2 INTRODUCTION IOCOM is an advanced software-based collaboration system that integrates distributed digital workspaces. IOCOM Grid software is easy to use and runs on Windows PCs, supporting a wide variety of peripherals from USB cameras and headsets to multiple cameras and microphones in large rooms. Users simply point and click to meet with secure voice, video, and data. IOCOM Unified Collaboration Servers (hosted or customer premise-based) enable multipoint meetings at any time and from any location. IOCOM has designed hardware packages using common components to simplify installation, support, and training. Since IOCOM systems range from personal laptops and ultra-mobile PCs to large conference rooms and other large spaces on any IP network, careful consideration is required when selecting the best hardware components for your multimedia collaboration system. This document highlights IOCOM systems for common room types and applications, including small team rooms, medium and large conference rooms, command centers, class rooms, and almost any other space. 3 IOCOM Grid Multimedia Collaboration IOCOM GRID SOFTWARE IOCOM endpoint systems run IOCOM Grid software on standard PCs with additional audio and video hardware. Software versions include the Room Edition and Personal Edition. Room Edition software is designed for up to 4 high-quality cameras with pan, tilt, and zoom control capability. (High definition is also available for Room Edition systems.) The Personal Edition software is designed for individual users on laptops, desktops, or handheld computers with USB or built-in cameras. UNIFIED SYSTEM Since IOCOM Grid software runs on standard PCs, it can become an integral part of distributed work processes. The IOCOM Grid point-and-click controls look the same on all endpoints, including laptops, workstations, conference rooms, and other large spaces. IOCOM makes it easy to share data, as well as video and voice under a secure, unified system. IOCOM runs on any Windows PC with a variety of peripheral hardware POINT-AND-CLICK COLLABORATION IOCOM Grid software is easy to learn and easy to use. Meetings may be created by any user at any time and from anywhere in the world, or meeting administrators may set up ad hoc, one-time, or recurring meetings with specific parameters as needed. Users create or join meetings through a simple Windows taskbar menu. Users can also instantly invite other users to ad hoc meetings. The meeting control panel makes it easy to manage voice, video, and data, even in large multipoint meetings. Each video and data window may be moved and resized independently across one or more displays. ENHANCING WORK PROCESSES IOCOM software allows multiple cameras in a single collaboration space to capture multiple subjects more closely, and each video view may be shared simultaneously across a virtually unlimited number of endpoints. In addition, the Windows login process allows users to access their own data from any IOCOM-enabled PC and seamlessly share their own data with all other site. 4 IOCOM Collaboration Room Design COLLABORATION IN ANY SPACE IOCOM endpoint configurations are extremely flexible using high-quality off -the-shelf hardware. IOCOM offers customizable packages designed for any room type. It is important to design rooms so that new collaboration systems can be easily installed in new or existing rooms while providing the best user experience available. Room design is a key factor in the quality and ease of the collaboration experience and the satisfaction of the end users. IOCOM has designed system packages for most room types to make room design easy, but it is important to start with a good room. LIGHTING AND ACOUSTICS Although IOCOM is flexible enough to work any space, consideration for room lighting, wall color, and acoustics can improve the collaboration experience. Use appropriate lighting for your displays and try to avoid backlit or bright surfaces behind meeting participants. Many ceiling-mounted lights can be moved within a grid ceiling if needed. Soft background colors like light blue, light green, and some yellows can help clarify video images. Some hard surfaces like bricks, metal, tile, concrete, or even extensive drywall can cause undesired sound effects. Acoustic padding may be desired, and environment noise should be minimal. IOCOM CORE COMPONENTS The primary component of any IOCOM Grid system at Windows-based computer (Intel Pentium 4/3 GHz or any Intel Core Duo/ Quad/i7/Xeon processors recommended.) IOCOM can provide computers, or IOCOM Grid software may be installed on customer computers. In rooms with multiple cameras, displays, and microphones, PC connections can be complicated, with camera management, power management, and sound system components. The IOCOM IOTray rack insert and IOCube stand-alone box bundle these core components into powerful plug-and-play systems that are easy to install and support across globally distributed sites. By removing the guess work and inconsistency from the installation process, the IOCube and IOTray help ensure the best user experience. IOCOM Patch Panel IOCOM patch panels are included with IGCube/IOTray systems for almost any room type, making installation and support easy. IOCube Mini-Rack The IOCube is a stand alone selfcontained mini rack with a room specific patch panel for the peripheral hardware. The PC fits inside, and the box can be locked if needed. The IOCube Mini Rack is ideal for basic rooms. When additional multimedia capability is required, consider the IOTray Rack Insert. IOTray Rack Insert The IOTray is similar to the IOCube but designed to fit into an existing standard rack with room specific patch panels. The PC sits on a shelf/container that manages all of the internal and external connections. 5 PERIPHERAL COMPONENTS Rooms should be configured so that all participants can comfortably see the displays and be captured by at least one camera (within 25 feet) and one microphone (within 2-3 feet). The type and number of cameras, displays, microphones, and speakers is determined by the size and dimensions of the room, the typical number of participants, and the work process. Consider the following standard components when designing your appropriate collaboration system. ROOM SIZE AND NUMBER OF PEOPLE Based on flexible peripheral hardware configurations, IOCOM packages are highly customizable while providing unified hardware types across all systems. IOCOM recommends three room categories based on room dimensions and the typical number of people in a meetings, as well as cart systems designed for mobility around office buildings. 8 Quick-Install Medium Collaboration Space Conference Rooms, Team Rooms, Work Rooms, Operations Centers The Quick-Install Medium Room Package is intended for mid-sized rooms where installation options are limited. With three wired microphones connected with a single cable, this system is easier to install than the other Medium Room packages. Although wires can be installed in walls, ceilings, and floors, this system is designed with very few wires so that concealed wiring is not necessary. These systems can often be installed by local IT/AV staff without professional installation services. 9 Small Collaboration Spaces Offices, Huddle Rooms, Workstations, Small Team Rooms The IOCOM Workstation Series is designed for most small spaces where participants will be gathered around a single microphone. With up to only 2 cameras and with USB audio, these simple systems are easy to install, and do not require the complex wiring required for larger spaces. Consider adding a wide-angle lens to single-camera systems in small rooms and a Cat-5 USB Extender to run the wire for the USB speakerphone behind walls, floor, or ceilings. 13 Network Considerations IOCOM ON THE ENTERPRISE NETWORK IOCOM systems can run on internal or external networks, even through firewalls or over VPN. Multiple IOCOM Unified Collaboration Servers are interconnected to form a Unified Collaboration Grid supporting global meetings with maximum bandwidth efficiency. Users log in to their Windows user accounts, giving access to their own data during meetings. Once logged in, users simply point and click to join meetings. It is important to choose appropriate systems and settings to facilitate the best user experience and network conditions. VIDEO CODECS SETTINGS IOCOM Grid software supports multiple simultaneous video codecs with max bandwidths ranging from 64 Kbps to 1.5+ Mbps (for high definition). In addition, desktops and external displays may be shared in native resolution as real-time video using a little as 128 Kbps. Each IOCOM site can choose the video quality and bandwidth most appropriate for their network and work process without affecting other sites. Administrators can set limits for all users or individual users, and individual users can create and join meetings with presets for all sites in that meeting. Each site can choose the high or low-quality audio setting, depending on the available bandwidth and desired quality. This setting affects both the send and receive audio codec and has no effect on other sites. Each site sends and receives only one audio stream, regardless of the number of sites in the meeting. Audio is mixed at the server level but controlled at the client level with simple volume sliders for each remote site. ASYMMETRIC BANDWIDTH Locations with high-bandwidth network connections can share data and multiple video views and data with the ability to see all other content from all other sites simultaneously. Low-bandwidth locations must be configured so that they provide the best user experience without overwhelming the network. These sites can join meetings receiving no video views and then select the video that is relevant or that their connection will support. Alternatively, these sites can have video selected for them by other sites who can update the views as needed. In this way, low and high-bandwidth sites can effectively join the same meeting. COLLABORATION NETWORK SCENAIRO In this example, a 3-camera collaboration room is in a meeting with a 2-camera plasma cart system and a Personal Edition Laptop with one USB camera. The numbers below represent maximum and average values if all video views are sent and received by all sites. These sites may turn off sent or received video views to reduce outbound or inbound bandwidth.
