access files online anytime, anywhere, from any device. All users receive unlimited data storage upon activating their account. Box at UC is similar to web applications such as Dropbox and Google Drive, but has several advantages over the two platforms which will be discussed below. Why would you Use Box at UC? Backing up Crucial Files Saving files on traditional hard drives only makes them vulnerable to corruption and hard drive failure. By saving files to cloud-based file storage systems, users can ensure that their files are redundantly stored so that if the file is lost on one server, it is backed up on another. In addition, corruption is much less likely to occur in the secure server environment. Sharing Files Users can easily share files and directories that are stored on Box at UC to Blackboard, websites and external clients. The files will then update when overwritten for the users the file or directory was shared to. Securing Sensitive Files Files stored on Box at UC are stored on secure, US servers ensuring that any files that contain student data are FERPA protected. Activating your Box at UC Account To get started using Box at UC, please see the steps below to activate your account. 1. Navigate to the Canopy homepage at and click the Box at UC tile under Canopy Tools. 2

3 2. Next, on the Box at UC home page ( click the Activate your Account button. 3. Lastly, enter your UC 6+2 username and password to finish activating your account. Once you have activated your account, you can sign-in to Box at UC at Creating Files on Box at UC When you first login into Box at UC, you will be presented with an overview of all your files and folders currently stored on the server. The files displayed will include the date the file was created, the time of the last update, and who last updated the file. Upload Files or Folders To upload files to Box at UC, click the Upload button and choose between uploading either Files or Folders to upload to the server. Once you select the file option, file finder window will open and allow you to select the files from your hard drive that you would like to upload to Box at UC. Create Folders To create folders on Box at UC click the New button and select Folder from the list. Folders allow you to group files together for sharing or organization. 3

4 Create Documents, Presentations, and Spreadsheets To create documents, presentations, and spreadsheets on Box at UC, click the New button and select the type of file you would like to create. Online Word Documents, PowerPoint Presentations, Excel Spreadsheets, Google Docs, and Google Spreadsheets can all be shared from your Box at UC account to enable automatic versioning of files and creating a record of all changes that occur to the file. Downloading Box at UC Sync Using the Box at UC Sync gives users the ability to quickly upload files to their Box at UC account without going through a login process. The Box at UC sync folder will appear as a folder on your hard drive that will be linked to your account. Box Sync for Windows This guide provides instructions for installing the Box Sync app on Windows computers. 1. Open your web browser and navigate to: 2. Click Continue and you will be prompted to login. 3. Login using your Central Login Service username and password. 4. Once you are logged in, hover your pointer over your name upper right hand corner. In the drop down menu select Get Box Sync. 4

5 5. Click Box Sync to download Box Sync installation file. 6. Launch the installer by double-clicking the Box Sync installer icon to start installing the application. 7. Once Box Sync application is installed, you will be prompted to sign into your Box account. 8. Click Use Company Credentials and then enter your UC account. Students should enter their formatted as: Faculty/Staff should enter their formatted as: 9. You will then be taken to a UC Central Login Service Login screen. Login using your Central Login Service username and password. 5

6 10. After successfully logging in, your Box account should now be syncing with your computer. 11. If you open your file explorer window, you should now see a Box Sync folder listed under favorites. You will now be able to store and access files in your Box@UC account without having to access the Box at UC website. Box Sync for Mac This guide provides instructions for installing the Box Sync app on Mac computers. 1. Open your web browser and navigate to: 2. Click Continue and you will be prompted to login. 3. Login using your Central Login Service username and password. 4. Once you are logged in, hover your pointer over your name upper right hand corner of the box site. In the drop down menu select Get Box Sync. 5. Click Box Sync to download Box Sync installation file. 6

If you receive this message box, click Open to allow the installation to proceed. 8. Once Box Sync is installed, you will be prompted to sign into your Box account. 9. Click Use Sing Sign On and then enter your UC account. Students should enter their formatted as: Faculty/Staff should enter their formatted as: 7

8 10. You will then be taken to a UC Central Login Service Login screen. Login using your Central Login Service username and password. 11. After successfully logging in, your Box at UC account should now be syncing with your computer. 12. If you open your Finder, you should now see a Box Sync folder.
