1 Signature Standards v1112c A Guide to Create and Use the Official ImpactOffice Outlook Signature

2 STEP 1 Select Tools Options... from the menu in Outlook

3 STEP 2 Go to the Mail Format tab and click on signatures

4 STEP 3 On the signature tab, click New

5 STEP 4 Name the signature

6 STEP 5 Set your Defaults Settings for new messages and replies/ forwards. Here you can choose which signature to use for each.

7 STEP 6 Enter your Name Your name should be 11 pt Arial Black. You must enter the font sizes in the drop down menu. Arial Black 11

8 STEP 7 Enter your Title Hit return and enter your title in all CAPS, Arial Regular font size 9 pt. Hit two returns to create a space between the title and the phone number that you will add in the next step. 9

9 STEP 8 Enter your Phone Number(s) Enter your phone number or multiple phone numbers putting the numbers first followed by the type of number it is, example: Phone, Cell, Fax. Use Arial Regular, font size 11 pt. You can use a single phone number or multiple phone numbers stacked on top of each other as shown below. 11

10 STEP 9 Enter the Web Address Hit return and then type: Use Arial font size 11. Note: If you are creating a signature for GWA use the following in the web address line: 11

11 STEP 10 Add Picture of the ImpactOffice Logo Click your mouse on the picture icon to insert the ImpactOffice logo image 1 that you got in an or that you can download from (along with the our four social media icons) and saved to your hard drive. 11 Select the logo (image one) from the images that were ed to you and saved to your hard drive.

12 STEP 11 Add a Link to the ImpactOffice logo In the previous step you added an image of the ImpactOffice logo to your signature. In this step you will set a link on that image to the impactoffice website. Select the logo, click the web link icon and add the link to our web address to the logo. The link address is: Hit return to set the link. 11

13 STEP 12 Add the Social Media Icons next to the ImpactOffice logo In the previous step you created a link to the ImpactOffice logo. In this step you will add the first of four social media icons that were ed to you. You will follow the same process to add the social media icons that you used to add the logo. Click the picture icon and point to first of the four icons named image 2, the Linkin icon as show below. 11

14 STEP 13 Add Links to the social media icons In this step you will add links to each social media icon image as you did with the ImpactOffice logo. Select the media icon, click the web link icon and add the link to the web address bar. The link address for the first social media icon is: Hit return to set the link. 11

15 STEP 14 Add the Other Three Social Media icons and Link them To finish your signature you need to add the last three social media icons and set their links. Follow steps 11 and 12 to add each icon and their associated links. The addresses are: Facebook (image3): Twitter (image4): Blog (image5): Once all your icons are set and the links set click OK to save your signature! 11

16 Using You Signature Your signature is now ready to use! You can save your new signature as your default so that it always is there when you create a new . You can also switch back and forth easily through Outlook by clicking on the signature button then choosing your signature that you want to use.
