A Project is a temporary endeavor undertaken to create a unique product, service or result: A project should have a planned start and end date Project activities gathered together to accomplish project s goals A project can have more than one objective A project team formed to manage a project and released upon finishing the project The outcome of a project may be: A product A service A result, such as an outcome or a document Copyrighted Materials 2015

The temporary nature of projects indicates that a project has a definite beginning and end. The end is reached when the project s objectives have been achieved or when the project is terminated because its objectives will not or cannot be reached or when the need for the project no longer exists. Every project creates a unique product service or result. The outcome of the project may be tangible or intangible. Although repetitive elements may be present in some project deliverables and activities, this repetition does not change the fundamental, unique characteristics of the project work. An ongoing work effort is generally a repetitive process that follows an organization s existing procedure. In contrast, because of the unique nature of projects, there may be uncertainties or differences in the products, services or results that the project creates. Project activities can be new to members of a project team, which may necessitate more dedicated planning than other routine work. In addition projects are undertaken at all organizational levels. A project can involve a single individual or multiple individuals, a single organizational unit or multiple units from multiple organizations. Projects vs. Operations As discussed above, projects are temporary endeavours with start and end dates. On the other hand, operations are ongoing activity and repetitive. Everyday a certain number of products will be produced by the same people using the same process, until a new process and a new product are introduced to the operation. The main objective of the operation team is to sustain the operation as is. Accounting and manufacturing activities are examples of operational activities. Developing an application or building an airport is an example of project activities. What is Project Management? Introduction to the Project Management Project Management What is Project Management? Project Management is the application of knowledge, skills, tools and techniques to project activities to meet the project requirements. Managing a Project typically includes, but is not limited to: Identifying and delivering business requirements Addressing various needs of the sponsor(s) and stakeholders Effective communication between the team and involved parties Identifying, assessing and managing project issues and risks Balancing the competing project constraints which include, but are not limited to: Scope, Budget, Schedule, Quality, Resources, Risks 6 Project Management - The application of knowledge, skills, tools and techniques to project activities to meet the project requirements. 24 Participant Handbook PMI ACP Exam Preparation Module 2 Managing a Project typically includes, but is not limited to: y Identifying requirements y Addressing various needs, concerns and expectations of the shareholders in planning and executing the project y Setting up, maintaining and carrying out communications among stakeholders that are active, effective and collaborative in nature y Managing stakeholders towards meeting project requirements and creating project deliverables y Balancing the competing project constraints which include, but are not limited to: oo oo oo oo oo oo Scope Quality Schedule Budget Resources Risks The relationship among these factors is such that if any one factor changes, at least one other factor is likely to be affected. For example, if the schedule is shortened, often the budget needs to be increased to add additional resources to complete the same amount of work in less time. If budget increase is not possible, the scope or targeted quality may be reduced to deliver the project s end result in less time within the same budget amount. Project stakeholders may have differing ideas of which factors are the most important, creating an even greater challenge. Changing the project requirements or objectives may create additional risks. The project team needs to be able to assess the situation, balance the demands and maintain proactive communication with stakeholders in order to deliver a successful project. 25 Participant Handbook PMI ACP Exam Preparation Module 2 Traditional Project Management Life Cycle Introduction to the Project Management Project Management Traditional Project Management Life Cycle Initiating Planning Executing Monitoring & Controlling Closing Project Management is accomplished through the appropriate application and integration of the 47 logically grouped project management processes, which are categorized into the above five Process Groups: Initiating: Those processes performed to define a new project or a new phase of an existing project by obtaining authorization to start the project or phase. Planning: Those processes required to establish the scope of the project, refine the objectives, and define the course of action required to attain the objectives that the project was undertaken to achieve. Executing: Those processes performed to complete the work defined in the project management plan to satisfy the project specifications. Monitoring and Controlling: Those processes required to track, review and regulate the progress and performance of the project; identify any areas in which changes to the plan are required; and initiate the corresponding changes. Closing: Those processes performed to finalize all activities across all Process Groups to formally close the project or phase.
